2 INTRODUCTION Welcome to the 2014 Sydney Medical School and Faculty of Dentistry guide to applications. Applying for medicine or dentistry is a complicated process, and the aim of this Guide is to answer the most common questions about the admissions criteria and how to apply. In the first place, it will help you confirm whether or not you have met the criteria to submit an application to Sydney. It also provides a step-by-step guide to completing the application form, submitting documents and meeting the timelines. Please read through this document carefully before making your application, and note that this year there are two new processes: - The Universities Admission Centre (UAC) through its Qualifications Assessment Service, will be used for qualification assessment and calculation of Grade Point Average (GPA) scores for domestic applicants; - All applicants will be required to confirm their application details via an online confirmation page during the admissions process. PLEASE TE: Sydney Medical School is proposing to change from awarding MBBS to MD or Doctor of Medicine. The change to MD has not yet been finalised - it requires approval from the University of Sydney Academic Board and from the Australian Medical Council. However, it is likely that students coming into the program in 2014 will undertake the MD although if there are delays, it may be that the new program will commence in Students who are already enrolled (in 2013 and previously) in the SMP will continue to graduate with an MBBS. The primary change between the MD and MBBS programs will be the inclusion of compulsory research methods training and the completion of a research or other major project. Curriculum, clinical training and assessment will remain broadly the same. Central features of Sydney s program, including the integration of clinical learning and teaching with basic sciences, population health concepts and the development of professionalism, will not be changed under the MD. Information about the change will be posted on the website as soon as it is available. Sydney Medical School and the Faculty of Dentistry regularly review the admission criteria and application processes for their courses. They reserve the right to change these criteria and processes without notice. Statements in this Guide provide general advice about the currently applicable criteria and processes, and may not be correct for future application periods. 5 OVERVIEW You must fulfil three main requirements to be eligible for admission: 1. Performance in a qualifying degree (indicated by GPA) 2. Performance in an admissions test (GAMSAT or MCAT) 3. Performance in an interview - Applicants must have completed, or be in the final year of, a bachelor s degree and have at least a credit average* at the time of application, as indicated by Grade Point Average (GPA), to be considered for admission. - Domestic applicants must have their bachelor s degree assessed, and Grade Point Average (GPA) calculated, by the UAC through its Qualifications Assessment Service (QAS) in International applicants will have their bachelor s degree assessed and GPA calculated by the University of Sydney - Applicants must submit results from an admissions test with their application. - Domestic Applicants must submit Graduate Australian Medical School Admissions Test (GAMSAT) results. - International applicants must submit either Medical College Admission Test (MCAT) or GAMSAT results. International DMD applicants may also submit US Dental Admissions Test (DAT) or Canadian Dental Aptitude Test (CDAT) results. - The GAMSAT cut-off will be determined once all applications have been received. - Applicants who meet both the required GPA and admissions test results will be invited to attend an interview. ADDITIONAL CRITERIA FOR DENTISTRY Applicants to the DMD also need to meet: 1. The Human Biology Pre-requisite 2. 8 *Recognised institutions are defined as: 1. an Australian university listed in the Australian Qualifications Framework at: subcategory (i). Australian Universities or (ii) Self-Accrediting Higher Education Institutions; OR 2. an overseas university listed by the National Office of Overseas Skills Recognition (OSR). **Applicants enrolled in an accelerated program, who will complete their degree by 1 January 2014, are eligible to apply. TE: An applicant who has been excluded from any university must indicate this on the application form. Such applicants are required to attend an additional interview if they are eligible. GPA AND GAMSAT Is your GPA a credit average or above? 9 CALCULATING GRADE POINT AVERAGE 1. DOMESTIC APPLICANTS UAC s Qualifications Assessment Service (QAS) For 2014 entry, all domestic applicants (including applicants who have been awarded a PhD or Master degree by research ) to the SMP and DMD are required to have their qualifications assessed, and the Grade Point Average (GPA) for their Bachelor s degree(s) calculated, by the Universities Admission Centre (UAC) through its Qualifications Assessment Service. Applicants must submit their application for a Qualifications Assessment Statement (QAS) to UAC by midnight on 1 June 2013 Sydney, Australia time. Applicants who have more than one eligible Bachelor s degree (see page 6) may submit both qualifications to UAC and the degree which meets the GPA hurdle will be used as the basis for admission. Applicants who are applying for both the Medical Program and the Doctor of Dental Medicine at the University of Sydney need only make one application for a QAS; the QAS will be accepted by both Faculties. For 2014 entry, applicants must have a QAS issued by UAC in UAC s Qualifications Assessment Service can be accessed via: A fee payable to UAC is $110 (including GST) when you apply for a QAS by midnight on 1 June 2013 and must be paid by credit card or PayPal. When submitting your online assessment, please note: 1. You will be required to complete and submit the personal details page of the QAS online application. 2. You will be issued with a QAS number (a 9-digit number beginning with 932 ). 3. The next screen will then ask the following question: 4. You MUST select the circle next to University of Sydney Graduate Medicine/Dentistry on the QAS online application. If you fail to select this, your GPA might be calculated on the basis of a methodology used by UAC for other purposes. This means that results from an honours year might not be included. Therefore, the University of Sydney cannot accept such GPAs. 8

