INTRODUCTION By using e-zaba, business entities can perform the following payment transactions: make cross-border/international payments, retrieve SWIFT certificates, receive notifications on collection from abroad, receive confirmation notes on the agreed upon foreign currency purchase/sale; purchase/sell foreign currencies at a standard and agreed upon exchange rate, make foreign currency transfers, retrieve foreign currency exchange list and use calculator. 2. LOGGING IN TO e - zaba In order to use e-zaba, insert your e-zaba card into the reader or connect your USB Key to the computer, and select e-zaba Poslovni ULAZ at webpage. 3 For identification purpose, you need to complete the following steps: Selecting your certificate A new window will appear on the screen, showing personal registration numbers of all persons using e-zaba on the respective computer. You need to select your own personal registration number (as shown in Figure 2) and enter. PIN entry Figure 2 Certificate selection A window requesting your PIN (Personal Identification Number) will appear on the screen. PIN is used for registering users to work with e-zaba card / USB Key. You can change your PIN at any time, in a way described in the e-zaba Manual. If you have not changed the initial PIN, enter the PIN you used in the registration process. After the PIN registration, a new window will appear on the screen with a security alert concerning the Internet pages you are about to access. Please continue. November,

FOREIGN CURRENCY PAYMENT OPERATIONS The menu Payment Operations Operations in foreign currency offers the following options: Cross-border/International payments Notifications on collection from abroad Foreign currency purchase and sale Foreign currency transfers Other The menu Cross-border/International Payments offers the following options: New cross-border/international payment order Retrieval of payment orders by criteria View order 14 only for payment orders created before 4 June, The Operations in foreign currency Notifications on Collection from Abroad menu offers Overview of Notifications. The menu Foreign currency transfers offers the following options: New foreign currency transfer order Retrieval of payment orders by criteria The menu Foreign currency purchase and sale offers the following options: New payment order at standard exchange rate (only for foreign currency purchase or sale up to counter value of ,00 HRK) Overview of confirmation notes New payment order based on the confirmation note Retrieval of payment orders by criteria The menu Other offers the following options: Exchange rate list Calculator 4. FILLING OUT CROSS-BORDER/INTERNATIONAL PAYMENT ORDER Foreign payment transactions are differentiated as follows: Cross-border payment transactions payments between payment account holders in Croatia and payment account holders in the European Economic Area (EEA EU member states and Norway, Iceland and Liechtenstein), International payment transactions payments between payment account holders in Croatia and payment account holders outside the European Economic Area. 5 Symbols such as %,?, (, ) may not be used when filling out the payment order (Figure 3). Figure 3 Cross-border/International payment order A payment order should be filled out in a way described in the table below: FIELD DESCRIPTION FILLING OUT INSTRUCTIONS PAYER IBAN Payer s reference number Select from the drop-down menu. Manual entry is not allowed. Enter the payer s reference number. The model number is entered in the first field, beyond HR mark, and the reference number in the main field. Data entry is not mandatory. PAYMENT DETAILS Amount Currency Enter the amount of payment. It is filled out by choosing from the drop-down menu. If you enter the currency code, the currency name will appear automatically. November,

