3 Course Overview The purpose of the Umoja ESS Benefits Overview is to explain standard ESS Umoja Benefits module, concepts and terms that are new to the Umoja users. All Staff Members need to take this course Prerequisite Review You should have completed the following prerequisite course: Umoja ESS Navigation Course Other Level 1 courses required for the user s role Course Duration: 2 hours 3

4 Course Objectives After completing this course, you will be able to: Describe the Umoja ESS Benefits functionality. Access to the Benefit enrollment area in ESS. Identify the main differences between enrolling in Health or Life insurance plans. Describe how and when a Staff Member can change the enrollment in an insurance plan. Print a report with the insurance plans the Staff Member is enrolled in. 4

8 Roles & Responsibilities The following Umoja Enterprise roles are involved in the Benefits process: Staff Member Enroll, maintain and terminate benefit plans Monitor Benefits Participation Confirmation Form Change family status for dependent or beneficiaries 8

9 Key Terminology Key Term Benefits Administration Umoja ESS Description The Umoja Benefits module enables us to enroll Staff members in benefit plans, terminate enrollment, monitor continuing eligibility for plans, view information about current benefit enrollments, review benefit reports, print enrollment and confirmation forms. Stands for Employee Self-Service. Self-service is the front end tool used to provide access to end-users that need role and process based access to the system. Self-service technology is web-based, allowing a large number of users to access the system without the installation or technology requirements to support the client software used by power and super users in the system.

10 Umoja ESS Benefits Overview Benefit Area at ESS allows the Staff Member to enroll in a Health, Dental or Life insurance plan. Once an Staff Member is enrolled, the system enables him/her to update the beneficiaries of the insurance plan, whenever there is a change in the number of beneficiaries. If a Staff Member has been Reappointed, the SM has the option to enroll in the plans available of the new destination. If a Staff Member wants to change the current plan, the SM has the option to delete the old plan and then enroll again in a new one, once the annual enrollment process is open. 10

13 Module 2 Objectives After completing this module, you will : Describe the process of an enrollment in a Health or a Life insurance plan. Describe the Umoja Benefits insurance functionality in ESS 13

14 Umoja ESS Benefits Enrollment Staff Member Plan Selection Review Enrollment Health and Dental insurance plans can be accessed through the Initial Appointment link. Enrollment in Life insurance plans is done through the Appointment-Life link. If the Staff Member has not been previously enrolled in a Health or a Life insurance plan, the main page will only show the insurance appointment options. 14

15 Umoja ESS Benefits Enrollment Staff Member Plan Selection Review Enrollment The following options are available for the Staff Member: Initial Appointment (Health/Dental): Appointment - Life (Life): 15

16 Umoja ESS Benefits Enrollment: Health/Dental Plan Staff Member Plan Selection Review Enrollment Initial Appointment (Health/Dental): Inside the Initial Appointment link, the Staff Member has the option to enroll in both, a Health and a Dental plan. 16

17 Umoja ESS Benefits Enrollment: Health/Dental Plan Staff Member Plan Selection Review Enrollment Initial Appointment (Health/Dental): Once the type of insurance is selected the Staff Member will have to select the benefit plan among the different vendors he/she may have available to enroll in. After a plan is selected, the Staff Member must choose the number of dependents the insurance plan is going to be covering. 17

18 Umoja ESS Benefits Enrollment: Health/Dental Plan Staff Member Plan Selection Review Enrollment Initial Appointment (Health/Dental): After clicking the Save button the selection will be correctly submitted. It is possible to print a report with the insurances that had been selected, through the link Print Confirmation Form: All Plans. Note: After saving the data, it is possible to modify the entries by clicking the button Previous. 18

19 Umoja ESS Benefits Enrollment: Life Plan Staff Member Plan Selection Review Enrollment Appointment - Life (Life): Inside the Appointment - Life link, the Staff Member has the option to enroll in a Life insurance plan. The process to enroll in a Life insurance plan is different than the enrollment in the Health plans. 19