Supplementary GPA information If you have any further questions with regard to the QAS assessment or the GPA, please contact UAC directly. You must identify that you are applying for the University of Sydney Graduate Medicine/Dentistry program. 5. You will need to quote your QAS number (see above) on the Sydney Student online application to the University. By selecting University of Sydney Graduate Medicine/Dentistry on your QAS online application and putting your QAS number on the Sydney Student application form, UAC will be able to forward your correct GPA(s) electronically to the University. If you fail to complete one or more steps mentioned right above, your application might not be considered any further. Note: The University accepts and relies on GPAs calculated by the UAC only. The GPAs calculated by UAC are final and are calculated in accordance with the common assessment procedures agreed to by its participating institutions. The calculation is linear and cannot take individual factors, such as course difficulty or home-state grading issues (low/high marking systems), into consideration. If you believe an error has been made in your GPA assessment, please contact UAC directly. Meeting the GPA entry requirements Domestic applicants (unless applying under a Special Admissions Scheme) must have a minimum GPA of 5 at the time of application as calculated by UAC to be considered eligible for entry. Rural applicants (domestic applicants only) must have a minimum GPA of 4.5 at the time of application as calculated by UAC to be considered eligible for entry. 2. INTERNATIONAL APPLICANTS Calculating GPA As an international applicant, you do not need to have your qualifications assessed by UAC. Your GPA will be calculated by the University of Sydney. You must provide your record of academic achievement (e.g. transcripts) with your online application. Meeting the GPA entry requirements You must achieve at least a credit average in your studies to be eligible for admission to the SMP or DMD. Applicants with overseas qualifications are required to achieve an equivalent academic level (e.g. a GPA of 2.7 out of 4 for USA/Canada universities, a GPA of 3.3 out of 5 for Singapore universities, bachelor degree at a Lower II class for UK universities). 9

11 Please refer to the guidelines on how the GPA is calculated. ( Master s Degree by Coursework Sydney Medical School and the Faculty of Dentistry have decided to trial including the results from coursework Master s degrees in the calculation of the GPA. The trial will be limited to international applicants who are applying in 2013 for enrolment in the SMP and DMD in During the trial, international applicants who hold a Master s degree by coursework as well as a Bachelor s degree will be permitted to either: - nominate their Bachelor s degree for use in the GPA calculation, or - nominate that both their Master s and their Bachelor s degree be used in the GPA calculation DMD-SPECIFIC REQUIREMENTS 1. HUMAN BIOLOGY PRE-REQUISITE All DMD applicants are required to have completed a human biological science degree or, as a minimum, completed one semester of a Human Biology subject equivalent to the University of Sydney unit of study "Human Biology" (BIOL1003). More information on how applicants can meet the pre-requisite can be found at df. Applicants must supply supporting documentation as evidence that they have met the prerequisite. Conditional offers may be made in instances where the applicant is currently enrolled, but has not yet completed the human biology pre-requisite. Evidence of satisfactory completion is required before firm offers can be made. 2. ENGLISH LANGUAGE REQUIREMENTS The DMD language requirements are as follows: IELTS overall score 7.0 (minimum of 6.0 in any category) Additional information is available in the Post-Graduate Coursework section of the following document: English Language Proficiency Requirements ( 10