6 Cover currency Enter the cover currency. The specified currency will be debited by the counter-value of the entered payment currency amount. It is filled out by choosing from the drop-down menu. By Purpose code Type of execution (priority mark) Expenses option Execution date clicking on the next to the field, you will get a textual description of each of the purpose codes. 1 Data entry is not mandatory. Regular execution is offered initially. From the drop-down menu you can choose to execute payment order urgently. Urgent execution is allowed only for payment orders in EUR, USD and HRK. Select one of the offered expense options OUR, BEN or SHA. OUR Payer defrays expenses of Zagrebačka banka and a foreign bank. BEN Payer defrays expenses of Zagrebačka banka and payee defrays expenses of a foreign bank. SHA Payer defrays expenses of Zagrebačka banka and payee defrays expenses of a foreign bank. It is filled out manually or automatically upon choosing the date from (calendar). A payment order can be set for execution up to 30 days from the current date. The account will be debited on the specified date, and the payment order will be executed if there are sufficient funds in the account by the end of the entered date. If on the execution date there are no sufficient funds for the order to be executed, it will be assigned the DENIED status. Payment description It is filled out manually. You can enter up to 140 characters. Annotation It is used only if special conditions for payment with the Bank are agreed upon. PAYEE Type of foreign entity IBAN It is checked if one of the allowed options for the type of foreign entity has been entered legal entity or natural person. 7 Name Seat Address Enter the payee s name (you can enter up to 70 characters). Enter the payee s seat (you can enter up to 35 characters). Enter the payee s address (you can enter up to 35 characters). PAYEE S BANK Payee s country code Select from the drop-down menu. SWIFT address Name Seat Address Enter the SWIFT address of the beneficiary's bank; by entering the first letter of the SWIFT address a drop-down menu with the addresses will appear; select one to fill out the fields with bank details. If the SWIFT address was not selected from the drop-down menu, must be filled out manually by entering payee s bank name. If the SWIFT address was not selected from the drop-down menu, must be filled out manually by entering payee s bank seat. If the SWIFT address was not selected from the drop-down menu, must be filled out manually by entering payee s bank address. Table 1 Filling out instructions Types of exchange rates: Retail exchange rate for transactions in the counter-value of up to HRK ,00 The information on the retail exchange rate value is available at Bank s web page or via telephone number 01 / If currency 191 HRK (or any other currency different from the payment currency) is selected as cover currency, the transaction account will be debited for the specified payment currency amount. The counter-value will be calculated automatically. The exact amount debiting the entered currency can be seen in the account activity. Agreed upon exchange rate for transactions in HRK counter-value exceeding HRK ,00 (unless agreed upon otherwise) You can agree the exchange rate on the Money Market, on telephone: 01 / November,

8 After reaching an agreement, in the field Cover currency you are obliged to mark the currency different from 191 HRK SAVING, SIGNING AND SENDING PAYMENT ORDER A filled in payment order is saved by clicking the Prepare payment order for execution button. If a payment order has not been filled in completely or the data entered are incorrect, it will not be possible to save the order. In this case, the description error will appear below to the fields that have not been properly completed. Figure 4 Entered payment order For cross-border payments in EUR and other EEA currency, only the charging option SHA (shared charges) may be used, except in the case of the currency conversion (the currency of the payment is not the same as the currency of the account from which the payment was initiated). Saving of the cross-border payment order in EUR currency, marked as urgent, after 13:00 is not allowed. Also, for these payment orders, if entered into e-zaba before 13:00h, signing and sending for execution after 13:00h is not allowed. November,

9 Figure 5 A payment order with the RECEIVED status The payment order is signed by clicking the Sign Payment Order option. The order signing procedure depends on the number of e-zaba signatories: One signatory By clicking Send Payment Order, the authorized person is at the same time signing the order and sending it for execution. When clicking Sign Payment Order, the order will be signed but NOT SENT for execution; it can be sent for execution subsequently, by clicking Send Payment Order. Two signatories By clicking Sign Payment Order, the first signatory will sign the order. The other signatory registers to e-zaba, retrieves the order in a way described in user instructions, and clicks Verify Payment Order in order to sign it for the second time. The order is sent for execution upon clicking Send Payment Order. If you wish to send more than one order for execution at once, you need to select from Retrieval of payment orders by criteria the orders with the Signed status. November,

10 Insert the checkmark in the box preceding the ordinal numbers of orders you wish to send, as shown in Figure 6. Figure 6 Sending several payment orders for execution The payment orders will be sent for execution by clicking Send option CHANGING DATA ON ORDER, ENTERING NEW ORDER FROM EXISTING ORDER AND PAYMENT ORDER CANCELLATION The data on a saved payment order can be subsequently modified by clicking the Change Payment Order button. Changes are saved by clicking the Prepare payment order for execution button. Only the payment orders with the Received status can be changed (payment order statuses are described in Section 5). By clicking the Enter new payment order button at the bottom of the order that has been successfully saved, signed or sent, new international payment order can be created. Cross-border/International payment order can be revoked by clicking Revoke payment order button at the bottom of the order. If there are two e-zaba signatories, payment order revocation must be confirmed by both of them. November,

