3 ABOUT TRIAD The main purpose of ACR TRIAD -OA system is to automate and facilitate DICOM exchange processes between ACR and other interested institutions. This schema describes TRIAD components interaction: Figure 1 - TRIAD Components Interaction Schema The TRIAD system includes the following modules: TRIAD -OA Main Application Server - with Web server, Database Server and File Server - for DICOM images storing and administrative tasks. Web-based Client intended for administrative tasks (to maintain the TRIAD users' dictionaries) and search of images. TRIAD Site Server - to receive DICOM files from C-Store scanners and store them before submitting to the TRIAD Main Server. TRIAD Rich GUI Client is implemented full ACR TRIAD -OA system functionality including P2P networking (connection to TRIAD Main Server and Site Server, image search American College of Radiology 2007 All rights reserved 3
4 by different criteria, uploading, submitting the images from Rich Client computer and Site Server to the TRIAD Main Server, and image manipulation operations - viewing, editing, filtering, etc. This guide is addressed to TRIAD Web Client users only. For information on TRIAD Rich Client, please refer to the ACR TRIAD -OA Rich Client Help or User's Guide. For information on TRIAD Site Server, please refer to the TRIAD Site Server Help or User's Guide. USER INTERFACE Login The ACR TRIAD -OA system doesn't allow user to access its functionality before mandatory authentication and/or authorization process is successfully completed. To enter the system, specify Username and Password and click the "Log In" button. Select the "Remember me next time" option for saving password and auto-login next times. 5 - it means, that your account has not been activated yet. You can use your account only after approval of the register request by the administrator. User will get message after his account was activated and then can use his account. The login page gives a possibility of the "Password Recovery" if password was forgotten, and the "Register Request" - to register in the TRIAD System. If a user does not terminate a session, the system will automatically log him out after specified period of idle activity (typically 20 min, can be adjusted on the Server side). Register Request Location: Login Page - Register Request This function is used for sending a register request to the Administrator of the TRIAD System. Please, fill in the following form: Figure 4 - Register Request Form Enter these fields for a new user: Username - it will be a login name to enter the TRIAD System - mandatory field Password (and confirm it) - mandatory fields First name - mandatory field Middle Name - optional Last Name - mandatory field address (and confirm it) - it will be used for sending the activation link - mandatory field Select "I'm ACR staff" item or select the organization from drop-down list American College of Radiology 2007 All rights reserved 5
6 Description - enter the user's description - optional Note that the Username must be unique within the whole TRIAD system. Click the "Apply" button to create this user. Then the login information will be sent by mail to the added user. Note that the user can use his account only after his register request was approved by the administrator. User will get message after his account was activated. Password Recovery Location: Login Page - Password Recovery Use this function in case the password was forgotten. Enter your username and address (which was entered on the TRIAD registration form, when registering in the System): Figure 5 - Password Recovery Form Click the "Apply" button - if data you have entered is correct, you will see the message: "You got with instruction of password recovery." Use this message to recover your password. Navigation ACR TRIAD -OA Web Client system provides the ability to maintain TRIAD users' dictionaries. The left part of System screen contains a main menu pane, which allows you to navigate between system screens. The right part of the screen contains registration form or application form. Note that each user can see and use only those menu items, which are allowed according to his/her permissions. American College of Radiology 2007 All rights reserved 6
7 Figure 6 - Navigation You can use filters to find particular record in the database. An application page allows you to setup users' information. It may contain search filters, data grid, edit fields and command buttons. To navigate between different pages of information, use the page navigation buttons, located at the upper and bottom parts of the screen. If you entered invalid data or performed an incorrect action, the system will display red notification. User Account Privileges There are 3 main user types in the TRIAD -OA system: Administrator Site Administrator User (any another TRIAD System user) The table of users' types privileges is shown below: American College of Radiology 2007 All rights reserved 7
8 Figure 7 - User's Permissions Table Customize Additional Tags List "Customize additional tags list" - allows users to add or delete tags from the Search resultant list and Browse System Content, displayed with the Series. American College of Radiology 2007 All rights reserved 8
9 Figure 8 - Customize Additional Tags List You can check manually any tag you like. Follow the hyperlinks "All" tags, "None" or by "Default" to allow the System select the tags. After you selected the necessary tags, click "Apply". USER PROFILE Menu: User Profile User profile menu contains the current user's data and is used for user's profile administration according to the current user's permissions: American College of Radiology 2007 All rights reserved 9