12 ADMISSIONS TEST RESULTS (GAMSAT, MCAT, DAT, CDAT) Important - applicants must have admissions test results prior to submitting the online application. All applicants must submit admissions test results with their application. Applicants must have achieved a minimum score of 50 in each section of the GAMSAT, or at least 8 in each section of the MCAT, to be considered. International DMD applicants using the DAT or CDAT must achieve a minimum score of 15 in each section. The admissions test cut-off score for each year is determined once all applications have been received by the University. The minimum Overall GAMSAT score for recent admissions (for domestic applicants) has been: Year of entry Cut-off score for standard SMP applicants Cut-off score for rural SMP applicants Cut-off score for standard DMD applicants Medicine applicants only: Cut-off score for rural DMD applicants If you are applying for the Bachelor of Medicine and Bachelor of Surgery and you are a US citizen/national/permanent resident (regardless of whether you are also a citizen or permanent resident of a country other than the US), you are required to submit MCAT results. The MCAT results are required so that Sydney Medical School can comply with US Department of Education requirements to become eligible, and remain eligible, to participate in the US direct loan scheme. The University is required to provide the Department with lists containing MCAT results and the number of times that US students sat MCAT (but without students' names). Please note that: - If you are an eligible domestic applicant AND a US citizen or national or permanent resident, you must supply both MCAT and GAMSAT results and your GAMSAT score will be used in the admission process. There is no minimum requirement for MCAT results and if you wish you may supply the required MCAT results at the time of enrolment. - If you are a US citizen or national or permanent resident (but T an eligible domestic applicant), you must submit MCAT results at the time of application. Alternatively, you may submit both MCAT and GAMSAT results at the time of application if they both meet the minimum requirements and the admission procedure will use whichever results in the higher ranking. 11

13 GAMSAT Please note GAMSAT results are valid for two years. You may nominate which year's results you want considered if more than one set of test results are valid. Individual section scores from tests in different years cannot be mixed. Only results from the following test cycles can be used to apply for 2014 entry: GAMSAT Australia 2012 and 2013 GAMSAT Ireland 2012 and 2013 GAMSAT UK 2011 and 2012 Applications, information and sample questions for GAMSAT are available online from the ( MCAT (international applicants only) The Medical Colleges Admissions Test (MCAT) is held in a number of international locations. You may nominate which results you want the Sydney Medical School to consider if more than one set of test results is valid. Individual section scores from different tests cannot be mixed. For 2014 entry, the MCAT results must be obtained no earlier than January As the writing section of the MCAT has been removed in 2013, ONLY scores from the sections which are given numerical scores will be considered in the application process. This applies to students who have scores from the writing section; writing section scores for these applicants will not be considered for the purposes of admission. Details about MCAT, including registration dates, location and dates of tests and preparation guidelines are available from the MCAT Program Office: Medical College Admission Test (MCAT) ( DAT and CDAT (international DMD applicants only) The US Dental Admissions Test (DAT) and the Canadian Dental Aptitude Test (CDAT) can be used for international DMD entry. Applicants using either of these test results must achieve a minimum score of 15 in each of the sections to be considered for interview The Manual Dexterity Test component of the CDAT is not included. Applicants who wish to submit DAT or CDAT results must upload a scanned copy of the test results at the time of application AND mail the original hard-copy test result to the International Office (details on page 28). 12

14 SPECIAL ADMISSIONS SCHEMES 1. PHD AND MASTER S BY RESEARCH Was your PhD/Master s by research awarded after 1 January 2004? Have you completed the GAMSAT (or MCAT) within the last 2 years? Are your GAMSAT results at least 50 in each section, or MCAT results at least 8 in each section? Not eligible for this scheme Eligible for this scheme For 2014 entry, applicants with a PhD or a Master s degree by research* from a recognised institution whose GAMSAT results have met the minimum score of 50 in each section of the GAMSAT (see Admissions Test) will be deemed eligible for interview regardless of their undergraduate GPA. In addition, applicants with a PhD by research will have 3 percentage points added to their total final score (determined by the Medical School). There will be no extra points for other types of doctorates or Masters degrees. *Some Master s degrees by research or PhD may require a limited amount of coursework, however, the research component must comprise 2/3 or more of the overall course requirements. Proof of award must indicate that the degree met this requirement. 13

