1 Undergraduate Programs Procedural Guidelines for Course Leaders, Teaching Assistants and CEFs when Dealing with Matters Related to the Student Discipline Bylaw Scope of the Bylaw 1. Academic dishonesty, including, but not limited to: (a) academic/scientific fraud; (b) cheating on exams or tests; (c) contravention of academic regulations; (d) re-submitting own previous course work as new work; (e) examination personation; (f) inappropriate collaboration; and (g) plagiarism 2. Inappropriate behaviour including, but not limited to: (a) abuse of computer privileges; (b) alcohol and substance abuse; (c) breach of residence hall regulations; (d) disorderly, violent or threatening behaviour; (e) false or misleading information made for any purpose including: (i) application for admission; (ii) application for awards; (iii) medical certificates; (iv) letters of permission; (v) transfer of credits; and (vi) transcript/student records matters; (f) harassment and unlawful discrimination; (g) indecent exposure; (h) theft; (i) unprofessional conduct; and (j) vandalism. Jurisdiction 1. Teaching Assistants and CEFs includes Teaching Assistants, Grader Markers and CEFs no jurisdiction with respect to academic dishonesty limited delegated authority for matters related to inappropriate behaviour o can request student to leave instructional setting (classroom, clinical setting) for balance of that day s instructional period o refer to course leader for further assessment and action 1

Course Leaders includes all academic staff member with faculty rank (Instructor I, Instructor II, Senior Instructor, Lecturer, Assistant Professor, Associate Professor or Professor) or sessional instructor limited jurisdiction under the Student Discipline Bylaw o See Table 1 for specific details Table 1: Jurisdictional Authority for Course Leaders under the Student Discipline Bylaw Category Jurisdiction Next Level Course Leader (Academic Staff) Academic dishonesty None; (obligated to report alleged incident Assoc. Dean or Dean *limited disciplinary actions with respect to inappropriate behaviour includes: o suspension from attendance for the balance of one meeting of instructional activity. o suspension from further attendance at classes in a particular course (will not be for more than a week s balance of that particular Instructional Activity) o requiring that a written apology and/or retraction be made o issuing a reprimand o suspending the assessment or enforcement of a penalty subject to conditions o attaching conditions to any of the authorized actions prescribing future conduct. How to Proceed 1. Inform the student of the issue clearly state whether this is a matter that you will deal with or whether it will be referred to the next disciplinary level 2. Gather and document the evidence 3. Compose a formal letter or memorandum to the Associate Dean or designate information to be included: o student name & number o specific type of violation being reported o course number, course name, section number, academic term o reasons for your allegation o attachments, as indicated, including specific assignment course syllabus additional instructions provided regarding assignment corroborating materials 2

3 documentation submitted becomes part of the official record of the case against the student will be distributed to the student, his/her advocate and any other persons who may hear the case or any subsequent appeal Disclaimer: In all instances, the Student Discipline Bylaw policy, procedures and tables supersede the information contained in this document.
