3 1. Optima Users - Update User Details Now the changes to how you access Optima are live broker contact details will need to be entered. This screen will appear when the first user from your office enters the Optima screens following the change. Please note these are broker contact details and not individual contact details, all Optima Group PA quotes will be ed to the address entered on this screen. 3

4 2. Access the Extranet Access the Ageas website From the Home page select Intermediaries & Partners 4

5 Then access the Ageas Extranet, use your Ageas extranet log in details to access the extranet. A user guide is available on this screen 5

6 Now select either the Continue button in the Commercial Online box or Read More button in the Online box 6

7 Select Commercial Online Quotation/Policy 7

8 You are now on the search screen, where you can search for Ageas Commercial Online quotes and policies and Optima Online transactions. You can also process new quotations. 8

9 3. Process a Quotation Click on the Select a product drop down box 9

10 Select the product for which you would like to process a quotation. 10

11 Click on Get A New Quotation button 11

12 If you have selected a Commercial Guard product you will be taken into the Commercial Guard question set for that product. 12

13 If you have selected an Optima product you will be taken into the Optima question set for that product. 13

14 If you have selected an Optima product to process the quotation on and the following screen is displayed you will need to contact our Development Support team on who will be able to resolve this issue. 14

15 4. Search for an Existing Quotation or Policy From the search screen use one or more of the criteria fields for the quotations or policies you are searching for. PLEASE NOTE: Reference field should be used to enter the quotation number or policy number. 15

16 If you do not enter any search criteria and click on the search button the search results will display all live online quotations and policies for both and Optima Online & Commercial Guard products. 16

17 If you enter search criteria and click on the search button the search results will display all live online quotations and policies for both and Optima Online & Commercial Guard products matching the criteria entered. In the screen below the search has been carried out using post code. 17

18 5. Optima Products - Process a New Transaction or Place a Quote on Cover Locate the quotation or policy you wish to deal with and click the pencil icon on the left hand side of the screen next to the policy record 18

19 This will then take you into the relevant Optima screen to place a quotation on cover or process a new transaction. 19

20 When the status displayed is Incomplete, select the pencil icon to continue 20

21 In some instances, the following screen will then be displayed to advise further information on the quotation or policy. 21

22 6. Commercial Guard Products - Place a Quotation on Cover Locate the quotation you wish to place on cover and click the page/green arrow icon on the left hand side of the screen next to the quotation record 22

23 You will be taken to this screen where you are able to place a quotation on cover 23

24 7. Commercial Guard Products - Process an MTA Locate the policy you wish to process the MTA on and click the pencil icon on the left hand side of the screen next to the quotation record 24

25 You will be taken to this screen where you are able to enter the details of the change you want to make. 25

26 8. Access to Optima Small Fleet Access the extranet as detailed in Section 1 of this document, to process a quotation select Optima Small Fleet from the list of products and then select Get a New Quotation. 26

27 You can then process a quotation via the Optima screens in the usual way. 27

28 9. Optima Small Fleet - Process a New Transaction or Place a Quote on Cover Enter the search criteria for the policy or quotation you wish to deal with and click the pencil icon record on the left hand side of the screen next to the policy 28

29 In this example you would be taken into the screen that allows you to process a MTA 29

30 10. Optima Policy Documentation If you want to access the policy documents for the latest transaction on a policy. Enter the search criteria for the policy or quotation you wish to deal with and click the pencil icon on the left hand side of the screen next to the policy record. 30

31 You can access the latest policy documents on the next screen. 31

32 11. Optima Product Literature Optima product literature is now stored within the Ageas extranet. Once you have logged in, click on Commercial 32

34 Click on the product you want to view the literature for 34

35 Once you have selected a product, the list of literature for that product will display. Click the document you want to view 35