SWIFT CERTIFICATE SWIFT certificates can be retrieved by selecting the SWIFT Certificate option at the bottom of the order with the Executed status or by clicking on the SW icon in the right upper corner on the screen Figure 7 Retrieval of SWIFT certificate By clicking on the PDF icon in the upper right corner of the screen, crossborder/international payment order can be saved or printed out as PDF document. CROSS-BORDER/INTERNATIONAL PAYMENT ORDER STATUSES The cross-border/international payment orders can have the following statuses: STATUS Received Signed Verified Executed Pending execution Status Executed Denied Revoked before sending Dubious DESCRIPTION The payment order has been successfully entered and prepared for signing. The payment order has been signed by 1 signatory. The payment order has been signed by all signatories (1 or 2, depending on their number). There were sufficient funds for the payment order execution at the time it was received. Message: Payment order is received for execution. There were not sufficient funds for the payment order execution at the time it was received. If they are not ensured by the end of the day, the payment order will be assigned the Denied status at the end of the day. The payment order has been executed, you can retrieve SWIFT certificate. The payment order has not been executed. A new, correct one needs to be created and sent. The payment order has been revoked before sending for execution. It is mandatory to check if the order has been executed (account activity is checked), after which the order needs to be retrieved and the Payment Order Status option selected). RETRIEVAL OF CROSS-BORDER/INTERNATIONAL PAYMENT ORDERS BY CRITERIA Payment orders can be retrieved in accordance with relevant criteria as shown in Figure 8. 2 Figure 8 Retrieval of payment orders by criteria Upon clicking the Display button, all orders meeting the set criteria will be shown in a tabular form (Figure 9). The payment orders can be sort (descending or ascending) by the following criteria: Date of issuance Date of execution Transaction number Amount Payment currency Cover currency Payee name SWIFT address 2 For international payment orders created from June 4, November,

Payment orders created before June 4, can be retrieved by clicking on View order 14 option. 7. CROSS-BORDER/INTERNATIONAL PAYMENT ORDER EXECUTION Payment orders are executed in accordance with The General Terms and Conditions of Zagrebačka banka d.d. Governing the Use of Transactions Accounts of Business Entities, The General Terms and Conditions of Zagrebačka banka d.d. 15 8. COLLECTION FROM ABROAD By way of notifications, Zagrebačka banka provides information on the news regarding its business operations as well as on collections from abroad. OVERVIEW OF NOTIFICATIONS OF COLLECTIONS FROM ABROAD The Operations in Foreign Currency Notifications on Collection from Abroad menu offers Overview of Notifications. Notifications can be retrieved by selecting one of the following criteria: Account to be credited, Collection currency, Collection date, Collection amount, Order number. November,