15 2. ABORIGINAL AND TORRES STRAIT ISLANDER (ATSI) APPLICANTS (Domestic applicants only) Are you an Aboriginal or Torres Strait Islander? Not eligible for this scheme Have you completed a Bachelor s degree at a pass level? Or will you complete a Bachelor s degree at a pass level by 1 January 2014? Have you completed the GAMSAT within the last 2 years? Eligible for this scheme Aboriginal and Torres Strait Islander (ATSI) applicants will be selected for interview if they satisfy the requirements of their bachelor degree at a pass level and if they reach the minimum acceptable levels of performance in GAMSAT as defined by Sydney Medical School and the Faculty of Dentistry. Applicants will also be expected to achieve a suitable level of performance at interview. Aboriginality can be demonstrated by one of the following forms of proof of identity: - a letter of support from a relevant community organisation such as a land council, legal or medical service or from ASPAA (Aboriginal Student and Parent Awareness Association) - an affirmation/statutory declaration stating self-identification as an Aboriginal or Torres Strait Islander Applicants MUST submit supporting document(s) with their online application, otherwise applications will be processed as standard applications and not via the facilitated entry scheme for Aboriginal and Torres Strait Islander (ATSI) applicants. 16 3. RURAL ORIGIN (Domestic applicants only) Is your GPA as calculated by UAC 4.5? Have you completed the GAMSAT within the last 2 years?* Are your results above 50 in each section and above 50 overall? Not eligible for this scheme Eligible for this scheme Facilitated entry is available for applicants who certify that they are of rural origin. An applicant is defined to be of rural origin if he or she has lived in an ASGC-RA 2-5 area for at least five years since the beginning of primary school. ASGC-RA refers to the Australian Standard Geographical Classification Remoteness Area. The Remoteness Area classifications are: - RA1 - Major cities of Australia - RA2 - Inner regional Australia - RA3 - Outer regional Australia - RA4 - Remote Australia - RA5 - Very remote Australia To determine if you are from an eligible area use the ASGC look-up tool. ( Selection Criteria Rural applicants are required to achieve a GPA of 4.5 at the time of application as calculated by UAC. The GAMSAT cut-off for rural applicants will be determined once all applications have been received by Sydney Medical School and Faculty of Dentistry. Proof of Rural Origin Applicants of rural origin will be required to sign a statutory declaration as the only acceptable proof of rural background. Sydney Medical School and Faculty of Dentistry will audit a random selection of applicants. If you are audited, you will need to provide, within 3 weeks of request, one or more of the required documents to confirm that you are of rural origin (please see FAQs on following page for required documents in case of audit). 15

If you do not upload the statutory declaration, your application will be processed as a standard application and not via the facilitated entry scheme for Rural Origin applicants. If you have any queries about this information, please see the FAQs below: Q: If I have lived for almost 5 years in a rural area (e.g. 4 years and 8 months), am I an applicant of rural origin? A: No, you must have lived in an ASGC-RA 2-5 area for at least five years since the beginning of primary school to be classified as being of rural origin. Q: Am I an applicant of rural origin if my address is 200m from a RA2 area? A: No, your address must be within an ASGC-RA 2-5 area for you to be classified as being of rural origin. Q: Half of my street is counted as rural and the other half is not. If I live on the part of the street that is outside the ASGC-RA 2 area, can I be considered as a rural applicant? A: No, your address must be within an ASGC-RA 2-5 area to be classified as being of rural origin Q: Can time spent in an ASGC-RA 2-5 area for shorter periods be added together to make up the 5 years? A: Yes, but the shorter periods must represent living, schooling or working in the rural area. Q: Does time spent in a boarding school in a major city count if my home address is in an ASGC-RA 2-5 area? e.g. Am I defined as a rural applicant if I went to primary school in a rural area, and then to boarding school in Sydney? A: Time spent in a boarding school in a major city does not count towards the 5 year requirement. However, the time you spend in a rural area during school holidays does count towards the 5 year requirement. If you went to primary school in a rural area and spent your secondary school holidays in a rural area, you will be defined as a rural applicant only if the total amount of time you spent living, schooling or working in a rural area amounts to 5 years or more. Q: Does time residing at a University residential college count if I return home to a rural area during semester breaks? A: Time spent residing at a residential college will only count towards the 5 year requirement if the University is located in an ASGC-RA 2-5 area. The time you spend in a rural area during semester breaks does count towards the 5 year requirement. Q: Does time spent boarding in a rural area count if my home address is in a major city? e.g. If I boarded in Army barracks in a rural area, and my home address is in Sydney, can the time boarding in the rural area count towards the 5 year requirement? A: Yes, this time can count towards the 5 year requirement. 16

