1 ACT IN-SCHOOL OVERVIEW OF ROLES This overview is supplemented by the assessment's administration manual which further defines the below roles and trainings. The administration manual will be posted to the CCRA website as soon as it's available. All test center staff (for P/P) must be listed on the ACT ing Staff List that will be returned to ACT with the test Roles Required Role Vendor Training EED TSA Level District : This person is the main point of contact between the district and schools on implementation activities. While ACT will communicate directly with s at schools relating to implementation activities, the DTC will be copied on communications as they support the implementation efforts and also work as a liaison to communicate with these stakeholders regarding any district-specific needs or activities.this person is also responsible for collecting data for the TCIF and submitting a completed form for implementation activities to begin. Strongly Recommended. The DTC is strongly encouraged to attend training and Q&A webinars sponsored by the vendor. Level 1 : This person is responsible for all aspects of the In-School administration at a school, including pre-admin activities like registration, test center set-up, planning rooms and staff for test day, and receiving and securing test materials. This person also oversees everything on test day, including distribution of materials, monitoring of all test day activities and staff, packaging and returning test materials, and completing Irregularity Reports. If a school is large, a TC may choose to enlist the aid of others at the school to help him/her with student registration and test day planning and set-up. The TC will remain the main contact and receive all communications from ACT. Specific eligibility requirements for this role are listed in the Administration Manual. The TC can serve at only one school. Required. This position must review the Administration Manual, familiarize themselves with their responsibilities, and hold a training session for test center staff before the test day. Level 3 Back-Up : This person will fill the back-up role in the event that the Center Supervisor is unable to serve in his/her role on test day (or the days leading up to test day). The back-up test coordinator can serve at only one school. Level 3 (Online testing only): This person is in charge of completing the school's three required site readiness checkpoints. EED recommends the district's Director serve in this role if able. This person can serve in this role for multiple schools. Required. This position must review the Requirements and Guide. Level 2 or 3 Accommodations : The test coordinator may select a test accommodations coordinator. The test accommodations coordinator is responsible for the following: reading the manual and following its policies and procedures, assisting the test coordinator in his/her responsibilities as needed, assisting the test coordinator to determine and document ACT accommodations as needed, and viewing and participating in accommodations training provided by ACT. scheduled by the TC and the accommodations training provided by ACT. *if administering an exam Room Supervisors: This person is in charge of an individual testing room and will administer the exam. This person must serve in one room for the entire session, and may assume responsibility for only one test room. The test coordinator normally serves as the room supervisor if only one room is used. Proctors: These are test day staff responsible for assisting in the testing rooms, providing breaks for other proctors, and keeping school facilities secure.
2 ACT IN-SCHOOL ONLINE PLANNING CHECKLIST Window: March 1-15, 2016 Accommodations Window: March 1-15, 2016 ACT In-School Support: , ext ACT Accommodations Support: , ext Every school must offer either the ACT or the SAT during the school day; districts may choose to offer both. Schools may offer the ACT via P/P or Online; they may not offer both. Students testing with accommodations via P/P are an exception. Note: Students wishing to test with ACT-Approved Accommodations must apply and be approved by ACT, Inc. to test with ACT-Approved Accommodations. This is different from State-Allowed Accommodations where no approval by the vendor is required. Key Milestones is responsible Organizational File: ACT, Inc. sends EED the ACT organizational file of all participating high schools by August 17th. EED reviews the file, makes updates if known, and returns the file by September 4th. If DTCs know of any changes to school s during this time, please let EED know. Note: the s will receive the first from ACT regarding Establishment. If the TC role needs to change, the TC will then make the change during the Establishment Window (see below). Informing EED of any changes to school roles, if known at this time. Contacting the DTC if there is a change in the role, if known at this time. Aug 17 - Sept 4, 2015 DTC & Establishment Window: ACT s s on October 12th the Establishment Online Profile Form. Completing the Establishment Online Profile Form (or updating the TC role if needed) by the Oct 12-23, 2015 Pre-ID File Submission: School districts submit their pre-id file to EED through the Fall OASIS data collection. The pre-id file will include all students projected to take the ACT In-School (Online and P/P) and WorkKeys P/P. Working with the district office to complete this data element in Fall OASIS for all grade 11 and grade 12 students by the Assisting the DTC if necessary in determining what CCRA assessment each eligible student is taking for the Fall OASIS data collection. Oct 23 - Nov 6, 2015 DTC Training Webinars: DTCs and s are strongly encoured to attend the ACT-sponsored administration trainings for WorkKeys P/P and ACT In-School (Online and P/P): (1) Establishment Training Webcast, (2) Two Administration Q&A Sessions, (3) Accommodations Q&A Webcast. Reminding s about the webinars and attending if available. Attending the webinars. Oct-Nov (TBA) Site Readiness Checkpoint #1: Schools complete the ACT In-School Online Site Readiness Checkpoint #1 ( Survey) during the available window. March 21, 2016 DTC & ACT Receipt of Materials Deadline: Districts must return all ACT In-School P/P and WorkKeys P/P test materials by April 8th for scoring. Late arriving documents will not be scored. Ensuring all test materials are delivered by schools back to the district and then picked up on time to meet this receipt Delivering all test materials back to the district office as soon as possible after testing to meet the prescheduled pickup dates.
