2 Basic Information JAgent You will have the ability to search by many different criteria The next few pages will explain how to use each of them 2

3 Basic Information You will always need to select a report type You can select Submitted applications Active member enrollments Terminated enrollments Commission transactions Submitted Applications any Medicare enrollment submitted via paper application, Telephonic signature, Electronic Signature or MAPA that has been processed. If the application is not showing it was NOT received. Data will only be shown for the most current 18 months. Data can only be viewed by the writing agent or the MGA the agent was assigned to at the time of the enrollment. Active Enrollments any Medicare enrollment that is currently active as of the date of the request. If the coverage has been terminated, it will not be shown. If the member has had several product selections, only the active product will be shown. Data can only be viewed by the writing agent or the MGA the agent was assigned to at the time of the enrollment. Terminated Enrollments any Medicare enrollment that is NOT active as of the date of the request. If the coverage is active, it will not be shown. If the member has had several product selections, only the terminated products will be shown. Data will only be shown for the most current 18 months. Data can only be viewed by the writing agent or the MGA the agent was assigned to at the time of the enrollment. Commission Transactions any Humana product (not just Medicare) resulting in a commission transaction. The information in this tool will correspond to your commissions statements but provide additional information and search flexibility. Data will only be shown for the most current 18 months. Data can only be viewed by the Agent of Record who commissions were assigned to. If the Writing Agent assigned commissions to a different entity, only that entitiy will be able to view the commissions. 3

4 Basic Information You will usually need to select a date criteria. To further segment your search you may select more than one date criteria (e.g. Effective Date & Signature Date) Active Enrollments does NOT require a date selection You can type in the date or use the drop down calendars Effective Date - the effective start date of the policy. Always the first of the month (e.g. 01/01/2011, 03/ , etc.) Signature Date - the date the application was actually signed by the member Use both Effective and Signature date to better define your search Data is only available for the most recent 18 months as of the request date accept for Active Enrollments 4

5 Basic Information The SAN number will be auto populated based who logged into the Agent Portal An agent who has been with more than one MGA can segment the business by specifying the 3-digit MGA number in the MGA ID criteria An MGA who has more than one 3 digit MGA number can segment using the MGA ID criteria 5

6 Basic Information Anderson Robert 89A You can search by a specific member by inserting the: Full Medicare ID Full and Full (as it appears on the application and Medicare ID card) You can also specify all the application in a specific state by using the drop down arrow 6

7 Basic Information You can specify: All product types a Specific product type Multiple product types by using the CTRL key and highlighting more than one product You can select a specific plan contract name: Type at least the Alpha and H numeric characters ( e.g. H1036 or H ) Do Not use dashes 7

8 Error Messages You will receive an error message if invalid criteria is input or if additional information is required. Look for the RED prompts to guide you. 8

9 Search Tips If you are an MGA limit your date range to 1 or two months of data at a time. Requesting large amounts of data slows the request and it might time out If you are an agent limit your date range to no more than 12 months at a time. If your search times out or errors you have likely asked for too much data. Minimize your date range (request fewer months) Don t utilize more than 3 search criteria elements at a time. The more criteria utilized the longer the request will take to generate The data available to you is based on the SAN number utilized when logging into the Agent Portal. If you are an MGA with more than one SAN you may need to log on multiple ways to see all data 9

12 Submitted Enrollment Reports Agent, Joe Scroll Bar Use the side and bottom Scroll bars to move and view all data A submission status of Processed mean it is processed into the system Pended means there is missing or inaccurate data on the application that is being corrected Scroll Bar

30 Report Usage Tips Review your Active Enrollment and Termed Enrollment report before submitting any pay audit. If the enrollment is not active there is no commission due. Use the Submitted Application report to make sure all your applications were received and processed Use the Submitted Application report to search by Signature Date to measure the effectiveness of a mail campaign Use the Active enrollment report to contact PDP only members to educate them on all plans available Use the Active enrollment report to segment members by plan type Use he Active Enrollment report to see if there are members in a Regional PPO that might benefit from a Local PPO IMPORTANT NOTE: Only the Writing Agent who enrolled the member can contact the member by phone 30