18 Q: What should I write in a statutory declaration? A: Please click here here to download the text of the required statutory declaration. ( Q: Who can witness my statutory declaration? A: A statutory declaration under the Statutory Declarations Act 1959 may be made before one of the qualified people listed on page 2 of the statutory declaration. Q: What do I need if I am audited? A: If you are audited, you will need to provide, within 3 weeks of our request, one or more of the following documents to confirm that you are of rural origin: - A letter from a medical practitioner, dentist, lawyer, school principal, employer or other member of the rural community confirming that you have lived in the rural area for at least five years since the beginning of primary school. The letter should include your rural address or the town in which you resided, and the position and contact details of the author. Letters from family members will not be accepted. - School reports or certificates that include your name and clearly identify the school. - Academic transcripts from a regional university. - Invoices, lease agreements and other legal documents that confirm your rural address during the relevant period. All documents should be original or certified copies of originals. 17

19 INTERVIEW Applicants who meet the minimum GPA and admissions test requirements will be considered for interview. Applicants will be selected for interview based on their Overall GAMSAT/MCAT scores. THE INTERVIEW PROCESS The actual interview is expected to last approximately 45 minutes, however, the entire process including registrations, a feedback session, and possible delays, may take up to 2 hours. The interview process is designed to assess suitability based on qualities important for success in the SMP and DMD, including: - good communication skills - a sense of caring, empathy and sensitivity - an ability to make effective decisions - an ability to contribute as a member of a team - an appreciation of the place of medicine in the wider context of healing - a sense of vocation, motivation and commitment within the context of medicine The interview aims to broadly sample the candidate's competencies in order to gain an accurate picture of the candidate s strengths and weaknesses. This is achieved by having several brief interviews with different interviewers. Interviewers will not be provided with any information (including GAMSAT and GPA scores) about applicants. Full details of the interview process will be sent to applicants who are deemed eligible for interview. Applicants who have indicated that they have a record of exclusion and who are deemed eligible for interview may be required to attend an additional interview. THE INTERVIEWERS All interviewers are volunteers who have completed a training program. They are recruited from the following groups: - Academic, clinical academic, and staff of Sydney Medical School or the Faculty of Dentistry - Senior students and graduates from the Medical Program or Bachelor of Dentistry program - Persons drawn from the wider community. The interviewers will optimally include 2 or 3 of each gender. 18

20 INTERVIEW DETAILS Applicants who have applied to both Medicine and Dentistry will only be required to attend one interview. Interview results will be considered by both Faculties. Applicants who are eligible to attend the interview, which forms part of the admission process for Sydney Medical School and Faculty of Dentistry, will be notified by . The will contain a login name and password and web address which will allow you to select an interview time and date. Medicine applicants will also be required to select their offer preferences and clinical school preferences. Information is available on the SMS and Faculty of Dentistry s website. Domestic applicants In 2013 there will be a non-refundable $100 (incl. GST) Interview Booking and Administration Fee for domestic applicants to attend an interview. Online payment via credit card (AMEX, Visa or Mastercard) will be required within 24 hours of booking to secure the interview booking. Applicants selected for interview are required to travel, at their own expense, to the indicated venue in order to attend an interview. Please note that no alternative interview dates and/or interview methods will be scheduled. Please see the timeline on page 3 for expected interview dates. Under exceptional circumstances domestic applicants may attend an interview via Skype. Exceptional circumstances may include: - Obligatory attendance at an overseas tertiary institution during the interview period - Overseas travel for business purposes - Severe illness preventing travel Please note: Convenience and/or personal travel plans will not be considered. Eligible applicants who would like to be considered for an interview via Skype due to an exceptional circumstance will have an opportunity to submit a request before mid-july when completing an online confirmation page. Supporting document(s) will be required. Requests will be considered by the Admissions Committee on a case-by-case basis. International Applicants Applicants selected for interview, including those already in Sydney, will be interviewed via an online link using Skype. There is no interview booking fee for international applicants to attend an interview. APPEALS An applicant who believes their performance at interview has been compromised by serious illness or misadventure may appeal in writing, providing supporting documentation, within two days of the interview. The Committee Executive shall determine if any further action is required and its decision will be final. 19

