Please visit our website for additional information about MNHHS. http://www.health.qld.gov.au/metronorth/ About the Role Context The Senior Contract Administrator reports operationally to the Executive Director Metro North Medical Imaging and professionally to the General Manager, Business Advisory and Commercial Services MNHHS. The Senior Contract Administrator does not have line management responsibility but is required to establish effective relationships with key personnel, including MN MI Business Manager, MN Procurement Services Manager Procurement and Contract Governance and Clinical and Executive staff at relevant MNHHS facilities. The role has delegations in accordance with the MNHHS Delegations Manual.

Purpose Create, acquire and/or use existing tools and processes to document in detail and manage the obligations and benefits set out in relevant contracts for the provision of Medical Imaging services in Metro North HHS. Maintain an accurate and comprehensive record of all contract material, performance and other data and subsequent recording, analysis and reporting of such information over the life of the contracts, particularly the timely reporting of vendor/s performance of the contracted obligations. Complement and support the technical work undertaken by others during the lifecycle of the contracts by ensuring prompt availability of accurate, up-to-date, comprehensive records which Metro North Medical Imagining and MNHHS can rely: To achieve an effective mobilisation and transition of all aspects of the contracted services. For tactical and strategic decision-making purposes relating to such contract/s. Provide authoritative advice and recommendations to MNHHS Procurement Services, MN MI and affected Clinical Directorates on matters of contract performance, governance, risk, complexity and improvement. Develop and maintain productive professional relationships with key internal and external stakeholders. Key Accountabilities Develops and maintains customer relationships at a senior level. Responsible for day to day contract administration that permits both MNHHS and contractors to understand their respective contracted obligations and rights, including the development and implementation of a schedule of relevant reporting, auditing and billing matters. To hold accountability for contracted services ensuring that delivery levels are met consistently. Responsible for providing contract administration advice to assist MNHHS and contractor/s on transition and implementation plans, timeframes and associated risks in line with overall MNHHS contract administration policy and procedures. Responsible for the monitoring and reporting of contract compliance, contract variations including requests for same in line with overall MNHHS contract administration procedures and contract reporting Responsible for the establishment and maintenance of comprehensive contract related records including communications. Responsible for the efficient registration, review and acceptance of key documentary deliverables during transition and implementation, including the tracking of any deliverables requiring re-submission. Responsible for establishing effective working relationships with the position s counterparts within the contractor organisation/s. Responsible for the design and implementation of efficient administration processes between MN MI and contractors for the practical handling of contract deliverables and other significant contract documents (eg Monthly Performance Reports, Exception Reports, contract meeting minutes and decisions, risks and issues registers, change requests, directions, notices, letters etc). Responsible for assisting in the analysis of performance and other data to identify actual performance and trends. Responsible for leading, managing and co-ordinating joint meetings with clients, ensuring accurate documentation of meeting agreements, actions and outcomes and monitoring of same. Accountable for all aspects of Safety and Quality in relation to medical imaging service delivery, including: Relevant to the position, participate in the ongoing education, implementation, monitoring and evaluation of safety and quality initiatives relevant to The National Safety and Quality Health Services Standards and the Australian Council on Healthcare Standards (ACHS) Evaluation and Quality Improvement Program (EQuIP). Accountable for aspects of service delivery within MNHHS Medical Imaging. Manage and be accountable for identified portfolio/s within MNHHS Medical Imaging. Effective interpersonal skills, capable of confident and sensitive communications, particularly when engaging with contractor and end-user stakeholders. Strong written and oral communication skills capable of developing and delivering concise, authoritative information. Excellent organisational / administrative skills capable of managing a high volume of contract-related materials (eg: obligations, documents, reports, minutes, payment claims). Capable of working effectively in a time-constrained, commercially demanding environment. Ability to translate strategic and operational goals to members of the multi-disciplinary team and to a broad range of stakeholders within and external to Queensland Health.
