Each installation should be installed and configured to watch or listen on HTTP for local directory events. For example, you would launch and maintain a File System Monitor installation on: Internal DataManager Job File servers DataManager Web server with Virtual Workspaces Workflow server output directories DataManager Library volumes Note: There should be only one Net Services server, which would be a 4D Client, as opposed to services in Windows Computer Management. This is the location of the NetSvc folder. Settings for ExtremeZ-IP file server volumes (version 4.1.1) Open the ExtremeZ-IP Administrator screen from the Windows Start menu. Click the Settings button and select the File Server Settings Find the Advanced File Server Settings and ensure that Support Copy File Operations is deactivated. Page 1 of 23 CSS Group, Inc. 2 Settings for ExtremeZ-IP file server volumes (other versions not containing the Support Copy File Operations Advanced File Server setting) Note: There is a concern with using the Mac OS Duplicate files or folders command from the Finder on an ExtremeZ-IP volume. It appears ExtremeZ-IP is not sending events for File System Monitor to record. The suggested operation: o If the Duplicate (Command key-d) is used in the mounted ExtremeZ-IP volume and records are not being created for existing Mac duplicated files, then use the DataManager File Synch in the Job Files screen. See Troubleshooting Issues below on page 20: Watch setting: Wait for File Copy feature Setup of the Net Services server Place the NetSvc folder in the same folder as the 4DClient.exe application. Show the attached HASP key for the DataManager server through the CSS Group License Manager, from the local CSS Group Installers folder or from ftp://ftp.cssgroup.net/net_services/, by clicking Show Attached Key: This indicates CSS Group Net Services licensing is set on the HASP key for three watch types. Also, check that this licensing is picked up in the database by launching the 4D Client acting as the Net Services Server. Navigate to: File menu, then select Edit Preferences. 3 This indicates that this HASP licensing is now valid in the database for three watch types. Contact if you have any questions on this. Configuring and testing the Net Services server From the Net Services Server 4D Client: Navigate to Edit Preferences and click the DataBrowser radio button. Edit the preference DataBrowser Admin. In the DataBrowser Administration screen, select the Net Services tab: Click the Add IP button. Page 3 of 23 CSS Group, Inc. Revision Date: 26 November 2008