PURCHASE AND SALE OF FOREIGN CURRENCIES The clients of Zagrebačka banka can buy, sell and convert foreign currencies via e-zaba by using a standard or agreed upon exchange rate. The foreign exchange rate list of Zagrebačka banka, available at Bank s web page is used for execution of transactions at a standard exchange rate. Exchange rates are agreed upon with the Money Market of Zagrebačka banka, (phone no.01/ ). A confirmation note is then drawn up to validate the agreement. In order to buy, sell or convert a foreign currency at a standard or agreed upon exchange rate, select Foreign Currency Purchase and Sale option from the Payment Operations Operations in foreign currency menu. PURCHASE / SALE AT STANDARD EXCHANGE RATE By selecting the option New Payment Order at Standard Exchange Rate, the bellow order entry screen will appear: Figure 15 Payment order at standard exchange rate The payment order fields must be filled out as follows: PAYER IBAN select from the drop-down menu. Amount an amount is entered (to be debited or credited) Currency can be selected from the menu or, if currency sale is the selected type of transaction, HRK will appear automatically Execution date current date Exchange rate filled out by the Bank at the time of the order execution By clicking the Save button, the data entered is verified, after which the order is ready for signing AGRREING THE EXCHANGE RATE AND CONFIRMATION NOTES For counter values exceeding HRK 200,000.00, transactions are agreed on the Money Market on weekdays, between 8.30 am and 4.30 pm. Money Market (01) Upon the agreement of the parties, a confirmation note will be drawn up a document confirming the agreement. In order for the agreement to be carried out, the client is obliged to sign the confirmation note and return it to the Bank. Please find below a description of how confirmation notes are used and also the manner in which purchase or sale of foreign currencies is carried out at the agreed exchange rate via e-zaba OVERVIEW OF CONFIRMATION NOTES From the Foreign Currency Purchase and Sale menu select Overview of Confirmation Notes, and tabular display will appear with the description of their statuses (Figure 16). 21 Figure 16 Tabular display of confirmation notes The display contains the following data: Confirmation note number the number of the confirmation note is displayed Date date when the exchange rate was agreed Type of transaction 1. Foreign currency spot purchase 2. Foreign currency spot sale 3. Foreign currency forward purchase 4. Foreign currency forward sale 5. Foreign currency SWAP Spot transactions are transactions with the execution date that falls up to two business days after the transaction has been agreed. Forward transactions are transactions with the execution date exceeding two business days from the date when the transaction has been agreed (up to 3 years). Foreign currency SWAP is a simultaneous agreement on the purchase (sale) with spot value and the sale (purchase) with a date exceeding two days from the date when the transaction has been agreed (up to 3 years). We buy the amount and currency purchased are displayed We sell the amount and currency sold are displayed Status the status of the confirmation note is displayed To view a particular confirmation note, click on its number. The data from the agreement which have to be confirmed in order to make the agreement valid will be displayed on the screen (Figure 17). November,

22 Figure 17 Confirmation note with the CONFIRMED status A confirmation note should be signed in accordance with the agreed number of signatories (1 or 2 signatories). A confirmation note with the status 'received' can be either signed or revoked. If there are 2 signatories, after the signing or revoking it is necessary to verify the signatures or the revoked note. The user who signed the confirmation note can only revoke it. After the verification, the note is confirmed (revoked). If there is only one signatory to the account, the note is confirmed (revoked) by selecting the signature (revocation). After the note has been confirmed, it can be printed out by selecting the Print option. The purchase/sale transaction is executed at the agreed rate on the basis of a valid order issued to the Bank, upon signing of the confirmation note. If the confirmation note has been cancelled or has not been confirmed, and if the issued order is not valid, the transaction will not be executed. Once the confirmation note has been confirmed, you can enter the order for the transfer of funds and execute the purchase or sale of foreign currencies. November,

23 9.4. CONFIRMATION NOTES STATUSES The confirmation notes can have the following statuses: STATUS Received Partially signed Confirmed Executed Partially revoked Revoked Cancelled DESCRIPTION The confirmation note is ready to be signed. One signatory has signed the confirmation note (when there are 2 signatories). The agreement is valid. Payment order for foreign currency purchase/sale based on the confirmation note is executed. One signatory has revoked the confirmation note (when there are 2 signatories). All signatories have revoked the confirmation note (1 or 2, depending on their number). On the agreed date payment order for foreign currency purchase or sale has not been executed. Table 3 Confirmation note statuses 9.5. ENTERING A NEW ORDER FOR FOREIGN CURRENCY PURCHASE/SALE BASED ON THE CONFIRMATION NOTE A new order for foreign currency purchase/sale based on the confirmation note can be entered only after the confirmation note has been validated (i.e. the signatories have signed it) in the following manner: 1. from the Overview of Confirmation Notes 2. by entering a new order for foreign currency purchase/sale based on the confirmation note ENTERING FROM THE OVERVIEW OF CONFIRMATION NOTES The Enter New Foreign Currency Order option will appear at the bottom of the confirmation note for confirmation notes with the 'Validated' status ENTERING A NEW ORDER FOR FOREIGN CURRENCY PURCHASE/SALE BASED ON THE CONFIRMATION NOTE By selecting New Payment Order Based on the Confirmation Note option, a list of active confirmation notes will appear on the screen, pursuant to which foreign currency orders can be created. If there are no validated confirmation notes, the following message will be displayed on the screen: YOU HAVE NO VALIDATED CONFIRMATION NOTES TO ENTER A FOREIGN CURRENCY ORDER. November,

