3 I. Definition of a Catastrophic Incident Catastrophes such as death or permanent disability in collegiate athletics are rare. However, the aftermath of a catastrophic incident to a student athlete, coach, or staff member can be a time of uncertainty and confusion for an institution. For the purposes of this plan, a catastrophic incident is the sudden death of a student-athlete, coach, or staff member from any cause or disability and/or quality of life altering injuries. II. III. Management Team The AAMU Catastrophic Incident Management Team shall consist of: Head Athletic Trainer, Jessie Zucnick; Assistant Athletic Trainer, Michael Dye; Director of Athletics, Betty Austin; Team Physician, Dr. John Greco; Sports Information Director, Brandon Willis; Senior Women s Administrator, Altherius Warmley; Director of University Public Relations, Jerome SaintJones; University Legal Counsel, Angela Debro; Compliance Director, Kimberly Brown; and Director of Counseling Services, Mary Morris-Billings. Immediate Action Plan The policy of the Alabama A&M Sports Medicine Department with regards to a studentathlete who has sustained a catastrophic injury shall be as follows: 1. The AAMU Sports Medicine s emergency action plans for each individual sport will be followed at all home practices and games. 2. The AAMU Certified Athletic Trainer will accompany the injured student-athlete to the medical facility as long as there is adequate medical coverage still present at the sports event. In the event that the Certified Athletic Trainer is the only medical staff available and they are unable to reach another Certified Staff Member, the assistant coach will accompany the injured athlete to the medical facility. In the event of football games where our team physician is present, the team physician and a graduate assistant will accompany the injured athlete to the medical facility until the full time Certified Staff Member arrives at the medical facility and relieves the graduate assistant. IV. Chain of Command/role Delineation 1. Once at the medical facility, the designated individual (Certified Athletic Trainer, Graduate Assistant, or Assistant Coach) will contact the head athletic trainer with medical updates from the attending physician (if applicable). 2. The head athletic trainer will then contact the following individuals: a. Team Physician- Dr. John Greco 3
4 b. Athletic Director- Ms Betty Austin- O a. Notifies the President of Alabama A&M University and/or his designee of a catastrophic incident and continues to provide updates as warranted b. Notifies Alabama A&M University General Counsel and Compliance Officer of a catastrophic incident and continues to provide updates as warranted c. Notifies additional University personnel of a catastrophic incident as he/she deems necessary and continues to provide updates as warranted d. In the event that the catastrophic incident is non-athletic, notifies the Sport Supervisor and Head Coach of the sport, if applicable e. Assigns Alabama A&M Intercollegiate Athletics staff to assist with travel and lodging arrangements for the injured student-athlete s family, be with the family at all times upon arrival, assist the family as needed, and protect them from outside persons. f. drafts, approves, and makes a public statement regarding the catastrophic incident g. Serve as the Official Spokesperson regarding all aspects of the catastrophic incident in conjunction with the Team Physician(s) and the medical personnel at the facility h. Other duties as needed 3. The team physician, head athletic trainer, the Athletic Director and/or a designee (SWA) and the head coach (and recruiting coach, if possible) will immediately proceed to the medical facility (if applicable). 4. Once the student-athlete has been transported to the medical facility, the head athletic trainer, in consultation with the team physician, Athletic Director, and head coach will make every effort to notify the injured student-athlete s family of the emergency situation. i. The head athletic trainer will continue to communicate with the injured student-athlete s family and will provide medical updates as available. 5. After receiving consent from the student-athlete s family, the head athletic trainer, team physician, head coach, and Athletic Director, in consultation with the AAMU Public Relations Department and Sports Information Director, may release an official statement to the media. i. The public relations department may not release a statement until the student- athlete s family has given their consent, and the team physician and Athletic Director have approved and authorized the statement. 4
5 6. The head athletic trainer and coaching staff will be responsible for assembling the team as soon as possible for a briefing on the emergency situation. 7. The team will be addressed by the head coach, team physician, and/or Athletic Director regarding the student-athlete and the emergency situation, and will be advised not to speak to any members of the media. 8. The AAMU head athletic trainer will also contact Mary Morris-Billings, Director of the Counseling Center and Dr. Jim Moncier, Sports Psychologist, for the purpose of arranging psychologists, grief counselors, etc. for the use of all team and athletics department personnel. 9. The head athletic trainer and/or a designee will be responsible for collecting all equipment and materials involved (sports equipment, helmets, pads, etc.) and secure them in a locked area. Also, the completion of documentation concerning the events and everyone involved will be completed by the head athletic trainer. V. Criminal circumstances In the event of accidental death, homicide, or suicide, Legal Counsel will be notified and the athletics staff will follow the guidance set forth by the Alabama A&M Legal Counsel regarding the release of information and protocol to follow. VI. Away Contest Responsibilities: Catastrophic Incidents may occur at away contests. In the event that a catastrophic incident occurs at an away event, the same protocol will be followed as above. The only change will be that in all cases, the Certified Athletic Trainer will accompany the athlete to the medical facility and leave the Certified Athletic Trainer of the host institution in charge of the remainder of the sporting event. The certified athletic trainer will immediately notify the head athletic trainer who will activate the management team as listed above. VII. 10 VIII. Assistance to Visiting Team s as Host Institution for Catastrophic Incident As the host school for a visiting athlete, Alabama A&M University will do its best to help the visiting school. A member of our Sports Medicine Staff will accompany the injured athlete and their staff members to the medical facility and will notify our team physician. We will help make phone calls and notifications as asked by our visiting school. We will help address the visiting team and help give updates as requested. We will notify our director of public relations and Sports Information Director in order to help divert media attention from the visiting team staff. Revised July