4 Right mouse-click or Control key-left mouse click to edit the IP Address field with the Net Services server internal IP address. Leave Log Requests as False. Test this in a web browser by entering the IP address. For example: Type in to get the following screen: Installing File System Monitor Back to Table of Contents Find Administrative Tools, and open Computer Management. Locate the Services, and under Services and Applications sort A-Z by Name. Click the Stop button for both DM File System Monitor and DM Preview Generation. From ftp://ftp.cssgroup.net/net_services/, download the latest copy of File System Monitor and place it in a folder is named CSS Group Installers. If necessary, contact css_support@cssgroup.net for the passphrase to open this.exe package. Double-click Setup.exe. Remove previous versions of File System Monitor if necessary. 5 Accept the default path given and ensure the Everyone radio button is selected. Click Next and allow the installer to continue until it is successful. Configuring File System Monitor From the Windows Start menu, navigate to All Programs and select the CSS Group folder. Launch File System Editor. Troubleshooting -- If the user receives a Cannot read Net Service types dialog containing text like: 1. Network error: Invalid URL The hostname could not be parsed 2. Network error: Unable to connect to the remote server, check the following: That the Net Services Server 4D Client is running and responding. The NetSvc folder and its components are in the same folder as the 4DClient.exe server If the Cannot read Net Service types dialog contains: You have reached DataManager s NET Services. Your IP Address: <internal IP number> is not allowed to use this service. Refer to the above Configuring and testing the Net Services server section and enter in this internal IP number if this platform should access Net Services. From the following screen: Type in the internal IP address and port of the Net Services server. This port number should match the entry from the Active 4D Prefs screen, accessed from 4D Client at: File menu to Edit Preferences Select the DataBrowser radio button and edit DataBrowser Admin Click the Open Active 4D Prefs button: Lastly, the HASP key and DataManager Licenses/Modules should be active. 6 Setting a Watch: Internal Server Volume and Virtual Workspace For creation of records and automatic attempted preview generation on: 1. Work In Progress (WIP) files on an internal DataManager job server 2. Web server WIP files on a Virtual Workspace Under the Program Files group, find the shortcut labeled CSS Group and select the File System Editor shortcut. An example of an Internal watch type: From the Watches tab, determine if the watch is a File System Watch or an HTTP Server Watch. Select the appropriate radio button. o Note that most local installations can use the File System Watch or HTTP Server Watch, under Windows NTFS. An Exanet file system must use the HTTP Server Watch. AddPath: Name this with the Macintosh Volume name from the DataManager Volume Overview or from the Mac to Win Volume preference in DataManager: Page 6 of 23 CSS Group, Inc. 7 Delete: Highlight any watched path and click this button to permanently delete its information from the Windows registry. Watched Path Attributes: Set this local watched path by: Clicking the Browse button to the local Windows path, typing or pasting in the full local path. o Important Note: File System Monitor watches local paths, whether hosted on the platform or as a mapped network drive letter. Tab out of this field with the Tab key. If this is a valid path from the DataManager 4D Client Volumes Overview and Set MAC Volumes preference, then the File System Monitor Macintosh Volume Name and PC Path to Macintosh Volume Root should auto populate with the values shown: Ensure that the File System Monitor PC Path to Macintosh Volume Root Path matches the above Windows path from the DataManager 4D Client preference. Job Folder Depth: For creating records and generating previews, the two File System Monitor services will use this setting to "skip folder levels" to find the Job numbered folder. For example, Job Folder Depth settings can be as follows: Volume root level = 0 Customer Folder = 1 Group Folder and Customer Folder = 2 Group Folder, Customer Folder and Job Folder Container = 3 For Internal Server Volume type watches, use the DataManager Asset Preference Job Folder Setup to help determine job folder depth. For the above Internal_Server_Volume_01 watch, the Job Folder Path example shows: Page 7 of 23 CSS Group, Inc. Revision Date: 26 November 2008

8 Because the Customer folder, Test_Company, is the middle path, the File System Monitor Job Folder Depth is set to 1. Essentially, count from the internal server volume level, which is 0, until the path reaches the Job numbered folder level. For Virtual Workspace type watches, navigate to the Volume Overview and find the virtual workspace. Double-click this virtual workspace volume type and click the Customer Association tab: Page 8 of 23 CSS Group, Inc. Revision Date: 26 November 2008

9 The highest job folder depth level in a virtual workspace volume is 1. This Path To Job Folders value is the customer containing folder for all customer jobs on this virtual workspace volume. Watch Type: Set this to Internal for an Internal Server Volume watch or Virtual Workspace for a Virtual Workspace watch. Watched Sub-Path: is not used at this time. Generate Preview: Flag this for the Preview Generation service to automatically attempt preview generation for files in the Watched Path Attributes UNC path field. The Job Folder Depth does apply. Copy to Local Folder for Preview Generation: When active, File System Monitor will make a copy of the file currently being worked on by the Preview Generation service to the PrevGenWatched Path, (see the Settings tab below) Macintosh Volume Name: The name of the volume mounted on the Macintosh desktop, which also is set in Volume Overview and Windows Prefs through the DataManager 4D Client. PC Path to Macintosh Volume Root: The shared UNC path to the internal server volume or the virtual workspace volume. This should match the Windows Path field in DataManager Windows Prefs. Action for new/updated records: Set this to Create Records Only for Internal and Virtual volumes. Once records are created, preview generation will be attempted. Page 9 of 23 CSS Group, Inc. 10 Mac Mount Type: Depending upon how clients mount their Mac volumes, either with AFP or SMB file sharing volumes, is what should be set here. This determines that when files are copied or moved into this watched path how File System Monitor will treat the files and their resource forks. o Important Note: When making any changes to watches, File System Monitor must be restarted for changes to take effect. Back to Table of Contents Setting a Watch: Workflow Volume File System Monitor can watch a workflow server output folder and copy or move files to an Internal Server Volume or a Virtual Workspace. Most of the settings are the same as the previous two watches. Below is an example of the differences: Watch Type: Set this to Workflow. Page 10 of 23 CSS Group, Inc. Revision Date: 26 November 2008

