1 PLYMOUTH COLLEGE Assessment PLYMOUTH COLLEGE Assessment: Policy Guidance 1 Scope This guidance is applicable to all those with responsibility for undertaking risk assessments for activities which are under their control in both Senior and Prep School. This includes the requirements of the Independent Schools Inspectorate, National Minimum Standards and Early Years Foundations Stage standards 2 Objectives 2.1 To ensure that suitable and sufficient risk assessments are undertaken for activities where there is likely to be significant risk. 2.2 That identified control measures are implemented to control risk so far as reasonably practicable. 2.3 That those affected by school activities have received suitable information on what to do. 2.4 That risk assessments are recorded and reviewed when appropriate 3 Guidance 3.1 The Bursar/Assistant Bursar/Head of Department will be responsible for the implementation of this policy. 3.2 This guidance is applicable to general risk assessment. Where specialist skills are required, eg asbestos, fire, water quality and hazardous substances, there is separate policy guidance in place. Teaching area risk assessment checklists are also in place for guidance. 3.3 All staff will receive guidance on risk assessment as part of their induction. This will be refreshed on an annual basis. assessment training will be provided on specific areas where identified by the Bursar. 3.4 A template risk assessment form is included at Appendix 1 to this guidance. 3.5 assessments will take into account: hazard - something with the potential to cause harm risk - an evaluation of the likelihood of the hazard causing harm risk rating - assessment of the severity of the outcome of an event control measures - physical measures and procedures put in place to mitigate the risk 3.6 The risk assessment process will consist of the following 6 steps: what could go wrong who might be harmed how likely is it to go wrong Page 1 of 15

2 PLYMOUTH COLLEGE Assessment how serious would it be if it did what are you going to do to stop it how are you going to check that your plans are working 3.7 The Assistant Bursar will be responsible for the maintenance of risk assessment records. 3.8 assessments will be reviewed: when there are changes to the activity after a near miss or accident when there are changes to the type of people involved in the activity when there are changes in good practice when there are legislative changes annually if for no other reason 3.9 A list of areas (non-exhaustive) which will require risk assessment is included at Appendix 2. 6 PLYMOUTH COLLEGE Assessment RISK ASSESSMENT Hazard / Description - identify hazards & associated risks Hazard: Slips, Trips : Trip over objects, slip on spillages result in sprain, strain, fractures etc. Persons at Existing Controls in Place e.g. training, information, physical controls A, B, F, G Carpets and floors are in a good condition regularly maintained and free of slip, trip and fall hazards and obstacles. Housekeeping is to a good standard with no items stored close to walkways. Tables and chairs in offices are arranged to minimise the risk of tripping and to allow a person sufficient room to pass. Fire exit routes are not compromised. Changes in floor level are highlighted. Cables are laid to reduce the risk of slips and trips. Access and egress routes and points are kept clear at all times. Other controls: 6

Fire extinguishers located outside of class room, in correct location, security tagged and in date. Fire exit signage clear on exit from classroom, staff aware of most appropriate evacuation routes and alternatives. All ceiling tiles securely located, and free from holes / damage. Housekeeping is good with minimal combustibles stored in class room and no combustible items stored near or above heaters or electrical equipment. 7

( personal appliances are used) Multiway plugs are not used on a permanent basis, where they are used they are not overloaded. All equipment is in good working order with no signs of damage to casing or cables. All sockets and cabling is in good condition and free from damage. All non essential equipment is switched off when it is not used. (Especially overnight and weekends / holidays) 8

Shelving and storage units are free from defect, stable and regularly maintained. All Items are stored below head height. IF items are stored above head height - if alternative storage is not available, is an appropriate means of access available and used. All chemicals, including tonners and cleaning products are listed on the COSHH register. A COSHH assessment is available for all substances used. All staff are aware of any items that may contain asbestos and the need to report damage to these items immediately.
