2 It is well documented that the app industry has long been dominated by the needs of the consumer. The market that exists for consumer apps is huge, with over 75% of the 75bn app downloads that exist to date sitting firmly within the consumer realm. Yet, in more recent years, another burgeoning market has come to light - in some ways this is very predictable; why should great apps just be the reserve of the consumer?

4 Introduction Here at Apadmi, we have seen steady growth in the demand for enterprise apps over the last three years shows signs of being the tipping point of mainstream adoption due to a number of key enablers. These include advanced adopted device management systems, enterprise specific handsets such as Samsung KNOX and increased employee expectations in the workplace. Enterprise apps are expected to bring in almost $40bn of revenue by 2016 and Gartner predicts that over 25% of businesses will have an enterprise app store within the next 3 years. We proclaimed at the beginning of the year, that 2014 was the year of the enterprise app as the gap steadily closes between the number of consumer and enterprise projects at Apadmi HQ. It s a market full of potential and possibilities, yet it is equally important to get it right. Here are 10 of Apadmi s top tips for developing a successful enterprise app Over 25% of businesses will have an enterprise app store by

5 1 Employees are users too When considering an internal application, it is tempting to focus on what the enterprise needs from the application, whether that be workforce support, work flow improvements or general mobile integration. What can often be neglected is the engagement and experience of the company s employees, who, lets not forget, are users too! The rise of the app within the consumer space has massively increased user expectations; this has set a benchmark that enterprise solutions must reach. A successful enterprise app must boast an intuitive and well-designed user interface (UI). It should sit comfortably next to the likes of Facebook and Twitter in terms of usability and functionality if it is to gain acceptance amongst your company s employees. Simple inclusions such as company colours and logos are a good place to start. By incorporating the organisation s identity, employees can quickly become familiarised with the app and will perceive it as an extension of the company s brand. The very nature of an enterprise app means they are often deployed to support functional tasks. As such, the navigation experience becomes vitally important. A cluttered and rigid navigation such as extensive lists or drop down menus, will serve to complicate tasks and disengage your employees. Enterprise apps can also include large amounts of text or data. Ensure content is summarised and prioritised the most important information should always take prominence.

You should enter into a design process with your app partner that considers both the user interface (UI) and the user experience (UX). As with any process of change within an organisation, having employees (stakeholders) involved in the process gives it a greater chance of acceptance and success. A targeted design process will put the app in the best possible place for adoption by employees. It will also make the development process more efficient and save time and therefore cost. It will also flush out ideas that may not be suitable and spark new ideas that should be taken in to consideration. 06

7 2 Not all users are the same The chances are that you will have to target different user groups with your app. These groups may be divided at a business level, for example, customers, suppliers, and external service providers. It is also likely that you will service different stakeholder groups within an organisation, for example, C-level management, Sales, Finance or Marketing. As with any normal business system, the different groups will have their own requirements of the app. There will also be a need to control access and permissions to support the process and protect the data within that process. It is important to gain clear identification of the different roles, the functionality required by each and what data can be accessed. It is also important to identify if it is suitable to provide multiple applications to serve a business group or develop a single parameterised solution (a single app that only presents the functionality required by that user) that can target the organisation as a whole. It is likely that you will service different stakeholder groups within an organisation. 07

8 3 What devices do you support? At the basic level, a device consists of hardware (E.g. iphone 4s or Samsung Galaxy 4) and an operating system (E.g. ios7.1.1 or Android 4.4). There are also further variants to consider such as handset manufacturer variants (E.g. Samsung Android or Sony Android), not to mention different form factors (E.g. small screen android device or ipad tablet). Despite the protestations of the hardware and operating system vendors, devices are different sometimes in a minor way, sometimes significantly. Fragmentation is traditionally seen as an Android problem, however ios still brings its own challenges, such as how many different iphone variants and ios variants do you continue to support. Some argue that the use of HTML5 or cross platform technologies (one code base to server multiple platforms) solves the problem and allows you to reduce your testing burden. This is not the case - to guarantee that any solution works on a handset, you need to test it on that handset, irrespective of what technology was used to build it. An organisation can provide a single device to all its employees, which can hugely simplify the picture. This is however rare and the costs associated with a single device solution can often prove prohibitive. It is therefore likely that you will be delivering an app that will have to support multiple combinations of hardware, software and operator specific variances. The simple rule of thumb is that the more smartphones and tablets you support, the more testing you will need to do and the more complex your support and maintenance process will be. Your app partner should be able to advise you on a device support matrix to ensure that you get the maximum amount of coverage using efficient testing techniques. They should also be able to provide appropriate levels of training, support and maintenance to ensure that any issues can be quickly resolved and the deployed app continues to work on future devices and operating systems. The more smartphones and tablets you support, the more testing you will need to do and the more complex your support and maintainence process will be. 08

