2 40th Annual Tip of the Hat Ad Campaign Procedures Contact: Dena Presley at or Please or call with any questions or concerns at any time during the campaign. The 2014 ad sale campaign will run from July 29 th through October 4 th. This year s total unit goal is $15, and each individual member s goal is $ But please don t stop there! The more you sell, the more student credit you earn! This year s Tip of the Hat will be held on Saturday, November 1, 2014 rain or shine. This packet contains one copy of each form you will need during the ad campaign. Please make copies of these forms as needed. They will also be available in the Dropbox and on the HFM website at: and the Marching Ensemble Parent s Facebook Page at Please be sure to include your name, section, telephone number and the date on all advertising contracts. We want to make sure you receive the proper credit for each sale! Ads can be submitted in the following formats: Camera ready hard copy in an envelope or folder with your name clearly marked and delivered directly to Dena Presley, at 501 Long Ln. Hatboro or handed to Darius Presley after any practice. Do NOT staple, or fold the ads to fit into an envelope, the holes and creases will show up on the scan! On a cd as a word document, pdf, or jpeg. ed to DenaP71@aol.com as a word document, pdf or jpeg. If an ad is ed you must turn in the paperwork no later than the next practice day.
3 Credits: Credits earned from ad sales go directly into the student s accounts. Credits can be used for trips, fees, banquet tickets, uniform needs and any expense directly related to being a member in the Hatboro- Horsham Marching Unit (HHMU), Hatboro-Horsham Indoor Percussion (HHIP) and Hatboro-Horsham Winter Guard (HHWG). Credits will carry over from year to year. If there are still credits left in the account when a senior graduates, or a member no longer participates, those credits will go to his/her sibling in the HHMU, HHIP or HHWG or into the Directors discretion fund. This year the credits are as follows: 20% on all ad sales received by August 31, % on all ad sales received between September 1, 2014 and October 4, % on parent/family ads received any time during the campaign Example: On or before August 31, 2014 we receive ad contracts from you totaling $ You are within the period to receive 20% of those sales as credits. $40 is credited to your student account. Example: Between September 1, 2014 and October 4, 2014 we received ad contracts from you totaling $ You are within the period to receive 15% of those sales as credits. $30 is credited to your account. To get credit for an ad, you must have a signed contract AND payment. If the advertiser needs more time for the ad copy, turn in the contract and payment and get the ad copy from them at a later date. All ad copy must be turned in by October 4, Please Note - Last year, six students earned enough credit from this fundraiser to cover ALL of their outdoor activity fees and a portion of their indoor fees. You can too! YOU ARE RESPONSIBLE FOR FOLLOWING UP AND MAKING SURE EVERYTHING IS HANDED IN ON TIME. WE WILL NOT FOLLOW UP FOR YOU. THIS IS YOUR RESPONSIBILITY. IF AT THE END OF THE CAMPAIGN, ADS, CHECKS OR CONTRACTS ARE NOT TURNED IN, CREDIT WILL NOT BE GIVEN AND THE AD WILL NOT APPEAR IN THE PROGRAM.
4 Sold List Updates: You will receive an each Sunday with an updated list of all ads sold to date. Please notify Dena Presley at immediately with any questions or concerns pertaining to the list. Who Owns What List: Will begin on July 29 th and end on August 17 th. Members only own that business for those 2 1/2 weeks. A current copy of this list is included in this packet. The Who Owns What List is a listing of the businesses that bought ads from members last year. The list is a guide, and any business not on it is open to the entire marching unit. If any business ad is sold during this time and it belonged to someone else, the owner will get the credit. There is also a Freshman/New Member List attached. This is a list of businesses that purchased ads from former members last year. This list is open to freshman and new members ONLY and will also begin on July 29 th and end on August 17 th. Veterans - Please be fair and play by the rules wait until these two lists expire before pursuing these businesses! Starting August 18 th, any business on the list that have not been sold yet will be open to any member to sell to. You will receive an updated list in the evening of August 17 th with the regular Sunday campaign update .
5 Color Cover Ads - $300.00: There are only three cover ads available on a first come, first serve basis. These ads are placed on either the front inside cover, back inside cover or back outside cover. These advertisers receive a complimentary book plus two free Tip of the Hat tickets. You must notify Dena Presley IMMEDIATELY when you sell a cover ad at or DenaP71@aol.com. Last year, all three ads were sold the next day! PLEASE NOTE - IF YOU SELL A FULL PAGE AD OR COVER AD YOU ARE REQUIRED TO HAND DELIVER THE COMPLIMENTARY PROGRAM BOOK AND TWO FREE TICKETS PRIOR TO THE SHOW! Parent/Family Ads: We give discounts to any family member who wishes to place an ad (business or personal) for their children. Please use the Parent/Family Ad form if you wish to take advantage of the discount. Keep in mind, members will only earn 10% student credit for parent/family ads. Shout Outs: These ads are designed to shout out a few lines to your favorite marching unit member. Please be sure to follow the instructions on the form. Section Ads: All sections will be represented in the program book with a full page ad. All artwork is due October 4 th. Please create your design on an 8.5 x 11 piece of paper. Ads can be in color or black and white. Senior Profiles/Baby Pictures: Seniors Please fill out the attached profile and return to Dena Presley no later than September 14 th. Please include a baby picture with your name written on both the envelope and back of the picture. Both the pictures and profiles will be printed in color and placed in the front of the book. The pictures WILL be returned.
6 Cover Design: Each year we have a cover design contest. The artwork will be judged, and the cover awarded by the instructional staff. The winner will receive a $50.00 Visa Gift Card. Any member of the Hatboro- Horsham Marching Unit may enter. Please create your design on an 8.5 x 11 piece of paper and sign the back of the artwork. Every student who submits a cover design will receive $2.00 student credit. The deadline for cover design artwork is September 14 th. Designs must be submitted as a camera ready hard copy, ed to DenaP71@aol.com or burned to a cd. This year s show is entitled Phyxius. Please incorporate this theme into your design.
