2 Invigilatis Applications Compliance Manager Software provides a sophisticated and flexible Compliance Management Information Service. The core repository stores Policies and Operating Procedures Checklists and advice Assessments, inspection results and evidence Details of remediation work and its completion ensuring Directors are assured that risk is being minimised and controlled. Managers understand their responsibilities and plan a regime of inspections. Staff have sufficient time allocated for the completion of compliance tasks. 3 Modules Modules are currently available for the following risks Legionella Asbestos Fire LOLER COI and the software is easily customised to other HSE requirements and client specific requirements, such as governance, CQC, Clinical Risk Assessment. The services enable Customers to: Confirm and Plan required Compliance Activities Comprehensive listing of statutory compliance with associated checklists. Inspection planner providing task reminders by , SMS and integration with Microsoft Outlook to staff, occupiers and contractors. Gather Evidence and Assess Risks Expert checklists and risk assessments. Evidence database providing full audit trail of inspection outcomes for each location and asset which has been checked. Communicate Compliance Issues Dashboard with drilldowns to identify major risks at individual locations and assets. Workflow to review inspections and manage the resultant repair work. 2 P a g e

4 Business Intelligence In addition to real time Dashboards running on transactional data, Invigilatis provides a range of BI solutions to handle complex scenarios requiring significantly extended tailored analysis from one or more systems. Top level strategic management analysis is provided in the form of dash-boarding plus drill-down facilities which draw data (largely but not necessarily exclusively) from a BI suite of tools rather than directly from the source data. By using BI for substantial and complex queries running over significant volumes, impact on real time server availability is minimised and day to day operations are unaffected. 3 P a g e

5 Service Definition Invigilatis software is available as a service and the G Cloud offering is available either via the Public Cloud (i.e. via secure virtualised servers over the Internet), or via Private Cloud installation (i.e. departmental LANs and WANs). Service Levels The Public Web service will be available 24/7. However if the service is delivered via a Private Web, the availability of that service is the responsibility of the Customer. Access Access to the service is permission-based and is customer driven. Various levels of usage can be established giving systems administration, write/read and read only access to some or all of the data. Service access can be linked to the Customer s active directory, enabling it to be accessible via the users single sign on Initial passwords are a randomly generated string of alpha and numeric characters and they are of sufficient strength to protect the system. Upgrades Invigilatis software, which underpins its service, will be progressively upgraded with a mix of maintenance releases and incremental enhancements. Service users will be advised fully about these upgrades Design and Configuration Invigilatis provides a full range of design and configuration services, and these also encompass Data Analysis, Business and Workflow Analysis, Business Transformation and Change Management. Implementation Implementations are managed strictly to minimise risks. Stages and roles are clearly defined and agreed for each project and then controlled formally as the implementation proceeds. Each implementation concludes with a formal review to ensure there are no outstanding items. Information Assurance The Public Web service is hosted by UK Fast a leading hosting supplier which has IS Accreditation and application has been made for IL2 accreditation. The assurance of Private Web services is determined entirely by the Customer. 4 P a g e

6 Service Management, Data Storage and Processing Invigilatis hosted services are delivered via the Public Cloud by UKFast - also a G Cloud service provider (Service ID: 3.G ). Backup, Restore and Disaster Recovery Invigilatis services are triply secured with host, service provider and remote back-ups. Both the host and Invigilatis provide restore mechanisms and disaster recovery services. A full audit trail is available and, with system administration permission, proactive audits can be set up. Service Security Invigilatis services are delivered by a host with an extremely robust security policy and have gained ISO 27001:2005 certification for the Information Security Management System as well as ISO 9001:2008 certifications for the Quality Management System. Data on boarding For on boarding, Invigilatis first map the data to determine exactly how the loading will proceed, how the data will be received, whether from disparate flat file formats and directly from database tables, and which control totals will be used to ensure the transfer has been successful. During loading, the data insertions are checked via business logic to ensure validations, integrity checks and business rules are adhered to using SSIS extract transform and load capabilities. Data off boarding For off boarding, the data can be output to flat file formats in a variety of delimiter formats and, using SSIS, Integration service packages can be created to export data in standard forms Archiving and data deletion Data can be archived or deleted when it is no longer required and both of these policies are Customer driven. Maintenance and Support Invigilatis provides an online Support portal which is available 24/7. This portal is accessible through standard browsers and it is used to register new support issues and track existing issues. The knowledge base allows users to search for resolutions to common issues. All communications are recorded in the support database and notifications can be sent automatically to nominated address when the database is updated by both INVIGILATIS and service users. Issues which recur are prime candidate enhancements for maintenance releases of the software. 5 P a g e

