4 PROJECT BACKGROUND The Chicago Housing Authority ("CHA") is in the process of migrating our users to Microsoft's Office 365. CHA has implemented a Directory Synchronization server and has successfully migrated all of our users to Microsoft Office (ProPlus) in the cloud. CHA is currently using Microsoft's onboarding team to assist with this migration but there are items that fallout of scope and deemed ineligible. " CHA" is seeking a Microsoft partner with Microsoft Office 365 migration experience to provide support services in completing this task. Based on this request, below is the current CHA Exchange environment: Microsoft Exchange Enterprise 2010 SP3 Microsoft Active Directory 2012 Domain Controllers Microsoft Directory Synchronization Server Single Forest Single Domain Cisco unity Connection version OpenText Rightfax version CHA currently uses Public Folders in Exchange. SPECIFICATION OF PRODUCT(S) The Chicago Housing Authority (CHA) is seeking a certified Microsoft partner to assist with our Microsoft Office 365 migration project. This project is not a full migration of all CHA's users to the cloud but a specified user pilot migration. This pilot will allow CHA to utilize the full benefits of Microsoft's cloud computing to obtain services such as Microsoft's Exchange (" ''), SharePoint, Lync (''Collaborative Conferencing") and One Drive ("Business File Storage for Users"). The Selected vendor will provide the services below: Assist CHA (onsite Support at 60 East Van Buren) with the design, testing and deployment for 25 users (25 User Pilot Group) for Microsoft Office 365 Exchange, Lync, SharePoint and One Drive. Assist CHA with the design, testing and deployment for the out of scope items that are deemed ineligible for the fast track option mentioned earlier, such as: o Item 1) Cisco Unity Connection for CHA voic users (Version 8.6.2). o Item 2) OpenText Right Fax Networking Faxing into users inbox (Version 10.5). o Item 3) Microsoft Public Folders migration to the cloud. Develop a clear vision of the high-level solution goals and constraints. Identify business and technical requirements for the Exchange Online, Lync, SharePoint and One Drive Pilot. Define sequence of tasks required for successful Pilot. Pilot the solution in the production environment. 2

5 Provide one or more detailed documents created specifically for Customer. During the deployment application dependences on the legacy system must be identified. Vendor will provide guidance and recommendations for the reconfiguration or decommissioning of these systems. Vendor will review current state information, and document any issues, risks, and/or concerns. Efforts will include: ~ User analysis and user data validation, including numbers of users, locations, skill sets, typical mailbox access. Consider availability for migration activities, mobility needs, and migration waves. Development of migration success criteria and project requirements. Review DNS and certificates. Analysis and evaluation of various configuration options available within the Microsoft Online Service capabilities to. Provide analysis and evaluation of various configuration options available within the Microsoft Online Service. Assist with Exchange hybrid Servers builds quantity (2) Configure Exchange Online Protection. Provide training to CHA ITS staff members. Provide post support to CHA after migration. TERM The term of the contract will commence upon approval of the CHA and continue for a one (1) year period. FEE PROPOSAL FORM CHA requires fixed pricing for the product and services listed in the Fee Proposal Form Pages. Bidders must complete the Fee Proposal Form as instructed in Attachment A.
