3 Standard Squiz Professional Services - Strategic Services Digital Transformation Before embarking on any type of digital transformation project it s well worth investing time into understanding what it is you re trying to achieve. There are many factors that define what makes a project successful but a key factor is doing the research and thinking ahead of any development work. Our strategic consultancy team will help you to get the most out of your digital investment by providing you with background research and informed insight, gained from research, interviews and workshops. Services include; - Capability Audit - Market Insight - Stakeholder Research - Content Audit - Customer Insights - User Research Analysis Squiz runs an analysis phase at the start of every project. It's our way of ensuring that we're all on the same page when it comes to what you want to achieve, when and how. We've found the best way to get this information is via a series of workshops focused on different areas of your business. Analysis Workshops are a series of meetings in which Squiz gather your online requirements and embark on business analysis. The workshops can either be held on site at our Squiz offices or at your premises. They focus on user journeys, website features, UX, design and technical requirements and the technical architecture of your systems and site requirements. During the analysis phase you will be working closely with your Squiz Account Manager, Project Manager and Web Technology Consultant. They will work with you to help define and understand your on-line needs in order to provide deliverables including: Wireframes of pages and page elements Full functional specification detailing how your platform will function Competitor analysis Responsive design templates Commercial in confidence Page 3 of 12
4 A detailed build plan detailing a clear breakdown of the build phase including milestones and showcases of the development work Inclusions of Analysis kick-off meeting planning/high level requirements workshop user analysis workshop observed usability testing sessions information architecture and page layout workshops content inventory workshop integrations workshop functional requirements workshops search workshop migration workshop design workshop - if you are not taking an UX package design showcases - if you are not taking an UX package wrap up/planning workshop Testing and Delivery Manual and Automated Testing All of our testing services are performed either manually by the dedicated QA team at Squiz or automated where applicable (e.g on the actual solution/site). Quality Assurance Testing (QAT) / Test Management Quality Assurance (QA) testing is included in all of our web implementation projects. We will ensure during QA that the system meets all the specification according to the QA scope, as agreed between both parties. Commercial in confidence Page 4 of 12
5 Content Migration Content from other sites can be migrated manually, or Squiz can develop scripts to automate the migration. The complexity of this task depends on the type of content, and the systems/data repositories involved. Please note that the client may choose to migrate the content themselves, or use the services of Squiz for this task. Migrating the content with {ORG}-internal resources has the advantage of minimising costs and allowing website content to be reviewed and new workflows etc. to be applied at the same time. Squiz are happy to allow {ORG} to take advantage of Squiz' expertise in this area by providing further content migration support, and in this case it is expected {ORG} would purchase a Support Pack to cover these services, or choose to pay a per page fee. Squiz' Content Migration Team would develop a specific content migration strategy for the project, whose goal is to reduce cost and migration time. Issues considered and assessed would include; The delivery of content, by whom, when and how The quantity and types of attachments, The quantity and types of content, structure, format and consistency Whether existing content is to be reviewed and if the quantity to be moved can be reduced The content linking, and URL re-mapping Metadata and search result requirements Accessibility, usability and browser compatibility expectations Copyright, proofing and general approval processes of all new content Setting life-cycles of new content for automated periodic review, archiving etc. The availability of trained staff to work with the Squiz Content Migration team Deadlines and client expectations The necessary Squiz project management resources Having reviewed these issues, Squiz can determine whether it is possible to use existing automated migration scripts, or if new migration scripts are required and would be viable. During this process Squiz can make available the automated migration scripts, which can significantly reduce the cost of the content migration phase. Depending on the nature of the content, the Content Migration Team can also develop additional scripts to automate the majority of the migration process - please note however that the manual migration of some content is always required. It's the point where ideas and vision first start to become reality, and where your brand and message get to shine through the new technology, enabling you to interact with your audience in a whole new way. The Squiz design team's role is to create a seamless user experience that meets and exceeds the requirements of your audience while strengthening and evolving your brand. It marries brand identity and marketing strategy with interface design and cutting-edge technology. The Squiz approach to web design follows our Web Experience Management ethos, and as such is a complete end-to-end solution for creating, maintaining and developing your visual online presence. We're strong advocates of the One Web ideology and believe a website should render equally well regardless of the device on which it is being viewed. We can design sites using the Responsive Web Design technique which enables us to tailor the user experience for a particular device, so a website will be optimised differently depending on whether it is being viewed on a desktop computer, smart phone or tablet etc. removing the need for a bespoke solution