1 Home Room Parent Guidelines Thank you for volunteering to be a Home Room Parent for your child s class! Your help will be invaluable to the PTO and to your classroom teacher. Below are some of the things you could be asked to help with during the school year. If you have any questions, please contact a member of the PTO board, volunteer coordinator or your classroom teacher. Communications To be effective and efficient, you should obtain an list of all the parents in your assigned classroom by referencing the school directory or use template to send to teacher to send to parents (if school directory is not available). Send out an introductory to your class parents introducing yourself as the HR parent. Please be advised that the distribution list is to be used solely to assist the teachers and WPTO in communicating classroom needs, volunteer recruitment and fundraising communications and should not be used for any non- school events or activities. Please use the BCC field when ing parents in order to maintain privacy. You will receive communications from the classroom teacher, PTO committee chairs, and the PTO board. Please forward this information to all parents in your classroom in a timely manner. We respectfully request all information be distributed within 48 hours of receipt. Please cc the teacher and volunteer chair (Jenene Hunkele jhunkele@amgen.com) on all communications. Connect with the classroom teacher on a regular basis to discuss any needs throughout the school year. Send out letters to parents at appropriate times regarding a class gift for the teacher (example provided below). Consult with teacher about collecting a one- time voluntary party fund donation to help defray costs. Class Parties Ensure there are enough volunteers for each party or event. Building policy is a maximum of four parent volunteers per party per classroom. Younger siblings/small children are not allowed to be in the classroom as per the district policy. In addition, extended family including spouses, grandparents and friends may not be invited to attend the parties. Should there be any changes to the assigned class party volunteer list, please forward them to Jenene Hunkele (jhunkele@amgen.com). Please communicate with each party coordinator to remind about the planning of party and expectations (example provided below).
2 Home Room Parent Guidelines (cont d) Ensure the party plans are submitted and approved by the teacher at least three (3) weeks prior to the party date. Homeroom Parents are not allowed to attend the different parties during the year unless are a registered parent volunteer for that event. Please adhere to the district s Visitor Policy. Please notify the office when expecting to enter building. Once inside building, volunteers are not allowed to visit other areas of the building. No violence, toy guns, squirt guns, marshmallow guns, etc are permitted at the parties. Sample letter for donations for holiday/end of year teacher gift Dear Families, The holidays will be here before we know it. With this in mind, I wanted to reach out to the families of our class to ask for any contributions towards a class gift for our teacher,. This is strictly a voluntary discretionary donation. If your family is interested in participating, please send to school in an envelope to my attention,. I will everyone about the gift after it is purchased. Please send in all donations no later than Friday, December 13 th, Please share any thoughts or ideas for a gift. Thanks.
3 Sample Letter for HR parent to send to class party volunteers Greetings End-of-Year Party Planners! Thank you for volunteering to organize Mr/Mrs. Teacher s Name s End of Year Party! The party will take place on Monday, June 10, 2:30-3:15pm. You may arrive at the school at 2:20 pm to sign in at the office and set up in the classroom. The parent volunteers for this party are: Year End Party Parents: Parent Volunteer #1 Parent Volunteer #2 Parent Volunteer #3 Parent Volunteer #4 address - Party Coordinator address address address Just a few reminders for the party: There are 21 students in Mr/Mrs. Teacher s name class. No food is permitted during the party. This also applies to games, activities and goodie take-home bags. Parties should be kept simple, age- appropriate and comparable with what other classrooms in the same grade are doing. All games and craft supplies will need to be provided by the party committee. If additional donations are needed, please use the below list of party supply donors. For the party content, you have 45 minutes. Consider 3-4 stations (mix of games/crafts/story). The time goes very quickly so adjust the number of activities planned according to how long they will take. Do as much prep work at home prior to the party as possible (assign groups, unwrap games/prizes, cutting, etc). You may take your child home with you at the end of the party after signing him/her out. The party coordinator may begin reaching out the the assigned volunteers to begin planning the party. Once you have your plans, please communicate these in detail with M/M teacher name (teacher@pinerichland.org) 3 weeks prior to the party so that she can make sure your plans are within school guidelines and make suggestions/adjustments as needed. 4 Sample Letter for HR Parent to Collect for Party Fund (Optional) Dear Families, We are collecting monies to help create a party fund for our classroom for this school year. These monies will be applied equally to the parties throughout the school year. This collection is absolutely voluntary and discretionary. Party parents will have the opportunity to be reimbursed from these funds for the parties they are coordinating. Any party parent will submit receipts to the HR parent who will issue reimbursement from the collections. Throughout the school year, communications will be sent to families regarding the balance of the party fund account. Any remaining funds will be credited to the year-end gift for the teacher.