10 Figure 9 - User Profile Form The View Groups, View Roles and Reset User's password links are used for setting user's Groups, Roles and for resetting the current user's password, i.e. they are available for Administrator and Site Administrator to change their own Roles, Groups they belong to, and to Reset their own Password. Change Password Menu: User Profile - Change Password Use this menu item to change your own password: Figure 10 - Change Password Form Please enter your old password, new password and confirm it. 11 ADMINISTRATION Menu: Administration ACR Triad Web Client 2.5 User s Guide This menu item contains items for user administration, group administration and subscription administration tasks and is available for Administrators and Site Administrators only. User Accounts Menu: Administration - User Accounts Use this menu item to view users registered in the ACR TRIAD System. By default you see the searching filter in the upper part of the screen, and the full list of registered users below. Figure 11 - User Accounts List Use the page navigation buttons ( ) to navigate between the pages of information. Enter the desirable values on the searching filter field (or fields - not necessarily all) and click the "Search" button. Click the "Reset" button to clear the searching filter fields. Click on the corresponding column name to sort users by the following attributes (by ascending or descending of values): First Name Last Name Username Organization # ACR Staff status Active status New Account status Click on the Username of selected user to view the user account information. 13 Figure 12 - View User Account First Name - mandatory field Middle name - optional Last name - mandatory field Username - a login name to enter the TRIAD System - mandatory field address - mandatory field Organization - select the organization from drop-down list if the user is not in the ACR staff, otherwise you do not need to select the organization. Selected organization or checked the "ACR Staff" item - is mandatory. Description - enter the user's description - optional ACR Staff - check if the user is in the ACR staff Active - check to activate the user. The View Groups and View Roles links are for setting the user's Groups and Roles for the current user. Reset User's password link is used for new password generating. View Groups Each registered in the TRIAD System user can belong to one or several user Groups. American College of Radiology 2007 All rights reserved 13
14 Figure 13 - Set User Groups Use and buttons to move selected group from the the available groups list to the list of groups, assigned to selected user and vice versa. Click the "Apply" button to apply changes. Click "Cancel" to return to current user profile without changing in assigned groups. Click current user name link to return to this user's profile. View Roles Each registered in the TRIAD System user must have the system role attribute (attributes) assigned by administrator or Site administrator. It can be done via user profile page (for setting the roles by administrator for himself) or via user's accounts page. The "Roles" dialog window has different appearance for ACR Staff persons and for Site users because of the different roles predefined for them. 1. This is the "Roles" window for Site users: Figure 15 - Set User Roles for Site Users The available roles are: Site Administrator Site Analyst Site Technical Specialist Tech Support Use and buttons to move selected role from the list of the available roles to the list of roles assigned to selected user and vice versa. Click the "Apply" button to apply changes. Click "Cancel" to return to current user profile without changing in assigned roles. Click current user name link to return to this user's profile. Reset User's password Any registered user can edit only his/her own password. Administrator can reset password for any user. Site Administrator can reset password for correspondent Site Users only. Too reset user's password find necessary user in "User Accounts". Click username link to get selected user profile and click "Reset User's Password" link in it. 16 Click Ok to reset password for selected user. System generates Password automatically and send it to the User's . Show New Accounts Menu: Administration - User Accounts - Show New Accounts This menu item is to view new users has sent a registration request to the TRIAD system or was added by administrator and have not been activated yet. Figure 17 - View New User Accounts Use the page navigation buttons ( ) to navigate between the pages of information. You can do the users search by the following parameters: First Name Last Name Is New Is Active Organization - select from drop-down list of organizations. Roles Filter - select the role from drop-down list. Enter the desirable values for the searching filter field (or fields - not necessarily all) and click the "Search" button. 17 Organization # ACR Staff status Active status New Account status Click on the corresponding column title for that. Click on the Username of selected user to view his user account information. Select the "Active" item to activate the user. Add User Account Menu: Administration - User Accounts - Add User Account Use this menu item for adding a new user to the TRIAD system. Fill out the following form: Figure 18 - Add User Account Form Enter these fields for new user: First Name - mandatory field Middle name - optional Last name - mandatory field Username - it will be a login name to log into the TRIAD System - mandatory field address - it will be used for sending the activation link etc. - mandatory field Organization - select the organization from drop-down list if you are not in the ACR staff, otherwise you don't need to select the organization. Selected organization or checked the "ACR Staff" item - is mandatory. Description - enter the user's description - optional ACR Staff - check if the user is in the ACR staff Active - check to activate this user. Then the activation link will be sent to this user - to allow the user to enter the system. Click the "Apply" button to create this user. If you filled in the form correctly, the login information will be sent to the added user by and you will see the following window: American College of Radiology 2007 All rights reserved 17