for each medium. We approach our design projects in reverse, focusing on the end goals first to ensure we fully understand your requirements and can make recommendations to help guide you towards the perfect outcome for you and your audience. Squiz designers are experts in User Experience Design, and our user-centred approach insures that accessibility and usability are at the heart any project, to maximise traffic conversion and increase ROI. User Experience UX Your UX Package Squiz will hold a project kick-off meeting to introduce the Squiz team members and {ORG}'s project team, and ensure all parties are aligned in terms of the project's objectives, expected outcomes and deliverables, and timeframes. During this session, we will walk you through the Squiz Client Journey to show you how we will work together during the project. We'll look at the agendas for the workshops to get your input. We'll also look at your high level requirements and the project for a holistic view. And we'll set up the communications plan, booking in weekly calls so you know exactly what is going on with your project. Following the kick-off meeting, we will hold a planning and high level workshop so that we can look at the deeper requirements and your current processes, and look for ways that we can improve these. Workshops Workshops are a series of meetings in which Squiz gather your online requirements and embark on business analysis. The workshops can either be held on site at our Squiz offices or at your offices. They focus on user personas, user journeys, usability and understanding your business goals. Targeted Campaigns - Squiz Matrix is a leader in the market for planning and creating tailored campaigns and experiences. Using the latest technologies surrounding CMS, content curation and marketing automation, we can deliver relevant content to users based not only where they have arrived to the site from or their geolocation but also their behaviour on the site. Using marketing automation, a profile can be built for each individual site visitor. This information is fed into a CRM from which you can create tailored campaigns, including metatags to automatically segment them. Having ready-segmented data makes the planning and creation of these campaigns all the more accurate and efficient. Your marketing team will have all the tools necessary to roll out campaigns quickly based on live leads. The digital teams can curate personalised content that is delivered to the right people at the right time without the arduous route to personalisation that is traditionally experienced by other CMS'. 9 Project Delivery Project Approach We have two engagement methods which clients can choose from. We provide project management services around each delivery method; Fixed Price Waterfall Using our fixed cost Waterfall method, we re able define the entire project based around an agreed scope Squiz specialises in providing the services necessary to implement your website in Squiz Matrix from start to finish, including build planning, project management, design creative, design implementation, functional implementation, content migration, documentation, platform build, QA testing, go live support and training. Squiz manages your project according to the Squiz project management methodology, the Squiz Project Life Cycle (PLC). The PLC is designed to deliver Squiz's implementations as efficiently as possible. Squiz prepares the project plan, however your input is also required. You are expected to take part in the review process, since all parties must agree on how the project will be managed. The Initial project plan provides a framework within which the Planning phase of the project will be executed, monitored and controlled, and closed. The Updated project plan includes the same sections as the Initial project plan, updated for the Build Phase of the project. The key difference between the Initial and Updated project plan is the "Statement of Work" section, which is updated with any additional requirements identified during the Build Planning phase, such as additional wireframes or implementation of CMS extensions. Updates to the Statement of Work impact other areas of the project plan, in particular the Milestones, Deliverables, Responsibilities and Payment, Schedule, and Budget/Costs. A Basic project plan includes: Project Goals - This section of the project plan provides a summary of the project goals, which is important to ensure that all project members understand the underlying goals and remain focused. Statement of Work - The Statement of Work (SOW) provides a high level summary of the work being undertaken by Squiz. This section draws a clear line between areas that are within scope and those that are outside scope. It is important that all parties are in agreement, as the SOW will be used when reviewing change requests. Notes, Assumptions and Constraints - This section includes a list of 'key' notes and assumptions made by Squiz in preparing the PMP. Any constraints that impact the project are also listed in this section. Team and Reporting Structure - This section provides an overview of the teams that comprise the overall project team. It includes an organisational chart diagram showing the team structure, and reporting lines are also shown to ensure all parties are clear on who is the project sponsor, the key stakeholders, the project management team (both client and Squiz), and project team (client, Squiz and any possible 3rd parties) and how they interact. This section also specifies the reporting requirements for both the Squiz and client project managers, and the escalation procedures to be followed in the event of a dispute. Milestones, Deliverables, Responsibilities and Payments - Provides a summary of all milestones, deliverables, responsibilities, and payments (MDRP) included in the project. Training Needs Analysis - This section outlines a team skill analysis and gap analysis, and agreed training approach for the key personnel involved in the project. Schedule - To compliment the "Milestones, Deliverables, Responsibilities and Payments" section, a Gantt chart is included that clearly outlines the project schedule from the kick-off meeting up until the final sign-off. As the project progresses, this will be used as a means for tracking project status. Risk Summary - This section of the project plan briefly outlines any risks identified for the project. This level of detail is adequate for low-risk projects. If required, Squiz can undertake a more detailed analysis of risks, including mitigation strategies, with an optional Risk Analysis. 