20 Umoja ESS Benefits Enrollment: Life Plan Staff Member Plan Selection Review Enrollment Appointment - Life (Life): Once the type of insurance is selected the Staff Member must choose the cost of the Life insurance After a plan is selected, the Staff Member must choose who will be a beneficiary of the insurance plan, by typing in the percentage. 20

23 Simulation Activities Throughout this training, users will have the opportunity to conduct activities in the form of simulations. Simulations are interactive recordings of the Umoja system used to help facilitate a hands on learning experience. The simulation links are provided on the corresponding activity slides. Users can access simulations in three different modes: Show me: Users view a video of an entire transaction being conducted. Let s do it together: Users will be prompted to input data at key points during the transaction (recommended). Try it: Users can complete an entire transaction on their own, with no additional instructions provided. 23

Describe the process of changing the family status of an existing Health or Dental insurance plan. Describe how to print a report with the changes of the family status in the enrolled insurance plans. 28

29 Umoja ESS Benefits Change Family Status Staff Member Plan Selection Review Enrollment The number of beneficiaries of an existing insurance plan can be changed when there is a change in the marital status or in the number of dependants. When a new dependant is added, the link of Change Family Status is enabled in ESS. In order to modify the number of beneficiaries it is necessary to be enrolled in a Health or a Dental insurance plan. 29

30 Umoja ESS Benefits Change Family Status Staff Member Plan Selection Review Enrollment Change Beneficiaries: After selecting the plan to be modified, either Health or Dental, the Staff Member will be able to change the number of beneficiaries. After a plan is selected, the Staff Member will be able to change the number of dependents the insurance plan is going to be covering. 30

36 Umoja ESS Benefits Change Plan Staff Member Plan Selection Review Enrollment When Staff Member asks to change his enrollment to a new insurance plan (at the annual benefit enrollment period), in the main page a new link will be enabled. This can be done a month before the validity of the former plan expires. The enrolled plans can be changed a year after the previous plan was requested. Both, Health and Dental insurance plans can be changed using the Annual Enrollment link. 36

37 Umoja ESS Benefits Change Plan Staff Member Plan Selection Review Enrollment Change Enrolled Plans: In order to change the enrollment of a Health or a Dental insurance plan, first the previous enrolled plan must be deleted. After removing the previous plan, the new enrollment is done the same way a Staff Member enrolls for the first time to an insurance plan. Note: The Enrollment process is explained in Module 1. 37

38 Umoja ESS Benefits - Reappointment Staff Member Plan Selection Review Enrollment When a Staff Member is Reassignment and asks to enroll in an insurance plan, in the main page a new link will be enabled called Transfer/Reappointment. After a Staff Member is reappointed and is hired again in a UN duty station, he/she is granted the possibility to enroll again to an insurance plan. Note: The enrollment is done the same way a Staff Member enrolls for the first time to an insurance plan. This is explained in Module

44 Umoja ESS Benefits Additional Features Description Benefits Additional Features: Among the ESS Benefits menu the Staff Member has the option to access the Participation Overview and the Confirmation Form. The Participation Overview enables to visualize all the insurance plans in which the Staff Member is enrolled in. As explained in previous modules, the Confirmation Form is a report the Staff Member can print containing all the details of the enrolled insurance plans, and their costs. 44

45 Umoja ESS Benefits Additional Features Description Benefits Additional Features: Among the ESS Benefits menu the Staff Member has the option to access the Participation Overview and the Confirmation Form. Participation Overview: All the insurance plans in which the Staff Member is enrolled in are gathered in a table. To view the plans details the Staff Member will have to select an insurance plan and click Show Participation Details. Note: In this page It is also possible to print the Confirmation Form. 45

46 Umoja ESS Benefits Additional Features Description Benefits Additional Features: Among the ESS Benefits menu the Staff Member has the option to access the Participation Overview and the Confirmation Form. Participation Overview: The Staff Member has the option of searching the insurance plans in which he/she was enrolled on previous years. To do so, the system enables a datesearching process. 46

As mentioned in previous modules, this report consists of all the insurance plans the Staff Member is enrolled in, as well as the costs of them. 49