18 Figure 19 - User Creation Notification Click "Go to assign roles and groups" button to assign roles and groups to the User, or to reset user's password. The following window will appear: Figure 20 - View User Account Window Click "View Groups" link to inscribe the user to some group(s). Click "View Roles" link to assign system roles to the user. Click "Reset User's Password" link to reset user's password. American College of Radiology 2007 All rights reserved 18
19 Note that the user can use his account only after account was activated by the administrator. User will get message after his account was activated. Note that the Username must be unique within the whole TRIAD system. ACR Reviewers Menu: Administration - User Accounts - ACR Reviewers This page contains the list of ACR Staff users, who has the ACR Reviewer's role: Figure 21 - List of ACR Reviewers The page is to lighten the work with ACR Reviewers. You can tick off several ACR Reviewers at once and click the "Withdraw" button - to withdraw the "ACR Reviewer" role of selected users. The confirmation window will appear: Figure 22 - Confirmation Question Click Ok to withdraw, click Cancel - to cancel. Click the "Add Users" link to view the list of ACR staff persons and assign the ACR Reviewer role to some of them: American College of Radiology 2007 All rights reserved 19
20 Figure 23 - List of ACR Staff Persons On this page you can tick off several users at once and click the "Assign" button - and selected users will receive the ACR Reviewer role and will appear in the Administration - User Accounts - ACR Reviewers list. You can also click on the username of some user to edit his/her account. User's Permissions System provides Read permission access model to be applied to the Study and Layer. Administrator can include user in one or several user groups. Resultant user permissions are considered as union of his own permissions set and sets of permissions of all Groups which User belongs to. System can assign access permissions either on User or Group using rules specified in the Table below: Figure 24 - Table of Read permission Rules assignment American College of Radiology 2007 All rights reserved 20
21 User can get access to published DICOM Series, only if he/she has Read permissions on Study which Series belongs to or he/she was assigned to this Series to Site Analyst role. ACR Reviewer should be able to search and view any published Series. Groups Menu: Administration - Groups Use this menu item to view existent user groups. The information consists of Group Name and Description of the group: Figure 25 - User Groups List Use the page navigation buttons (like the numbers of pages) in the upper and in the bottom parts of the screen to navigate between pages. You may sort groups by the Group Name field (by increasing or decreasing of the value). Click on the corresponding column title for that. Click on the group name to administrate this group (this operation is available for administrators only): Figure 26 - Group Properties 1. You can change the name and description of the group - simple change this information in corresponding fields. 2. Click "View Members" link to view the members of the group. 22 Figure 27 - View Members of the Group You can see all users, belonging to selected group. You can exclude some user from the group using user account manager. Use the page navigation buttons ( ) to navigate between the pages of information. You can find the necessary users by the following attributes: First Name Last Name Is New Is Active Organization - select from drop-down list of organizations. Roles Filter - select the role from drop-down list. Enter the desirable values on the searching filter field (or fields - not necessarily all) and click the "Search" button. Click the "Reset" button to clear the searching filter fields. Click on the Username of selected user to view the user account information. Click "Go back to Group" link to return to the selected group property window. 3. Click "Delete" link to delete the group. The following window will appear: Figure 28 - Confirm Deleting of the Group Click Ok to delete the group. 4. Click the Apply button to apply changes and return to the list of groups. Add New Group Menu: Administration - Groups - Add New Group Use this menu item to add a new User Group into the TRIAD System. Fill in the "Name" (Name of Group) and the "Description" (the group description - is optional) fields. Click the "Apply" button to create the group: Figure 29 - New Group Adding Administrators can add or remove some users from the group using View Groups dialog. 24 This page contains the list of organizations, which members can participate in the TRIAD -OA process. This list is imported from CTMS (Clinical Trials Management System - this system accumulates information about Studies from hospitals): Figure 30 - List of Organizations Information about the organization contains the ACR ID, organization name and a list of groups this organization participates in. In order to see that list you should click on the corresponding View groups link. Click on the organization name to view a security key for selected organization (this operation is available for administrators only). This key is necessary for TRIAD Site Server authentication on TRIAD Main Server: American College of Radiology 2007 All rights reserved 24