11 Server Volumes to search for jobs: Used in conjunction with the Action for new/updated records feature below, files in the Workflow watch will be copied or moved to the UNC path defined here. Search Volume Job Folder Depth: As with Job Folder Depth in Watched Path Attributes above, File System Monitor will look for the for the Job numbered folder at the defined level. Action for new/updated records: Copy or Move Files are available with the Workflow watch type. This will refer to the Search Volumes features above, whose shared UNC paths should match the Mac to Win Windows preference in DataManager. Output Path: This feature becomes available now. In this example, a folder named WorkflowFiles_Output will be created at the Item Folder level of the Job folder. Files copied or moved from the Workflow watch to the Job folder will go in here. Move Wait Time (Seconds): By default, this is 2 seconds. If a workflow needs to put together assets at the output end, determine the time needed for File System Monitor to wait before moving or copying to the Job folder. Re-Create directory tree in destination: When set, the Workflow output volume folder structure should be copied over into the Job folder. Attempt to delete empty source directories: Feature to clean up folders in the workflow output volume. o Important Note: When making any changes to watches, File System Monitor must be restarted for changes to take effect. Back to Table of Contents Setting a Watch: Library File System Monitor can watch a Library, defined in the DataManager Library Management. The differences between this type of watch and a Virtual Workspace/Internal Server Volume watch are small: Page 11 of 23 CSS Group, Inc. Revision Date: 26 November 2008

12 Watch Type: Select Library. Macintosh Volume Name and PC Path to Macintosh Volume Root: This will be set in the DataManager Windows Prefs Set MAC Volumes. As with Internal Server/Virtual Workspace watches, File System Monitor should automatically find this preference setting if already set in DataManager. Other settings are the same as an Internal Server/Virtual Workspace watch. The Watched Path Attributes can be a File System Watch or HTTP Server Watch. The Job Folder Depth is applicable, and Generate Preview/Copy to Local Folder for Preview Generation may be used. Important Notes: One important difference between the Library and Internal Server/Virtual Workspace watch is that the Library root volume will not be set in the DataManager Volume Overview. 13 Net Communicator Log will return an error that previews cannot be generated because of this. However, previews will be attempted for a valid Library watch. File System Monitor will not handle multiple Job Folder Depth levels on the same watched path. The suggested Library watched path and DataManager Library Management setup is: o Only one root Libraries volume watched path for each File System Monitor installation. Back to Table of Contents File System Monitor Settings Settings are applicable to all watches. Below are the features: o Important Note: When making any changes to Settings, File System Monitor must be restarted for changes to take effect. Net Services: The internal IP address and port number of the Net Services server is placed here. Try NetSvc tests if the Net Services server is responding through HTTP in a web browser as follows: Page 13 of 23 CSS Group, Inc. Revision Date: 26 November 2008

14 Start File System Monitor, Start Preview Generation and Set Login: File System Editor may now be used instead of Windows Computer Management to start and stop the two services and set the local administrative login account for network access. For Set Login: Set the User Name and Password by the dropdown menu of Local Accounts or typing and tabbing out of the field. This Local Administrative User must also be set on each desired platform that each installed File System Monitor accesses. Use Local System acct: Reverts from a Local User login to the Local System Account. Troubleshooting: Restart both File System Monitor and Preview Generation services. If either service still shows a status of Stopped: o From Set Login, both set password result lines should read 0 after clicking Set. Any other value indicates a problem. Check the User Name and Password entries again. Page 14 of 23 CSS Group, Inc. Revision Date: 26 November 2008

