2 POSITION STATEMENT ADMINISTRATIVE ASSISTANT TO THE EXECUTIVEE BUSINESS MANAGER Section 1 School Identification School Name: Kingsway Christian College, 157 Kingsway, Darch 6065 Section/ /Department/Learning Area: Businesss Services Department Title: Administrative Assistant to the EBM Section 2 - Remuneration Terms and Conditions Salary is paid in accordance with the KCEAA Administrative and Support Stafff Enterprise Bargaining Agreement Section 3 - Reporting Relationships Overall responsibility for the College program lies with the Principal supported by the Executive Business Manager, the Deputy Principal (Staff and Administration) K-12, thee Deputy Principal (Students) K-12, the Head of Primary K-6, and the Marketing and Enrolments Manager. Position Responsible to: This position is responsible to the t Executive Business Manager forr the proper r performance of all aspects of the Duties and Responsibilities set down within this Position Description. Direct Reports from: Nil Section 4 - General Information Kingsway Christian College is a co-educational non-denominational Christiann day school with more than 1300 students enrolled K-12. The College employs a large teaching and support staff. The successful candidate must be an activee Christian able to be committed to o the Christian vision of the College. The campus is a non-smoking work environment. Section 5 - Specificc information relating to the position: The position operates Mondays through Fridays during school terms, and forr some weeks during school holidays. Normal hours are 8am until 4pm. 3 Section 6 Duties and Responsibilities Overview You are employed as Administrative Assistant to the Executive Business Manager (EBM) for the Kingsway Christian Education Association Inc. and report to the Executive Business Manager. The role of Administrative Assistant to the EBM is to assist the EBM in the areas of general administrative, secretarial and records management, for the effective and efficient operation of Business Services and Property and Services. Christian Values The position requires you to be committed to the Christian vision of the College by: Celebrating and enjoying being a Christian and being part of a Christian community Modelling Christian behaviour, practices and beliefs Building cooperative and supportive relationships with staff, students and parents Striving for excellence in performance and participation Always acting in the best interests of the College, the Association and its ethos Specific duties Provide professional assistance to the EBM in the specific duties which include, but are not limited to, the following: Clerical and Administrative: Monitoring all incoming calls and correspondence, outgoing correspondence and faxes to the office of the EBM Directing all internal and external enquiries to appropriate parties Collection, distribution and redirection of mail Maintain Business Services photocopier in good working condition Photocopying and distribution as required Maintaining an effective and efficient physical and electronic records and filing system Ordering and maintaining stationery requirements for the Business Services and Property and Services Departments Diaries and Meetings Managing the EBM appointments diary Scheduling meetings with internal and external parties as required

4 Ensuring visitors are greeted properly and refreshments supplied as necessary In consultation with the EBM drafting of agendas and appropriate paperwork for meetings as required including, but not limited to, meetings of the Board and sub-committees of the Board Preparing documentation and communication as necessary for meetings Secretarial Provide secretarial support to the EBM, including the drafting and writing of letters and memos as required Attend meetings and act as minutes secretary as required Insurance Process student accident insurance claims and liaise with insurance broker and parents as necessary Assist the EBM with the annual renewal of College insurance policies and other insurance enquiries Manage the Certificates of Currency for contractors working on the College premises, organisations renting the College facilities and those providing a service to the College Housekeeping Maintain the electronic booking calendar for the Johnson and Deakin Rooms (meeting rooms) Check the meeting rooms daily to ensure they are in proper order for College meetings Utilize the MEX system to report any maintenance requirements in the Business Services and Johnson Room area General housekeeping, including light cleaning duties Other Duties Any other duties as necessary to ensure the effective and efficient functioning of the office of the EBM including but not limited to: In consultation with the EBM and the Publications Officer, ensure that the Business Services and Property and Services website pages are kept up to date Take monthly readings of College photocopiers for submission to College Accountant and compile reports for Heads of Departments Assist with the archiving of documents across the College Engaging as directed in topic research and ad hoc projects as required by the EBM

5 Occupational Health and Safety (OSH) and Equal Opportunity Take responsibilities for self and others by complying with Occupational Health and Safety and Equal Opportunity requirements of the College Provide support to EBM and OSH Committee to achieve compliance with legislation and policy Section 7 Selection Criteria Administrative Assistant to EBM Essential skills and qualifications To have a personal faith and commitment to the Lord Jesus Christ including regular church attendance and a lifestyle consistent with the expectations of the Christian faith Have an understanding of the aims and purposes of the Association High level communication skills demonstrating an ability to liaise effectively with members of the external and internal College community Ability to work well under pressure, dealing calmly with a number of tasks at once and ensuring their completion Computer literate with proven ability in Microsoft Word, Excel, and Powerpoint and in database systems Ability to be self-motivated and demonstrate sound organisational skills Ability to establish and maintain effective physical and electronic records and filing system Hold a Certificate III in Business Administration or an equivalent level of expertise gained from a combination of recent experience, training or professional accreditation Hold a recently obtained Australian National Police Clearance through the Department of Education and Training, Western Australia Hold a Working with Children Check Card, or be prepared to make an application for same Desirable skills and experience Understanding and knowledge of the MAZE data management system Previous experience within the Business Services Department of a school environment Other information relating to the position Normal hours of work are 8am until 4pm Position operates Mondays through Fridays Work during some school holidays is required
