1 This form comes from the following departmental process: Human Resources Functional Statement, Corporate Services Position Title: Corporate Administrative Support Officer Business Unit: Corporate Services Location: Darwin Classification: Level 4 $58,267 - $68,668 pa Status: Full-Time Contract Probation period: 3 Months (if applicable) Responsible to: General Manager and Human Resources Manager Preparation Date: January 2015 Approved by: General Manager and Human Resources Manager This position is responsible for: The Corporate Administrative Support Officer will provide administrative support to both the General Manager and Human Resources Manager. This position will be required to demonstrate initiative and research ability to provide high level of reporting. Statement of specific accountabilities Human Resources Schedule company staff inductions, develop/review induction presentation and deliver company inductions (as required) Schedule HR Inductions to new staff, compile commencement documentation and deliver HR Inductions to new employees Record and maintain HR related data in Navision Monitor and maintain employee performance review reminders Create and update Human Resource related documents in the quality management system Source staff training opportunities and coordinate company training requirements Maintain the company organisational charts Internal recruitment which includes responding to applicants, shortlisting, reference checks and scheduling interviews. Maintain the Employer of Choice program online and promote to employees and Australian Apprentices Ordering of staff uniforms and monitoring uniform requests General Manager Monitor IT hours and provide monthly report on logged IT issues Provide minor IT assistance to staff where possible Ordering of company office equipment when required Maintain motor vehicle register and update as required At the direction of the General Manager oversee body corporate activity Assist with the collation of relevant documentation for contract submissions Attend meetings and functions as required (this may include afterhours meetings and functions) Last review date: 21/04/2015 Page 1 of 5 Version number:v1.0
2 General Administration (General Manager and Human Resources Manager) Conduct high level research and provide findings and/or reports Develop agendas and or meeting notes as required Provide reports to Human Resources Manager & General Manager as required Book appointments and provide availability in outlook calendar Book travel and accommodation Reconciliation of credit card receipts and cost coding Develop documents as directed Organise meetings/events Filing and archiving documentation Other General GTNT position accountabilities Policies and Procedures Assist in the preparation, review and implementation of policies and procedures for inclusion in the QMS. Assist with ensuring all section staff are aware/trained in and comply with company policies and procedures. Workplace Health and Safety Ensure a safe work environment Follow all WHS policies and procedures Report all hazards and accidents to their supervisor/manager Take all reasonable and practicable steps to ensure your own health & safety and that of any other persons who may be affected by your actions. Customer Service Exercise a high level of interpersonal/customer service skills in dealing with all prospective an existing clients Manage quality customer services. Team Facilitate work teams and value individual differences and diversity. Establish effective workplace relationships with groups and individuals. Participate in business planning activities as required. Participate in company and divisional meetings, and training activities. High level of understanding and ability to apply principals of confidentiality for organisation and all clients. High level of oral and written communication skills, with the ability to liaise at all levels across diverse disciplines with tact and diplomacy.
