4 Sustainability Management System: examples HIH suppliers Serendipalm, Julia Edmaier: setting up their Sustainability Management System including targets, indicators, actions and time lines -> see separate presentation Achal, MN Pai: link to dashboard of Toastmasters International: example of advanced monitoring system of indicators via internet Lotus/SEKEM, Mohamed Elbadawy: Sustainability Management System ofsekem -> including SEKEM sustainability report (based on sustainability balanced scorecard system)

5 Sustainability Management System: Target Target: set up a simple system fitting your own needs and targeting your individual risks as company regarding financial, social and environmental aspects and development. The presentations given at the workshop thereby represent simple and advanced systems to give you examples.

6 Sustainability Management System: What we expect Sustainability Management System Plan distributed at the workshop, see document : 15_HIH_Sustainability_Plan.xls or respectively 15_HIH_Plan_Sostenibilidad.xls -> Fill in the Plan regarding Preconditions and Status Quo and send it to Rapunzel until 30th of April > Work on your Individual action plan and identify at least 1 goal and 1 indicator for each of the 3 sustainability pillars finance, social aspects and environment and send it to Rapunzel until 30th of November 2015

7 Sustainability Management System: What we offer Report format: we will prepare a report format draft which you could use for annual reporting Individual meetings with Bernd Jauch, external expert, started at Rapunzel Festival in September 2014 and continued at HIH Workshop in Feb 2015 Target: First discussions (face to face or via skype) with every HIH partner to identify status quo of sustainability management in the HIH partner organisationand furthersteps to take Offer: we can provide further guidance/support by Bernd Jauch to develop your individual sustainability management system upon request

9 Short Revision HIH Criteria Revision in Spring 2015, revised version will be sent to you for comment and approval Integrate references to ILO conventions to the respective HIH criteria Adapt inspection and certification procedure to current procedure: Rapunzel receives inspection report from inspector Rapunzel does a first evaluation of the inspection results In case of non conformities, HIH partner realizes corrective actions within 6 months after the inspection Certification decision is made by bio.inspecta as external certifier New: Rapunzel checks possibility to recognize FLO Fairtrade and IMO Fair for Life inspection reports. Preparation of short additional checklist for control of HIH specific aspects (e.g. labelling, HIH premium, sustainability management system). Rapunzel approachesimo and FLO-CERT in 2015.

10 Training on HIH: Feedback from HIH inspections Training of key personal dealing with HIH: see e.g. presentation on HIH program in the HIH login on with details regarding HIH Training of farmers and workers: tell basics about HIH (HIH fair trade program of Rapunzel Naturkost, HIH links organic and fair trade, Rapunzel as client for the HIH product): see calender 2015 with basic information on HIH on 1 page (calenders distributed at the workshop, will be sent to all HIH partners, you can find the document as well in the HIH login) Documentation: Despite oral traditions in most countries, in Fair trade written basic agreements are necessary: transparency! Examples: Documentation and information on pricing system to farmers, emplyoment contracts and employment conditions, basic labour rights
