3 Role Title HR Systems Manager Reports to Director of Human Resources Job Description Department Human Resources Role Code HR 151/13 Direct responsibility for HR Systems Administrator Role purpose To manage the development of the university's integrated HR and Payroll system (Midland itrent), to fully realise its abilities/benefits and to deliver high standards of service delivery. The role will work across Human Resources to ensure that systems and processes are effective. Principal duties Working collaboratively with ICT colleagues, to manage the university's HR and payroll database and its strategic development to ensure it meets users day-today and long-term needs To work with the senior HR team to maximise the use of Midland itrent and to take a lead role in the roll out and development of new modules (E-recruitment, absence management, people development) Championing effective management and use of the system and associated processes on both a day to day and longer term basis including enhancement and modifications. Systems and Information Management 1. To act as the system Super User including: Acting as primary point of contact for the system, in terms of notifying/discussing system problems, outages and bugs which need to be addressed by the vendor User account/role set up and control, ensuring all users have appropriate access to fulfil their role and functions within the system Adjusting the system to respond to changing processes and data requirements, and different requirements for levels of security and access Maintaining, modifying and monitoring the system where necessary, e.g. creating workflows, workflow processes, creating/amending lists of values, changing templates 2. Supported by a Systems Administrator, to provide users in HR and other departments with help, advice, training, support and user guides to enable them to maximise effective use of the system. 3. Maintain knowledge of changes in human resources management and allied University HR policies and procedures, for example pensions auto-enrolment so 1

4 that Midland itrent can be developed accordingly and practical support given to team colleagues in carrying out their roles 4. Collaborate with colleagues across the University, the wider HR team and Finance to ensure that the University s establishment is complete, accurate and up-to-date. 5. Review at appropriate intervals the data held on Midland itrent, carry out datacleansing to help meet the University's Data Protection Act obligations 6. To manage the University s HESA return working collaboratively with colleagues to ensure that data is accurate. 7. To be proactive in designing reports providing accurate, timely and up-to-date management and workforce information, for absence monitoring, diversity and equal opportunities monitoring, pay and workforce development 8. To respond to requests for information from external organisations, for example HESA, HE Sector pay and workforce surveys, as well as Freedom of Information requests. 9. To lead and project manage the introduction of Share Point for the wider HR team and act as super user. Reward 1. Supported by the Systems Administrator, manage the administration of the University s annual academic promotions and senior pay rounds 2. Working collaboratively with the HR Operations team, taking a leadership role in ensuring that increments are implemented in a timely manner 3. Work with the wider HR team to ensure that the range of University s non-pay benefits is accurately communicated and that information is kept up to date at all times. Person Specification Essential 1. Significant experience of using and developing modern HR systems with selfservice functionality 2. Significant experience of using and developing modern HR systems with selfservice functionality 3. Skilled in using built-in or bolt-on reporting software to extract and analyse data 4. Skilled in using Microsoft Excel to manipulate, analyse, chart and model data and adept in Word and Outlook. 5. Sound understanding of the Data Protection Act requirements in the context of an organisation's HR system and ability to apply them practically 6. Degree in HR-related subject or computer science or equivalent experience 7. Communication skills to interact effectively with Midland itrent users in HR and other departments, users across the university, software suppliers and officials in other organisations. 8. Pro-active, customer-focused and solutions-oriented 9. Line management experience 2

Experienced in making annual reports to HESA Summary of the terms and conditions of employment for the role Appointment The appointment is offered on a permanent basis immediately, subject to references. Annual leave The annual leave entitlement is 25 days per annum. NB. Added to this are the 8 bank/public holidays and a University Christmas closure, of between 3-4 days, depending on how Christmas falls each year (the University is closed between Christmas and New Year). Hours of work Your normal hours of work will be 35 hours per week.