10 Change Management Process - It is important to specify a change management procedure because projects seldom run exactly according to original plans. Likely changes include those to functional requirements, deadlines, or budgets. It is particularly important that the change management process be understood and agreed by all parties involved. Budget/ Costs - This section of the PMP outlines the overall costs associated with the project. For the updated PMP, having completed the Build Planning phase of the project, any revisions to the costs of implementation based on the full requirements captured in the Build Specification can be made. Agile Project Delivery Agile project management is an adaptable methodology that accommodates changing requirements, multiple teams and delivers highly effective results. Agile projects are completed in small increments, delivering value and the opportunity to re-evaluate requirements throughout the process. This iterative approach increases visibility, promotes closer working relationships and places more focus on achieving successful business results. The Process Rather than a sequential movement through project phases, the Agile approach breaks each project down into numerous, prioritised increments, called sprints, which are completed in short time periods. At the end of each sprint, the completed work is evaluated and any changes are fed back into the original requirements. This is also an opportunity to reassess the project s overall requirements before they are reprioritised for the next sprint. Flexible Requirements One major benefit of the agile approach is that requirements do not need to be entirely defined at the outset of a project. This is a clear advantage for complex projects with multiple stakeholders, which is how we envisage this project, for which requirements may be impossible to define completely before any progress has been made. Furthermore, it helps to avoid the long delays that can be incurred when using a waterfall project management model, which requires each stage to be signed off before commencement of the next stage. Adaptive to Change Web projects are subject to changes as they evolve; organisational objectives, user profiles, resources, project goals and technologies can all shift over time. The agile approach allows for these changes to be incorporated into the project requirements to ensure an end result that is suitable for its purpose, reducing the risk of project failure. Incremental Value Iterative project deliverables mean that the client can begin to benefit from work before the project is completed. This gives the organisation a return on its investment at an earlier stage, and gives stakeholders an opportunity to reassess the requirements of the overall project based on their response to the incremental deliverables. High Visibility and Engagement The agile approach relies on constant communication within the project team and on-going engagement with the client, via status reports and meetings and development showcases. This leads to high visibility of project progress and performance, as well as strong working relationships. Commercial in confidence Page 10 of 12

12 Please refer to the Squiz Plus Agreement for full terms & conditions. Extract taken from: Fees and Payment Terms. The Fees payable are as specified within a Schedule within a Squiz Plus agreement. Unless indicated otherwise, payment terms are 30 days from invoice date Travel Expenses Unless otherwise specified, the Fees do not include Squiz s cost of travelling to and from the Customer s premises. If Squiz is required to travel to the Customer s premises to provide any of the Products or Services, the Customer agrees to reimburse Squiz for the reasonable cost of travelling following Squiz s provision of documentation supporting such expenditure Invoicing procedure Squiz will submit invoices to the Customer for payment of the charges and expenses. An invoice must be: a) Addressed to the Customer in accordance with this MSA; b) Where the Services are provided pursuant to a Milestone Invoicing Schedule, reference made to supporting documentation in respect of the Services provided in that period; and c) In the form of a valid VAT invoice Disputed invoices If the Customer reasonably considers that an invoice exceeds the amount properly payable the Customer must: a) notify Squiz of the amount in dispute within fourteen (14) days after receipt of the invoice; b) pay the undisputed portion within the period stated in clause 12.1, and c) comply with clause Value Added Tax If VAT is imposed on any supply under this MSA, the Customer must pay Squiz the amount of VAT imposed at the same time and in addition to the Fees specified in the Schedule. No VAT is required to be paid by the Customer under clause 12.5 unless Squiz has provided the Customer with a VAT invoice. If the amount of VAT paid by the Customer to Squiz in relation to a supply under this MSA differs for any reason from the amount of VAT paid or payable to HM Revenue and Customs by Squiz in relation to the supply, the difference must be paid to Squiz by the Customer or by Squiz to the Customer as the case may be, and Squiz must provide the Customer with an adjustment note in this respect within fourteen (14) days. If a Party is entitled to reimbursement by the other Party for out-of-pocket or other expenses, that Party may not recover from the other Party any amount of any expenses to be reimbursed for which that Party is or would be entitled to an input tax credit (whether or not any input tax credit is claimed). Discounted day rates can be made available to new educational customers and, in some circumstances, other noneducational customers at the discretion of Squiz. Squiz professional day rates available; 850 per day and 950 per day. Rates are dependant on the services and technologies provided under a Squiz plus agreement, including payment terms.