7 Training Invigilatis provides an extensive range of training options for service users both standard training and bespoke workshops onsite and offsite delivery via remote access tools such as Webex and GotoAssist Business Intelligence (BI) Invigilatis provides BI services to assist service users exploit the full potential of their amassed data. These BI services range from transactional solutions linked to real time dashboards to cubed solutions built on warehoused datasets in OLAP databases which can deliver valuable predictive analytics for managers and senior managers. Using SQL toolset, Invigilatis can customize ETL (extract, transform and load) processes to ensure services users data mining and predictive analytics are run on clean datasets. Customer Responsibilities Our customers are responsible for supplying all data required to initiate the service and informing Invigilatis of their requirements for back-ups and archiving. For those who elect to run the services over a Private Web, all aspects of service provision lie with the Customer. Invigilatis also encourages its Customers to share information about improvements which they would like to the service. 6 P a g e

8 Technical Service The Public Web service is provided by UKFast, an established G Cloud IAAS provider, which operates industry-standard, best-practice methodologies, processes and management principles which have helped achieve the following certifications and awards: ISO 27001: Information Security Management System ISO 14001: Environment Management System ISO 9001: Quality Management System PCI Data Security Standards (PCI DSS) BSI PAS 2060: Carbon Neutral DCIM NiC EIC Approved Contractor UK Fast s data centres are located in multiple locations through the North West of England and are connected to multiple transit and peering connections. The UKFast multi-10g network includes multi-homing to provide the definitive optimised conditions for server hosting. Bandwidth is un-contended and aggregated from multiple Tier 1 suppliers, guaranteeing 24/7 connectivity. UKFast have multiple transit links into our facilities from different suppliers including: AboveNet, Global Crossing, Level 3 and Cogent. Each and every one of these suppliers has been selected for their global reach and reliability. UKFast s reliable peering strategy combines with state-of- the- art Cisco hardware to ensure a network with no single point of failure. We also have peering arrangements in place with LINXP, LONAPP, LIPEX and IX Manchester. Core equipment and circuits are run below 50% capacity, allowing bursts in traffic and network spikes to take place with no effect on our clients, so you are always equipped to handle increased visitors. Software Invigilatis software is developed using Microsoft s.net Framework - i.e.in Visual Studio and the latest DevExpress tool kit. It runs optimally on SQL 2008 database. BI developments primarily use SSIS and SSAS capabilities of SQL 2008 R2 with OLAP database. Recently the new data model first which was available in SQL 2012 and enhanced further in SQL 2014 has been tested and shown to provide better ability to run BI on purely transactional data Access Software is tested on all main browsers and access to the service is assured for Internet Explorer, Safari, Mozilla, Opera and Chrome. 7 P a g e

9 Pricing All pricing below is shown net of VAT Module Pricing Each module is priced for a minimum of 50 users and 1,000 assets with the monthly prices starting at 10 pence per asset per 50 users. Consulting and Project Management Invigilatis team provide a range of senior professional supporting services to help users which include: Design and Configuration Implementation Business Intelligence Project Management These services are all priced and charged at 850 per day. Typically in a project these items of work are will be co-ordinated and Invigilatis will bundle the service prices to reflect the associated efficiencies. Training Standard Training 850 per day Bespoke Training 850 per day, plus 1 day set up time Remote delivery 150 per hour N.B.