9 4 Selecting the right technology The mobile industry is driven by innovation and this consistently delivers new ways of doing things. This means there is always more than one way to approach a problem; in fact, if you speak to 5 different developers you will most likely get 5 different answers to your question. The choice of technology is always subjective and can provoke passionate debate. The core technology decision that you will have to make with your app partner is which approach should you use for your app; Native, Hybrid, Cross Platform, HTML5 or a combination of these. The view at Apadmi is that one technical approach does not simply replace the other; they all have their advantages and disadvantages in the ability to meet your requirements. Time should be set aside at the beginning of a project to undertake a strategy phase. Part of this phase will include an assessment of what technical approach should be taken to deliver the requirements. The choice of technology may be obvious however it is advised that this is reviewed rather than assumed so that you ensure you are building on the correct foundations for your current app and your future app. 09

10 5 Consider security & IT policies Introducing mobility into the enterprise will mean that existing policies will need to be reviewed and potentially updated to support mobility. An example case study to illustrate this is a project to provide business KPI data on smartphones to senior management. This was in the context of a security policy that mandated that data used for the KPI reporting could not be made available outside of the company s local area network (LAN). Whilst the policy was supported when devices were connected to the company s private wireless network, it was not supported when the devices connected over GSM data (E.g. 3G). Although the use of a VPN could technically solve the problem, it did mean that the usability and user experience delivered by the solution was compromised. Ultimately, the app requirements and company security policies were at odds and both could not be satisfied. The solution was to update the security policy to reflect and support the introduction of mobility, with specific policy requirements placed on mobile (E.g. authentication, data storage, encryption) to reduce the risk that sensitive information would get into the wrong hands. Even if mobility does not break existing policies, it is worth considering the fundamental differences between mobile and traditional laptops or desktops. Mobile phones are inherently insecure devices - they fall out of pockets, get left in taxis and get stolen. At the time of writing, it was reported that a leading political journalist lost his smartphone at a football match. This device contained the phone numbers of senior politicians from the Prime Minister down! The implications of this are that the device is an insecure part of the security chain and additional requirements must be placed on any mobile app dealing with sensitive information.

11 6 The app is only half the picture It is likely that any app you develop will integrate into an existing business system. It may be the case that this system already provides a mature environment for mobile integration, however it is more likely that some level of work is required to get the system to a state where it supports mobility and it delivers the endpoints (APIs) to allow the implementation of mobility features required by the business. Existing systems may have been designed at a time where mobile integration was not on the roadmap. It may also be the case that an app is required to work with a legacy system, where modifications by the software vendor are not feasible or even possible. The crucial first steps in a mobility project are to establish the current state of the system, understand what needs to be done to get it into the correct state and identify the timescales and stakeholders required to achieve this. It is important to remember that successful app development can only start once the systems are in place. In some scenarios, the app development process must wait until there is clear visibility as to when the system will be ready for integration. Good endpoint (API) design requires skill and experience. At a minimum, consideration should be placed on versioning, security, and the efficient use of data. Connectivity is another crucial consideration. Unlike desktops and laptops, mobiles are not permanently connected and therefore you cannot guarantee a data connection. This has an impact on how the communication between the app and the system should be managed. Your app development partner should be a mobility specialist and be able to provide you with the support and guidance needed to work though the system challenges and offer you a clear way forward. 11

12 7 Define the app s purpose Here at Apadmi we are true advocates that an app should only be developed with a specific purpose in mind. Jumping on the app bandwagon just for the sake of the industry s popularity means your app will fail to gain adoption, fail to add value and is unlikely to be used, resulting in wasted company budget. As the Enterprise market rises in popularity and becomes the hot topic of conversation, it may be tempting to come round to the idea of developing an internal company app without really having a use case for it. Consider what purpose the app will serve whether that be improving the efficiency or functionality of a certain task or solving a problem in a complex area. Whilst justifying an app s ROI in the enterprise space is often far easier than in the consumer space, ensure time is spent defining the business case for the app. It is also important to envisage the app as part of the bigger picture. An app should integrate into existing workflows, take into account user behavior, your overall digital strategy and enterprise and IT policies. Using an app to support staff training app for example, without introducing the business process to supplement and govern its usage is unlikely to be successful. 12