25 Figure 31 - Site Information Studies Menu: Administration - Studies On this page you can see the list of Studies. This list is updated from CTMS every day: Figure 32 - List of Studies Use the page navigation buttons ( ) to navigate between the pages of information. You may sort studies by # or by Name attributes (by ascending or descending of values). Click on the corresponding column title for that. If you click on the Study name, you will see the Study access management page. American College of Radiology 2007 All rights reserved 25
26 Figure 33 - Study Access Management Page This page displays the list of Groups and separate users, who has an access to the current Study content (Exams, Series). To find necessary group, use Group 'Name' filter. Insert the group name and click "Filter". Click "Reset" to clear the filter field. To exclude some group or user, tick off them in the list and follow the appropriate link "Exclude selected groups/users". To add new group, click "Add groups" and you will see the following list: Figure 34 - List of Groups To find the necessary group, use Group 'Name' filter. Insert the group name and click "Filter". 27 Check necessary groups and click Apply button to give access for selected groups to current study. The similar rules exist for giving access to current study for separate users - just use "Last Name" parameter instead of "Group Name". Subscriptions Menu: Administration - Subscriptions You can see the list of subscriptions in this page: Figure 35 - List of Subscriptions Click on the Subscription Name to see Subscription Properties: Figure 36 - Subscription List Use this window to manage selected subscription - change it parameters, add users to subscription or unsubscribe selected users. To unsubscribe selected users check necessary users from the list of subscribed users and click the "Unsubscribe Selected Users" button. Click the "Delete" button to delete selected subscription. Add New Subscription Menu: Administration - Subscriptions - Add New Subscription Use this menu item to add a new subscription. You must enter the following information on the form: "Subscription Name" - insert manually. "Frequency" - select from the drop-down list. "Study" - select from the drop-down list. 29 Figure 39 - Add New Subscription Form is Filled After you click Apply, the Subscription is created and you can add users to it. The Users can be added to Subscription, only if they have permissions for the Subscription Study. You can add users by using "Add users to Subscription" button or search the Subscribed users with the Filter. 30 Figure 41 - Choose Users to Subscription Choose the necessary users from the list and click Apply button. Use "Unsubscribe selected user" to remove the chosen users from subscription. "Filter" button allows filtering the list by Last name. Use "Reset" button to clear filter field. BROWSE SYSTEM CONTENT Menu - Browse System Content Use this menu item to view the hierarchical structure of the system. American College of Radiology 2007 All rights reserved 30
31 Figure 42 - List of Studies You see the List of Studies, their numbers and names. The List is arranged by number and paginated. Below the list there is "View My Downloads" button. Hit it to view your downloads. To the right from the list you can see "Customize additional tags" hyperlink. Follow the link of the necessary study name in the list to select it and see the List of Cases: Figure 43 - List of Cases American College of Radiology 2007 All rights reserved 31
32 You can see the list of cases arranged by numbers. Above it you can see the button "Add to Downloads". Select (flag) the necessary Case and hit it. You will be redirected to "My Downloads" page. To see the List of Exams follow the link with necessary number and you will see it: Figure 44 - List of Exams Above the table you can see the Navigation line, displaying the path to the current item: Study: Case #. Use navigation line to return to the one of the previous lists (e.g. Case or Study). To see the List of exam Series - click on any element of the necessary exam line: American College of Radiology 2007 All rights reserved 32
33 Figure 45 - List of Series Select from the drop-down the necessary number of "SeriesResult for page - 10, 20, 30, 50 or All. Thumbnail column displays reduced first series image. Details column displays series tag values. You are able to configure them in the "Customize additional tags list". "Actions" area contains a link allowing users: View metadata - follow the link and you will see the page with DICOM tags for selected series: American College of Radiology 2007 All rights reserved 33
34 Figure 46 - Metadata Page On the Metadata page you can view the series metadata by categories (select necessary category link). Click the "To Case" link to return back to the series page. Also you can select any Series and add it to "My Downloads" VIEW MY DOWNLOADS Menu - View My Downloads Use this menu item to view your downloads. 35 Figure 47 My Downloads Page The page reflects all Series you selected. You can delete unnecessary Series by hitting the "Delete" button to the right above from the table. Near "Delete" button there is "Confirm order button". It allows User to download the necessary Series. This operation is called "Study Fetch". To perform it: select the necessary Series hit the "Confirm order" button you will receive an containing a link to download DICOMs follow the link and you will see the following window: American College of Radiology 2007 All rights reserved 35
