We ll take care of the entire operation, including provision for data capture, processing, distribution and reporting. You ll have online access to a simple and easy-to-use cloud-based system - meaning there are no download or installation requirements and our dedicated payroll experts are on hand to answer any questions you may have. Our payroll system also allows you to manage your Auto Enrolment responsibilities as an additional add-on. Each element of the service is charged separately but we can talk you through what would best suit your business. 3 How our managed payroll service will benefit you Auto Enrolment New legislation that impacts your business How does Auto Enrolment affect me? The workplace pensions law has changed. All businesses are now required to automatically enrol their employees into a workplace pension scheme and make a minimum contribution towards it. What do I have to do? The benefits include: Peace of mind: We handle the whole payroll operation, so there s no need to worry about the little details and you can concentrate on running your business The Cloud: Just like your online banking, you can access pay slips and payroll data online via The Cloud reducing your carbon footprint HMRC compliance: We ll ensure your payroll is fully up-to-date with all HMRC requirements, so you ll have no unwelcome surprises Provide a qualifying pension scheme for workers Communicate the changes to all employees Advise eligible jobholders that they have been enrolled and give them the option to opt-out Automatically enrol all eligible jobholders onto the scheme Pay employer contributions for eligible jobholders What should I be aware of? Register with The Pensions Regulator provide details of qualifying scheme and the number of people that you have automatically enrolled Process any opt-in/opt-out requests Monitor leavers, starters and casual employees enrolling periodically as required Re-enrol any opted-out employees every three years Ongoing maintenance: You ll never have to update your software - ongoing maintenance and upgrades are provided at no extra cost Expert support and advice: Our skilled and experienced staff will deal with the entire complex payroll operation so you don t have to All businesses must automatically enrol all employees who are: Aged over 22 Under the state pension age Work in the UK Earning over 10,000 a year What happens if I don t comply? For more information contact us on or visit our website Failure to comply with statutory notices may result in a 400 penalty followed by an escalating daily fine of between 50-10,000, depending on your number of employees. In addition, failure to pay employee contributions may result in a financial penalty of up to 5,000 for individuals and 50,000 for organisations. 4 How we support your Auto Enrolment requirements Through RBS Payroll, you can configure your payroll service to the requirements of your registered company pension scheme. This will allow you to: Calculate employer and employee deductions based on company pension rules (Percentage, Fixed Deduction or Salary Sacrifice based schemes) Run a pension report showing employee, employer and total deductions Additional Auto Enrolment services For an additional charge, we can configure your payroll software to conform to your Auto Enrolment registered pension scheme. This will allow you access to an enhanced service and additional reporting to help support your Auto Enrolment requirements. These include: Setting up your pension scheme in payroll and applying postponement periods, if required Enrolling eligible employees into your chosen pension scheme in payroll Providing default contributions Calculating your employer and employee pension contributions Processing opt-outs and monitor for re-enrolment duties Reporting on your enrolled and eligible employees Providing a generic interface file containing all the data you need to make a submission, or Providing a NEST pension interface file ready for submission Your responsibilities It should be noted that to fully comply with Auto Enrolment, you will have the following responsibilities out-with the service: Choose a Pension Provider Register with the Pension Regulator Communicate to all employees Send pension file to the Regulator Maintain pension records You can find out more at 4 5
