Recap: The Algonquin College Experience A) Program prioritization model In looking for a best practice to undertake a college-wide planning project, Algonquin College's Strategic Programs and Services Planning Project (SPSP) was identified as one that met Niagara College s needs and would be effective in our culture (President Dan Patterson s Oct 2013 message on Inside NC) Algonquin s experience was published by the Harvard Graduate School of Education as two case studies: Evaluating Programs and Services at Algonquin College Case A and Case B Algonquin College hosted a two-day site visit in October 2013 for Niagara College to learn more about their approach B) Continuous improvement tool for services Lean methodology, employed at Algonquin, was also identified as an effective tool for Niagara College s continuous improvement toolbox and was incorporated as a pilot into our review of services 5
Misheck Mwaba s contributions NC Dean, Media, Trades & Technology (MTT) Division Former Associate Dean at Algonquin who participated in Algonquin s SPSP; familiar with lean at Algonquin Transform NC Steering Committee member; the Steering Committee developed the process, communications plan, and technical frameworks Volunteered MTT to test the Tier 2 framework for academic programs and to pilot the lean approach Participated in Tiers 1 & 2: a) Academic programs b) Apprenticeship programs c) Lean review of AA service stream One of the leaders in retention Student Engagement Steering Committee - MTT d) Lean review of pre-boarding stream 6
Lean Pilot #1: Academic Advisement (AA) stream Jun 2-3, 2015 Context: Piloted with MTT Division 18 participants (see App C) all levels, multiple departments Prep work over 3 months culminated in 2-day workshop facilitated by PwC Steps: Current state mapping (back wall) Future state mapping (side wall) PwC is preparing Action Plan (Jun 22) AA lean review team to develop Implementation Plan (Jun 30)
Streamlining complex processes Current state map Multiple departments Multiple staff in same department Interdependencies Pressure points Bottlenecks Backlogs Future state map Eliminated duplication Eliminated non-value process steps Identified opportunities for higher quality data Moved up timelines Freed up time for academic advisors to focus more on students
Feedback from participants Excited about this process and the impact it will have on our jobs Valuable to have the opportunity to participate actively and engage with all stakeholders "Great that senior management is listening to the individuals doing the job" A high level of attention to business processes and identifying redundancies, bottlenecks and areas for improvement/change Focused on the concerns and issues and not how it affected the individual Saw a lot of opportunities and how we can help the advisors to streamline the process so they can focus on helping the students Learning a lot more about systems and processes Very productive
