Getting Started Guide - Desktop

1. Sign Up PERSONAL OPENTEXT CORE ACCOUNT To get started sharing and collaborating on your files from a Mac or Windows browser, you ll need to sign up for your OpenText Core account. Just visit core.opentext.com, click Sign Up and you will be brought to the OpenText Core log in page. Just click Create Account and you ll be ready to go in no time! TEAM, BUSINESS OR ENTERPRISE OPENTEXT CORE ACCOUNT If you re invited to be part of a Team, Business or Enterprise account, you will receive an email invitation to sign up for OpenText Core. Once you are finished (it will only take a few seconds), you will be automatically added and be able to start sharing and collaborating with others in your OpenText Core space. 2. Welcome to OpenText Core! Now that you ve signed up, you re ready to discover a simple, secure, and smart way to get things done. B Navigation Menu (Personal Account) View the dashboard to get an at-a-glance look at your total file storage usage and usage by file type, likes, collaboration and share activity, as well as weekly activity graph. Navigation Menu (Administrators Only) Administrative tools to get a quick overview of the file sharing activity for the entire OpenText Core account space. You can check storage use, and pending invitations, see users of your account and who they are sharing with, check and modify file security and password policy settings, and upgrade your account if necessary. C Files Menu The Files Menu gives you options to track shared files as well as an interactive tree view of the history for your entire OpenText Core space. To view activity for an individual folder, simply click on the folder and look for the History button. To view activity for an individual file, click on the file from your OpenText Core files list and when it opens in the viewer click on the More button (in the menu bar at the top of the viewer). Select Audit History and you will get a complete listing of all activity for the file. D Creating Folders and Adding Files Create folders to organize files by clicking the New Folder button. To add files, you can drag and drop them right to folders or your Files List. You can also drag and drop entire folders. To search or browse for a file to add, you can click Upload in the Files Menu. E Notifications A counter the icon lets you know you have notifications. You can receive notifications when someone comments on your files, when they invite you to share, if someone has locked one of your files, and more. Notification preferences (including enabling email notifications and types of notifications) are set from your Profile screen under Settings. F Search Search lets you locate files and folders in your OpenText Core space as well as search across all comments. G Sorting the Files List You can sort your OpenText Core files list in a number of ways: the All Files dropdown menu lets you show all files, just your files, just files being shared with you, and just files you are sharing. H Sharing Files and Folders To share an entire folder, simply click on the Share icon next to the folder. Once you ve entered the user names or email addresses for everyone you want to share the folder with, click Add and select the access permissions (view only, collaborate, or manage) you want. Everyone will receive an notification letting them know you want to share the folder and you re all set! To share a file, just click the Share icon next to the file. The Share pop-up lets you enter email addresses or user names (if you ve shared with the user in the past or if you are using OpenText Core for Team, Work, or Enterprise and have assigned users) and assign permissions for the file (Viewer, Collaborator, Manager). Everyone will receive an email letting them know you want to share the file and what to do. I Commenting You can comment on both folders and files in OpenText Core. To comment on a folder, click on the Comment icon next to it. To comment on files, navigate to the file and click the Comment icon next to it, or click on the file to open it in the OpenText Core viewer and then click the Comment icon in the viewer s menu bar. J Actions Folder Actions: Clicking the Actions button next to a folder brings up two options below the Files Menu Move/Copy lets you copy or relocate the folder and the Delete button allows you to remove the folder and all contents. (Note: you can select multiple folders or a combination of folders and files from your files list to move/copy or delete at the same time.) File Actions: Clicking Actions next to a file gives you options via a set of buttons below the Files Menu. You can download a copy, move or copy the file to another location in OpenText Core, edit the file on your desktop in the application used to create it (if available), delete the file, or lock the file to prevent others from accessing it.