15 Job Number Delimiter Start Instance, Job Number Delimiter End Instance and Job Number Delimiter are not used at this time. PrevGen Watched Path: Use the Browse button to navigate to a local path. The Preview Generation service will watch this folder for an XML file to parse for preview generation. When Copy to Local Folder for Preview Generation is activated, this is the path the file is copied to prior to preview generation. Do this to help prevent locking of active files by File System Monitor so other users may use them within the DataManager client. Event Log Detail: Three settings are available for this feature. 1. Low: Set after one week passes from installing File System Monitor. 2. Medium: After installing File System Monitor, leave this setting on for about one week. If File System Monitor is performing as expected or concerns have arisen, use the other two settings. 3. High: Setting used for troubleshooting concerns. This level provides more information logging in Windows Event Viewer and provides text logging on the root of the system drive (usually the C:\ volume) when errors occur. Max Previews Pages to Generate: Determine this value for both multi-page Quark and PDF documents, considering the time and resource constraints of the workday (i.e. the more pages for File System Monitor to render, the longer it will take for the Preview Generation service to process and move to the next file) Preview Timeout (sec): As with the above preference, an administrative user should consider the environmental considerations of this limit. Multi-layered, multipage PDFs, though good, might take minutes to have previews rendered and slow the File System Monitor and PC down. Also, PDFs and TIFs that have errors related to preview generation will eventually timeout from this setting. Determine this value considering the time and resource constraints of the workday. Add Metadata: When activated, the Preview Generation service will attempt to read and place metadata, such as EXIF and XMP embedded in a file, into the File Specs area of the DataManager Image Detail screen. Disable Prevgen Service: Activate this feature for the following 1. Previews are not desired, for troubleshooting or considering the time and resource constraints of the workday. 2. The File System Monitor installation will not be processing previews, and will instead ship preview processing via HTTP Server to another File System Monitor installation. Only the DM File System Monitor service will record events into a DataManager Job or Library. LoRes Watched Path: Used in conjunction with the CSS Group product Image Manipulation Controller, XML files are sent to this path for the Image Manipulation Controller to parse and process lower res TIF, EPS or PSD files for review and approval. The Image Manipulation Controller is a separately licensed product; please contact css_support@cssgroup.net if you have any questions. HTTP Server IP/Port: Set the IP Address and Port number to the platform processing the events for the File System Monitor service and Preview Generation service. If one Windows platform is used, meaning the same IP address is used for both services, ensure the Port numbers between the two services are different. Usually port 8080 is reserved for 4D. 16 Check with LAN Administration for available port numbers. Use the Try FSM and Try PG features to get a similar response on HTTP: File System Monitor Files and Extensions Back to Table of Contents As with the Settings area, these settings apply to all local watches set in File System Monitor: Page 16 of 23 CSS Group, Inc. 17 Extensions and Types to render: Used by the Preview Generation service. Leaving this area <blank> will permit the Preview Generation service to attempt preview generation of all file types and extensions. To narrow down what Preview Generation processes, click inside the white space to activate a default set of extensions. This area may be edited, by deleting entries or typing in new extensions separated by a comma. Files and folders to ignore: Used by the File System Monitor service. A default list is provided during the File System Monitor installation of file and folder names that will be ignored. The administrative user may add more file and folder names for File System Monitor to ignore, as highlighted above: Select the bottom left dropdown menu item Name. Next, select the bottom middle dropdown menu item Starts With. Then type in the bottom right field the value you want to ignore; in this case: Icon\xF00D Click the Add button. 18 The hidden Icon file is now ignored by File System Monitor, which will now not make a DataManager record in a valid Job. Add as many items that the watched File System Monitor path will need to ignore, using any combination of file or folder names. An administrator may also Delete file and folder named items as the watched environment dictates. Editing existing items first requires highlighting the item, then making appropriate changes. o Important Note: When making any changes to Files and Extensions, File System Monitor must be restarted for changes to take effect. Back to Table of Contents Notifications This area of File System Monitor provides a means for alerting administrative users to File System Monitor concerns: Page 18 of 23 CSS Group, Inc. 19 Host Address: This is the IP address or DNS entry of the SMTP mail server used to relay from the File System Monitor installation to valid and reachable addresses. Notification Addresses: Each valid and reachable address receives the s sent from the Host Address server. Note: With more than one address here, separate each address by a semicolon. Sender: This can be a valid account in the Host Address directory. If this account needs authentication, fill in the Sender Password and Retype Password fields. However, this is not necessary. The Sender will still be in the correct form, but can be just a label such as Page 19 of 23 CSS Group, Inc. Revision Date: 26 November 2008

