When to use Offer To Rent Form: Offer To Rent should be used If your tenant wants to make an offer that is below full price, or if they are requesting unusual conditions, contingencies or other non-standard circumstances. Aadvisor Rentals does not make verbal offers to Property Owners. We do not see if an Owner will take any amount or any set of conditions. The way to discover if an Owner will take an offer is to use the Offer To Rent Form. All offers are presented in writing and are accompanied by consideration (the Good Faith Deposit), and are binding upon the tenant if accepted by Property Owner. 2. How to use Offer To Rent Form: Tenants may submit a less than full price offer for a property using the Offer To Rent Form. In cases of multiple offers, using the Form means that Tenant is on record as to date, time and amount of offer. The Good Faith Deposit for the Offer To Rent should include at least one month s rent (at the rate being offered), the Screening Fees ($50 per adult tenant on the lease), the Processing Fee ($95) and any Payment Processing Fees. This consideration may be paid by delivery one of our offices, by credit card over the phone, by Wire Transfer or by filling out and signing the Authorization for Electronic Payments. Tenants must also completely fill our and sign the Offer To Rent form. 3. How to fill out Offer To Rent Form: Fill in ALL blanks and have all tenants to be on the lease sign at the bottom. a. Fill in Property Address, Agent (Your Name), Your Broker Company b. Fill in Tenant Names (all adult tenants who will be on the lease) c. Fill in Date of Offer d. 3 e. By default, tenants are expected to pay all billed utilities. If tenants offer to pay additional expenses (lawn, pool, memberships, etc.), please fill in details here. f. Fill in any additional terms you are requesting. g. Fill in the FULL AMOUNT of the Good Faith Deposit. This is the total of the Screening Fees ($50 per adult on the lease), the Processing Fee ($95), any payment processing fees ($2 for Electronic Check, $50 for Wire, etc.) and one month s rent at the rate offered. h. Fill in the amounts that you (Procuring Broker) have actually received. This should total to be the same as the amount above, but broken down. Example: Offer to Rent is $2,000 per month, 2 adult tenants, no Payment Processing Fees. The amount of the Good Faith Deposit is $2,095 for the one month s rent and the Processing Fee, and $100 for Screening Fees, for a total of $2, Accepted Offer without any changes: If the Offer to Rent is accepted, tenant has FIVE BUSINESS DAYS to sign a written lease according to the agreed terms, or tenant will FORFEIT ALL AMOUNTS PAID WITH THE OFFER TO RENT. 5. Accepted Offer with changes, or Counter-Offer: If the Offer to Rent is conditionally accepted with additional conditions, or if the offer is countered, tenant may either withdraw the Offer To Rent entirely, may accept the changes or may continue to negotiate. If tenant accepts the changes, or if tenant continues to negotiate and offers terms which are later accepted by Property Owner, tenant will have FIVE BUSINESS DAYS to sign a written lease according to the agreed terms, or tenant will FORFEIT ALL AMOUNTS PAID WITH THE OFFER TO RENT, as in 4 above. If tenant chooses to withdraw offer, tenant will receive a refund of all amounts paid EXCEPT for Screening Fees, which are not refundable. 6. Rejected Offer: If Property Owner rejects the Offer to rent and if no further negotiation ensues, tenant will receive a refund of all amounts paid EXCEPT for Screening Fees, which are not refundable. 7. Tenant not approved: If tenant s Screening Application or any HOA application is not approved, tenant will receive a refund of all amounts paid EXCEPT for Screening Fees, and any HOA application fees paid, which are not refundable. 8. Property Owner has final decision: If Offer To Rent is accepted by Property Owner, and tenant s application is approved, the lease must still be executed by all parties. It is possible (although very unlikely) that Property Owner may decline to sign the actual lease agreement. In this unusual event, tenant would receive a refund of all amounts paid except for Screening Fees and HOA Application Fees. 9. Collect the Good Faith Deposit Funds Due: The amount filled in as the total of the Good Faith Deposit is the amount that must accompany the Offer To Rent Form in order for us to present the Offer To Rent to the Property Owner. 4 OFFER TO RENT FORM IS NOT VALID UNLESS BOTH THE SIGNED FORM AND THE FUNDS ARE RECEIVED BY AADVISOR RENTALS. 10. Where to send the completed Form: a. BRING the completed Form and Funds Due into any Aadvisor Rentals office. Our office locations may be found online at This is the preferred method. b. SCAN and the completed Form to the staff member who sent you the form, or to You must include some means of payment, either a Credit Card, a signed Authorization For Electronic Payments Form or tenants must send a Bank Wire according to the Wiring Instructions. This is the preferred method if it is not possible to bring the documents into our office. c. FAX the completed Form to Lease Processing at You must include some means of payment as explained in (b.) above. d. SEND BY OVERNIGHT DELIVERY the completed Form along with check, cashier s check, money order or with some other means of payment as explained in (b.) above. Do not send cash. e. It is not recommended to send the Form via regular mail, as time is of the essence in the agreement. 11. Once the Offer To Rent Form has been approved, a lease must be executed by tenants within the time frame specified in the Form. Please refer to the Lease Instruction Sheet for more information. The Lease Instruction Sheet is available on our website at Your Aadvisor Rentals Co-Broke Team will work very hard to make your lease transaction come together as quickly and as smoothly as possible. Please help us by encouraging Tenants to provide complete information on all forms, provide all funds due when required and not to attempt to make any alterations or changes to the lease or other forms. The process will go faster if Tenants provide initial funds and forms as soon as possible so that they may be screened immediately. Once your tenants actually sign a lease and provide the funds due under the lease, the Offer To Rent Form has been fulfilled. It is very important that you encourage your tenants to perform under the Offer To Rent Form within the time required so that they do not forfeit any deposit paid. Once the lease is written, we know that you will be anxious to hear when your Tenants are approved, or how their application is going. We are just as anxious as you are. But we are only able to tell you news as and when we receive it from Screening Sources, HOA s, Former Landlords, Property Owners, and other 3 rd parties. If you must contact us about application status, please do it by only. Bear in mind that staff time on the phone with agents checking status is staff time that could be spent working constructively and effectively to actually process the application.