24 By selecting the Enter Order option (entry from the Overview of Confirmation Notes), i.e. a confirmation note number, a screen identical to the order entry screen will be displayed. Figure 18 An entered foreign currency purchase/sale payment order When entering a foreign currency order based on the confirmation note, it is necessary to select payer s and payee s IBAN and enter payment description. You can also enter the payer s and payee s reference number. Other details will be transferred to the order from the confirmation note and they cannot be modified SAVING, SIGNING, REVOKING AND SENDING ORDERS After the order is entered, either at a standard or agreed upon exchange rate, it must be saved and signed, i.e. prepared for execution (Figure 19). 25 Figure 19 A foreign currency purchase/sale payment order with RECEIVED status A received order can be revoked by clicking the Revoke Payment Order button. After all the signatories have signed the order (depending on their number), it is ready for execution. If the applied exchange rate is an agreed one, the order should be sent for execution at the agreed value date. If the order is sent for execution on a date different than the agreed execution date, the following message will appear: THE CONFIRMATION NOTE IS NOT VALID ON THIS DATE RETRIEVAL OF PAYMENT ORDERS BY CRITERIA Payment orders can be retrieved in accordance with relevant criteria as shown in Figure 20. 26 Figure 20 Retrieval of payment orders by criteria The payment orders can be retrieved by the following criteria: IBAN Payment currency Debiting currency Signatory/Verifyer Amount (start or exact amount) Transaction number Order number. When retrieving an order, time intervals by issuance or execution date (the date of realization of the concluded agreement for orders created prior to the realization date) can be used. By selecting the order number, a screen with the order will be displayed. It is possible to create a new order from denied or revoked orders by selecting the Enter new payment order option. Executed payment orders can be printed out as PDF document by clicking on the icon in the upper right corner on the screen. November,

FOREIGN CURRENCY TRANSFERS By using Foreign Currency Transfers option, in the menu Payment Operations Operations in foreign currency, foreign currency transactions can be performed in favour of accounts at the Bank and those at some other bank. Transfers within Zagrebačka banka can be made: Into an account of a natural person (for business travel expenses) Into a fixed-term deposit account Into a loan account Into another account of the same business entity Into a special account of the other resident business entity Into an account of non-resident business entity and natural persons A foreign currency transfer can also be made into an account of a client at some other bank in the country. 28 10.1. FILLING OUT FOREIGN CURRENCY TRANSFER PAYMENT ORDER The payment order fields must be filled out as follows: PAYER IBAN select from the drop-down menu. Manual entry is not allowed. PAYMENT DETAILS Amount enter the amount of payment Currency it is filled out by choosing from the drop-down menu Expenses option Select one of the offered expense options- OUR, BEN or SHA. OUR Payer defrays expenses of Zagrebačka banka and a foreign bank. BEN Payer defrays expenses of Zagrebačka banka and payee defrays expenses of a foreign bank. SHA Payer defrays expenses of Zagrebačka banka and payee defrays expenses of the other bank. The charging option SHA (shared charges) is offered. Payment description it is filled out manually. You can enter up to 140 characters. PAYEE IBAN it is filled out manually. By clicking on the next to the field, you can check payee s IBAN. The data in the fields payee s name, payee s seat and payee s address will be filled out automatically. Payee s reference number - the model number is entered in the first field, beyond HR mark, and the reference number in the main field. Data entry is not mandatory. Name enter the payee s name (you can enter up to 70 characters). Seat enter the payee s seat (you can enter up to 35 characters). Address enter the payee s address (you can enter up to 35 characters). Execution date it is filled out manually or automatically upon choosing the date from (calendar). A payment order can be set for execution up to 30 days from the current date. If on the execution date there were not sufficient funds for the payment order execution, the payment order will be assigned the Denied status at the end of the day. November,

