Medical, Nursing, Infection Prevention control and Support staff throughout Waitemata DHB. Patients admitted to Waitemata DHB facilities. Awhina Health Campus Research and Trials facilitators External Outpatients attending Waitemata DHB facilities. Technical, Medical and support staff of other hospital laboratories. NZ Blood service, IANZ and other registration bodies. Medical and Nursing staff at Private Hospitals in the Waitemata DHB area. Tertiary Education Facilities, i.e. AUT. Engineers, Suppliers and other technical support specialists from companies servicing and maintaining laboratory equipment. Purpose of the role: Hours: To directly support the role of Team Leader. To provide Specimen services to agreed standards. To be a part of a customer focused team providing high quality laboratory service Rostered and rotating duties covering seven days/week Participation in all shifts may be required. Page 1

Specimen Processing: KEY RESPONSIBILITIES EXPECTED OUTCOMES To competently process patient specimens to ensure integrity and Traceability in accordance to the written departmental protocols. Manage workloads ensuring specimens are handled appropriately according to the level of urgency. Maintaining smooth work flows through the department Monitor each section of the department and ensure staff will be rotated within the department to ensure Page 2
3 workload requirements and Staff development. Ensure clinical trials are processed promptly and special requirements are adhered to. Prospective Clinical trials are referred to the Clinical Trials Co- Ordinator Data Entry and Clerical Duties: Ensure accurate & timely data entry of patient demographics and Test codes as per documented procedures with minimal errors Clerical and general administration tasks that are necessary to ensure effective operation of the department are performed in an efficient and timely manner Departmental manuals are updated and maintained in a timely manner. Management of new doctors details are referred to the Laboratory Systems Co-Ordinator in a timely manner. Manage Send-Aways and Overdue lists as appropriate. Quality Control Quality Improvement: Follow quality control procedures and ensure department output meets the specified procedure standards Demonstrate a commitment to continuous improvement. Foster an environment where suggestions and opportunities for improvement are identified and implemented Assist in trouble shooting problems when they arise ensuring they are resolved promptly or referred to the appropriate person Provide accurate statistical information in a timely manner for data entry KPI and Turn Around Time calculations Maintain a high level of competency in the Delphic system including front end trouble shooting and disseminating training to staff as appropriate. Maintenance and Stock Control: Maintain equipment and instruments according to documented procedures ensuring equipment down time is kept to a minimum. Accurate up to date records are kept at all times for maintenance Page 3
4 Manage budget spend and reporting. Notify manager of faults or issues with equipment Provide the department with adequate stock levels to ensure work is not delayed due to lack of supplies. Communication and Key Relationships: Lead by example, living and demonstrating the Waitemata DHB values. Ability to have open, honest and respectful discussions. Demonstrate clear open communication with all levels of staff. Respond appropriately to telephone/verbal and written queries ensuring polite and helpful interactions with customers. Regularly participate in departmental meetings and communication processes. Ensure instructions from the management team are clearly understood and communicated. Feedback is sought to ensure understanding. Work in conjunction with the Team leader to improve any staff performance issues, teamwork and morale. Have regular communication with the Senior Laboratory assistant at Waitakere ensuring all information is disseminated in a timely manner. Staff performance issues, teamwork and morale are worked on in conjunction with the Team Leader to improve outcomes. Participate in Service Review meetings with appropriate services at least one per annum. Maintain good communication with other service leads to gain a beneficial outcome for the whole laboratory Page 4
5 Supervision and Training: Supervise and train staff to ensure specimens are handled promptly in an efficient and safe manner. Maintain all staff training records and ensure rotation of staff thought the department. Ensure signoff is completed for all areas. Prepare the work rosters for the department to ensure adequate staff numbers are present for each shift. Working within the Contracts and MECA details of the MLWU and PSA. To recognise individual responsibility for workplace Health & Safety under the Health & Safety Act 1992 & Amendments 2002 Support Waitemata DHB H&S Culture by: Following, implementing & ensuring compliance of all H&S policies & processes Planning, organising & managing H&S activities directed at preventing harm & promoting wellbeing in the workplace Ensuring a safe working environment & safe working practices through the Safe Way of Working H&S system Statutory & Treaty of Waitangi obligations Ensures the professional and political integrity of Waitemata DHB by carrying out all functions in compliance of the Treaty of Waitangi and by demonstrating a serious commitment to keeping the treaty alive Shows sensitivity to cultural complexity in the workforce and patient population Page 5
6 Personal Development: Provide support, manage and monitor activities of the relevant staff groups. Ensure all staff hold a current APC and are supported in development to a high level of competency, when learning new skills. Staff are encouraged to attend lunchtime seminars, Conferences and Journal clubs and supported in their efforts to gain appropriate CPD points. Assist the team leader in developing and executing staff training programs. Have the expertise and knowledge to recognize potential problems and resolve technical issues effectively within professional parameters. Supervise the work carried out by technicians and assistants. Ensure the work is performed to acceptable quality standards and within acceptable timeframes as defined in laboratory documentation. Maintain accurate competency record for all staff Identify and attend relevant Waitemata DHB courses in personal development and performance. Provide coaching and development for all staff. Annual PDR completion for all staff. Manage performance and conflict resolution in conjunction with the Team Leader. Other Duties: Tasks and duties as directed by the Team Leader are performed effectively and efficiently Is a champion of lean Healthcare principles and completes Transformation projects within agreed timelines. 7 PERSON SPECIFICATION POSITION TITLE: Service Lead Specimen Qualification Experience Skills/Knowledge/Behaviour Essential Registered Scientist and holding a current Annual Practicing Certificate in a relevant discipline issued by the Medical Laboratory Scientist Board. Demonstrated experience in providing laboratory Scientific services in a medium to large organization 5 years experience as a Scientist Intermediate level of proficiency in Microsoft suite products Demonstrated effective communication skills, both written and oral. High attention to detail Fundamental management skills, including: organizational, time management, task completion and leadership Demonstrated ability to utilise information technology capability and implement change where required and appropriate. Desired Current demonstrated experience at a senior level involving some staff co-ordination. Demonstrated ability to identify and implement opportunities for process improvement and best practice.
