1 Menus and Guest Guarantees In arranging for private functions, food and beverage menu and guaranteed minimum guest count must be selected (14) days prior to the actual event. The expected number will become your guarantee, not subject to reduction. You will be charged based on this guaranteed guest count plus any additional guests that may attend. Rio Plaza prepares for up to 5% above the guaranteed guest count. Should a cancellation within (30) thirty days prior to event occur, the client will be charged for the entire final bill. Rio Plaza accepts credit cards, cashier s checks, company checks, money orders or cash. Venue Space Rental and Deposit Confirmation There are Rental Fees associated with the private rooms at Rio Plaza. They vary due to availability, date of event, amount of guests, etc. Rio Plaza has room rental fees associated with all events but there are no food and beverage minimums at Rio Plaza. To confirm a room reservation, a $500 non-refundable room rental deposit by credit card or cash is required for all events held at Rio Plaza. Prior to receipt of venue rental, verbal reservations will be honored on a basis of first right of refusal. For the balance of your event, a credit card is required to guarantee final payment on or before the actual date of your event. If you prefer to pay by cash, corporate check or money order, full payment is due on your event date. Guests cancelling their event within 30 days of the event will be required to pay the amount in full. A/V Equipment, Specialty Cakes, Florals, Entertainment, etc. Rio Plaza offers phone call assistance with any additional services you may require for your special event. Please consult your event coordinator for detailed information. All outside vendors must comply with all Rio Plaza restrictions concerning: loading and unloading, using service elevators, paying for ALL parking and complying with Rio Plaza representatives. Every client will be responsible for giving vendor guideline packet from Rio Plaza to their vendors. Rio Plaza will provide all information to vendors working through Rio Plaza for the event. Client is ultimately responsible for all outside vendors they bring into Rio Plaza. Beverages You may choose to offer a Hosted Premium Consumption Bar, Limited Feature Bar, Open Hourly Bar or Cash Bar with liquor, beer, or wine, or a combination of these offerings. There is a $75 flat fee for all bars and for all events. All alcohol is provided exclusively from Rio Plaza. Any outside alcohol brought into Rio Plaza will be removed as well as possible ending of the event. Security Rio Plaza does not accept responsibility for damage or loss of any merchandise or articles. No storage space or overnight space will be provided for any items after an event, including band equipment, cakes, pictures, gifts, centerpieces, etc. All events must pay $300 per hour for additional hours and all events must end by midnight. It Security is required for all events, 1 officer per 200 guests. The client will pay $150 per officer directly to Rio Plaza and Rio Plaza will provide an off-duty police officer to provide security for the event. 1