After all the signatories have signed the order (depending on their number), it is ready for execution RETRIEVAL OF FOREIGN CURRENCY PAYMENT ORDER BY CRITERIA Payment orders can be retrieved in accordance with relevant criteria as shown in Figure 22. 31 Figure 23 Retrieved payment orders in tabular form If orders within a file are sent, there is an option to print out all orders from the file at the same time (by clicking on the icon in the upper right corner on the screen). By selecting an order number, the corresponding order will appear on the screen. Executed payment orders can be printed out as PDF document by clicking on the icon in the upper right corner on the screen. It is possible to create a new order from the orders that were denied, executed or revoked FOREIGN CURRENCY TRANSFER PAYMENT ORDER EXECUTION Foreign currency transfer payment orders are executed in accordance with The General Terms and Conditions of Zagrebačka banka d.d. Governing the Use of Transactions Accounts of Business Entities, The General Terms and Conditions of Zagrebačka banka d.d. Governing the Use of Direct Channels by Business Entities and Execution Time Schedule. 11. ENTERING PAYMENT ORDERS FROM THE FILE In addition to individual entry of payment orders, it is also possible to upload a file with payment orders into e-zaba. A payment order file is created with the software support your company uses for its financial operations (independently of e-zaba), the created file needs to have a specific format with the defined data structure. 32 The format description can be found at the Bank s webpage within the menu ONLINE SERVICES / Business Entities / Information and Instructions / INSTRUCTIONS. 4 After creating a file, you need to complete the following steps: Electronically sign the payment order file, Upload the signed payment order file to e-zaba, Send orders from the file for execution ELECTRONIC SIGNING OF THE PAYMENT ORDER FILE The payment order file can be signed only by the e-zaba user authorized to sign payment orders. The file is signed offline (no need to connect to the Internet). In order to sign the file, use the ASEBA FileSecure application. Electronic signature on the Bank s documents can be verified by using the same application. More detailed instructions for the use of the ASEBA FileSecure application can be found at the Bank s webpage within the menu ONLINE SERVICES / Business Entities / Information and Instructions / INSTRUCTIONS PAYMENT ORDER FILE UPLOAD After signing the file with cross-border/international payment orders or file with national orders in foreign currency, you need to upload it to e-zaba. The file can be uploaded by an e-zaba user authorized for entering and sending payment orders. Selected file can be: Verified if it is correct (check the file structure for the purpose of testing it before the very upload of the payment order to e-zaba Validate) Uploaded to e-zaba (upload the payment order to e-zaba Upload) Uploading payment orders from the file Select Upload. Data on the file will be displayed as shown in Figure 25. Payment orders in the file have not been executed, but only received at Zagrebačka banka, the same as when you individually enter, sign and verify them. November,

34 Figure 25 Uploaded file File validation Before uploading the file to e-zaba, you can validate if the former is correct (test the file structure). Instead of choosing Upload, select the Validate option (Figure 24). You will receive a message concerning the file correctness, i.e. potential errors in the created file SENDING PAYMENT ORDERS FROM THE FILE FOR EXECUTION You can do the following with the uploaded payment orders from the file (Figure 24) Execute them immediately (by clicking Send) or View them in a tabular form and then execute them Viewing uploaded file data You will get a tabular display of all payment orders (both correct and incorrect) that are an integral part of the file. 36 Figure 28 A payment order from a file with the DENIED status If, for any reason, you have failed to immediately execute the payment orders uploaded, you can do this subsequently by using the View Uploaded Files option, described in Paragraph RETRIEVAL OF UPLOADED FILES By selecting the View Uploaded Files option, all files you have uploaded into e-zaba will be displayed, as shown in Figure 29. By clicking on the PDF icon in the upper right corner on the screen, a payment order can be printed out or saved. Foreign currency transfer payment orders from the file, can be printed out collectively by clicking on the PDF icon in the tabular display of currency transfer payment orders from the file. 12. EXCHANGE RATE LIST The foreign exchange list for the current date is available at e-zaba home page and in the Payment operations Operations in foreign currency, Exchange Rate list option. By selecting the Exchange Rate List option, it is possible to select the browsing method: according to the date according to the number of the foreign exchange list. November,

38 If the foreign exchange list is selected according to the date, the Calendar option and desired date should be selected.
