3 Administration 1. Paperwork These days an enormous amount of paperwork is required. However, once it is set up it is relatively easy to maintain on a day-to-day basis. In general, the aim is to hold paperwork so that it; o is readily accessible o does not become excessive The system should therefore allow: Frequently used items to be at instant view Occasionally used items to be at hand Records to be kept in files Outdated items to be thrown away 2. Housemaster/ mistress Noticeboards or General File Study/Dormitory Lists House Routine Tutor Groups/Duty Rota Contact details Pupils Mobile Telephone Numbers Pupils Birthdays 3. Books Required: Large House Diary: to record all goings on to include birthdays, university visits, visits of prospective parents etc. Incident Book and Punishment Book: The first records all major incidents in the House - from bullying to homesickness, from theft to complaints. The punishment book is a record of any punishments. 4. Files: Pupils Personal File Fire Drills Accounts September B23.2 The Role of School Nurse version 9

4 5. Pupil Records: Individual pupil records should be kept by the Housemaster/Housemistress. Much of the information for these files will be provided by other sources, i.e. the School Office or School Nurse. The Housemaster/Housemistress must ensure that the records are kept up to date and are passed on to the next house as the pupil progresses up the school. When a pupil leaves the school the individual pupil record should be filed in the School Office. All records should be kept for at least three years after the pupil has left school. Individual Pupil Records are kept by the Housemistress/Housemaster and should contain the following information: Full name, date of birth and home address. Name, address and telephone number of the pupil's parent (s) to be used for usual contact by the school, together with the name and address of any other person who has legal parental responsibility for the pupil (e.g. guardians). Any special arrangements or restriction upon contact between pupil and parents or others. Note of any special educational needs. Any special welfare problems or needs. Any special dietary, medical or dental needs and any specific allergies. Pupil's religious persuasion and where relevant, racial origin, cultural background and linguistic background. Details of any major authorised absences from school. Notes on marked changes of mood, eating habits or other disorders. Note of disciplinary action taken and reasons for it. REMEMBER, when a pupil leaves the School, their personal file must be kept in the School Office for at least three years. 6. Reports a. 5 b. Writing: Requires time and privacy Include academic progress and attitude, other activities, fulfillment of responsibilities, how they are getting on in the house. Be as positive as you can be. 7. Documents to go on the House Notice Boards The documentation will vary from House to House but there are a number, which need to appear on House Boards: Child Protection Complaints Boarding Statement Who to talk to poster with Child Protection information School policy on Bullying Fire Regulations Members of Staff on Duty School Expectations Meal times Timetable for the Day Activity Timetable Weekend Activities September B23.2 The Role of School Nurse version 9

6 Night Check of Pupils in Boarding Houses It is essential that you have in place a system that could cope with a major disaster - fire, gas explosion, air crash etc. 1. A Roll Call should be taken of pupils at night; this can be either a formal roll call or a check by staff. 2. All members of the House should be seen by a member of Staff before they go to bed. 3. All absentees should be noted and if absent all night recorded on the house roll call sheet, or the time of their expected return should be recorded. Absentees returning after the night check should report in to a member of Staff. 4. The roll call sheet, or register, when completed, should be placed in a known place. Members of the house staff should know that in the event of an emergency the immediate roll call should be taken from this list. 5. It should be made known to the pupils in the house that once the night check has been made they will be expected to be in the normal sleeping places throughout the night. 6. The house roll should be on a single, daily changing sheet. The names of anyone resident, other than pupils i.e. children, guests etc. should be included or added.