20 to indicate which File System Monitor installation is having problems. Test Once the above three features have been set accordingly, use this button to send a test to each valid and reachable notification address. Note: Check with your LAN administration that 1. SMTP must be allowed on the Windows platform, with port 25 open. 2. The server at the Host Address must accept s from this platform to the valid and reachable notification addresses. Notification Settings: Each valid and reachable address will receive each of the three selected notification settings, starting at the designated military time. o Important Note: When making any changes to Notifications, File System Monitor must be restarted for changes to take effect. Back to Table of Contents Setup in Windows Computer Management File System Monitor consists of two services accessible in Windows Computer Management. Once the Event Log Detail has been set to Medium, a user may start: DM File System Monitor DM Preview Generation from Computer Management Services. Once started, two custom logs are generated in the Computer Management Event Viewer: Net Communicator Log Preview Generation Log By default, the custom error record logs for File System Monitor might be set by the system. Ensure these logs to Overwrite events as needed by: Access Computer Management and select the Event Viewer. Find the Net Communicator and Preview Generation logs, right-click on each and select Properties. Select the option that will overwrite events as needed. Back to Table of Contents Troubleshooting File System Monitor: A caution for administrative users: Authentication and Permissions If not properly set, these can prevent the creation of records and movement of files throughout the networked environment using Net Services. Authentication In the DataManager preference Set MAC Volumes: File menu to Edit Preferences Click the Window Prefs radio button. This must be set up the exact way you authenticate from one server to another. For example, this preference utilizes UNC paths with the IP address of the shared volume: Page 20 of 23 CSS Group, Inc. 21 If you authenticate using the IP address, then that is how the mapping in DataManager must be set up. If you authenticate using the Server name, then use this way in DataManager as well. Consistency is the key here. Permissions If a local File System Monitor installation needs to read and write across a network, then it needs an administrative group user on each host. To accomplish this, set up a NetService user in either Server Management or Computer Management on each machine as necessary. This user then becomes part of the Administrators Group. Check the permissions here for the DM File System Monitor and DM Preview Generation services. Are they set up correctly here? Once the Windows paths are determined to be valid, it is common that File System Monitor might not have permission from the OS to perform its job. 22 The Log On and Password used by File System Monitor must be one that has permission to Read and Write to all areas File System Monitor will be affecting. This includes but is not limited to all Preview Locations, Internal Server Volumes, Virtual Workspaces, Workflow volumes and DM Library directories. Back to Table of Contents Troubleshooting Issues File System Editor User Interface: If File System Editor screen does not open properly, check the Display Properties settings on the PC. The Font size should be set to Normal. Adobe Acrobat Reader and File System Monitor: Adobe Acrobat Reader on each server hosting File System Monitor can cause slowdowns in the preview generation of files. This process, currently named AcroRd32Info.exe under version 7.0, was found to gather over 300Mb of memory just by highlighting a multi-layered PDF document. Although version 8.0 seems to have corrected this issue, the user may: Open Adobe AcroRd32 through the Acrobat Reader. Open the Edit menu and select Preferences Select the Internet categories in the menu list, and then disable Allow fast web view & Allow speculative downloading in the background features. A second way of disabling it: Disable the Acrobat Speed Launcher from the Startup menu and take the AcroRd32Info.exe out of its path within the program directory. One way is to find this is to: Click Properties on the shortcut. Then click the Find Target. Navigate to the AcroRd32Info.exe and rename it to prevent its launch. Multipage PDFs and Active4D timeout: Page 22 of 23 CSS Group, Inc. Revision Date: 26 November 2008

23 If the environment is experiencing delays concerning the File System Monitor processing of multipage PDFs, the administrator may want to increase the timeout settings in the Active4D.ini configuration settings. Go to: \4DClient.exe\Active4D\Active4D.ini and open this with a simple text editor. Search for timeout for a Script Timeout setting. Change this from a default <blank> or indefinite time to 120 seconds. Restart the DataStream 4D Client web server. Setting this configuration will help File System Monitor move on to the next file. Watch setting: Wait for File Copy feature (see ExtremeZ-IP notes page 1) If File System Monitor record creation is not complete for all files copied or duplicated into a valid Job directory, use this feature to provide a delay for the DM File System Monitor service.