13 8 Find a capable app partner You may have a compelling idea and a detailed brief but, if you are new to application development, making it real can seem daunting. One of the questions you need to answer is, do you have the capability and expertise in house to design and create the app, or do you need to bring in a partner to undertake some or all of the project? You may also want to create a mix of internal and external teams to cover the various roles required, from Back- End System Engineers, User Experience Designers, Graphic Designers, Mobile App Developers, Testers and Project Management. Choosing the right partner and ensuring the interfaces between all of the parties is clear and understood will be a major factor in determining your success. Do you have the capability and expertise in house to design and create the app? Be careful and consider the following when selecting a partner: What is their mobile experience? Check out their portfolio and get references from previous customers. How much of the apps were they actually responsible for all of it, or just some of it? Do they understand your requirements? Does the supplier have a clear understanding of the considerations of implementing your requirements on the selected platforms? Have they identified any potential risks with the project and stated how they will mitigate against them? What is their delivery plan? Regular releases will enable you to assess the progress and quality of the project as it develops, and it will help you to identify any changes you wish to make earlier at the earliest opportunity. What is their development process? Identify how they address key aspects of software engineering such as: requirements definition, UI design, source control, coding standards, architecture design, code reviews, continuous build, testing, change control and release management. 13

14 9 Test, test, test One of the most valuable lessons we have learnt over the last 15 years is to involve the test team early in the development process. It allows them to understand the scope of the project, highlight any issues, provide input, and start to define the test plans. This can massively reduce problems when the application is nearing completion. One of the foremost challenges when dealing with apps is maintaining support across multiple devices and platforms. The only way to do this is to test. Define the testing process early in the project - who needs to be involved and what is the acceptance criteria? Detail the expected device support list and platform versions, and understand the latest trends in terms of OS adoption and market share. If you need to support all users, you will not be able to test on every possible device, so you will need to define a strategy to test on the lead devices, and perform a reduced test on a larger range of devices. You also need to understand the different types of test that you will require at different phases of the project, and understand what testing will be provided by your supplier; System Testing, Integration Testing, Smoke Test, Regression Testing. Also define whether you will be undertaking manual or automated testing, and understand the costs and test coverage of each method. Ensure you understand and define the edge cases that can occur in mobile app usage such as a sudden loss of connectivity, changing IP addresses or loss of battery at any point, and test for them. In our experience, regular app releases and testing throughout the project will help to make sure you develop a stable and intuitive product you do not want a shock towards the end of the project! Our typical approach to development and testing is to recognise that mobile platforms incorporate a huge number of variables, and whilst development requires stable and repeatable environments; testing apps needs a larger degree of variation in handsets, radio environments, battery states and even geographic locations to find those complex bugs. Be warned, if you don t find them, your users will! Finally, you need to define the process for defect triage, fixing and management and outline what tools you will be using for defect management. Our final tip here, no matter which tool you use, is to ensure that everyone uses the same tool. Migrating defect lists between different systems is going to cause you a lot of time and effort. Define the testing process early in the project - who needs to be involved and what is the acceptance criteria? 14

15 10 Finishing the app is only the start There s a common misconception that once the app has been completed then most of the work can stop there. Considerable thought must be attributed to how the app will be adopted internally. What will the internal marketing and awareness piece be to raise the app s profile? What support will HR and IT provide in terms of deployment, training, supplementary materials and policies? Don t just assume everyone is at the same level of competency in terms of operating mobile devices and applications. There will be a vast array of different abilities and these must be accounted for. Once roll out and adoption has been successfully completed, ensure ongoing maintenance takes place. Think about the long-term roadmap for your app and how it will support any new system upgrades that the app is dependent upon. It is not always possible for a developer to guess the future, but you will need to understand how ongoing support for defects or user feedback will be managed. Consider having a formal Service Level Agreement from your supplier detailing the costs and how they will respond to issues after the app is launched. 15

16 Conclusion As we reach a tipping point for the mainstream adoption of enterprise apps, we are seeing an increasing amount of companies thinking more strategically about the internal needs of their organisation. The benefits are being realised; whether that improving efficiencies, the functionality of tasks or solving complex processes. And what s more, the positive implications of deploying an enterprise app means many companies are generating a return on their initial investment in the longer term. Today s IT leaders should understand the importance of moving from the mind-set of being a support function, to operating as a business partner or enabler with the insight and capability to shape their business organisational strategy. 16