21 OFFERS Offers of places are made by the Deans of Sydney Medical School and the Faculty of Dentistry to those applicants who are considered most suitable, progressing through the categories until all places have been offered. Applicants are required to meet or exceed a minimum MMI score which will be determined by the Admissions Committee. Applicants will then be ranked on the basis of a combination of admissions test results and interview performance. This will generate a single ranked list of applicants. Offers will be made in sequence commencing with the applicant with the highest ranked score. Should it arise that applicants ranked equally need to be separated, the Overall GAMSAT/MCAT score will be used. The applicants most highly ranked will be offered places first (according to their preferences for domestic applicants. If a particular type of place is no longer available, domestic applicants will be offered their next preferred available place). Firm offers are only made to applicants who are already graduates. Provisional offers are made to applicants who have not completed the final year of their Bachelor degree. The provisional offer lapses if the applicant fails to achieve the required GPA on completion of the degree. Please refer to page 24 for details on the required documents. Successful applicants are given a firm date by which to accept the offer of a place. Offers not accepted in writing by that date lapse. 20

22 HOW DO I APPLY? ALL APPLICANTS PLEASE TE: if you are intending to apply for both the SMP and the DMD you must submit two separate applications as only your first course preference for each application will be considered. 1. Submit an online QAS application to the Universities Admissions Centre (UAC) by midnight on Saturday 1 June 2013, Sydney, Australia time; 2. Submit an online Sydney Student application directly to the University of Sydney by midnight on Sunday 2 June 2013, Sydney, Australia time; 3. Complete an online confirmation page in early July, unless you have been notified prior to July that your application has been unsuccessful. If you fail to complete one or more of these components, your application for the SMP and/or DMD will not be processed. Please note that only online applications will be accepted. No hard copies of applications will be accepted. 2. INTERNATIONAL APPLICANTS International applicants may submit an application via one of the following the methods: 1. An official/authorised English translation of any document not issued in English and original language versions of those documents HOW TO USE THE ONLINE APPLICATION FORM (EXPLANATION OF THE SYDNEY STUDENT ONLINE APPLICATION FORM) BEFORE YOU BEGIN Please: 1. make sure that you have the required documents ready for uploading to the Sydney Student online application system before commencing your online application. You will need to upload them at the very beginning of this online application form; 2. upload scanned documents to complete your online application. These documents do not need to be certified. Each category on the document upload page will only accept a single file. As such, if your transcript is spread over multiple files, you should combine it into a single PDF before uploading. 25 Note: SMP and DMD applicants do not need to upload: - evidence of membership of professional associations - evidence of work experience or curriculum vitae - information about academic awards or prizes Applicants completing their Bachelor s degree in 2013 Domestic SMP or DMD applicants who are completing their degree in 2013 must forward a scanned copy of their final official academic transcript of the completed degree (and testamur if the transcripts do not confirm award) to the Medical Program Admissions Unit (MPAU) at Sydney Medical School by 3 January 2014 via medicine.localmp@sydney.edu.au. The MPAU will then forward the transcripts to UAC to have applicants final GPA re-calculated. Where the transcript does not state that the degree has been conferred, an official letter issued by the Registrar/Academic Affairs Office or equivalent of the issuing institution confirming the completion of the qualification inclusive of the date the award will be conferred, must also be provided. Validation of Documents The University of Sydney accepts scanned documents submitted online in support of applications for admission to courses of study. All supporting documents must be true and complete records. You should be prepared to provide original documents or original certified copies of supporting documents upon request at any time. Detailed checking of supporting documents is a crucial element of our admissions process and may involve contacting the original issuing authority or relevant tertiary admissions centre, or other organisation (whether education or otherwise), or individual, whether in Australia or overseas, to verify documents. A failure to provide documents on request, or the discovery of either fraudulent documents or a misrepresentation of true circumstances in association with your application, may lead to the rejection of your application for admission, the withdrawal of any offer of admission, or the cancellation of your enrolment.
