2 Probation Key Duties of Staff Director Plans, organizes and supervises the activities of the probation agency; Controls the work of the agency through assignments to supervisory personnel and direction and review of their performance; Builds cooperative working relationships with judges, court personnel, attorneys, police, educational and social agencies, and others concerned with the activities of the agency; Plans and supervises training of staff; Develops and implements administrative processes for intake, investigation, report preparation, case record keeping, probation supervision and declarations of delinquency; Oversees the maintenance of clerical and financial records, and the preparation of budgets and required reports. Is responsible for the operations of the Alternative to Incarceration programs for the county which include, Pretrial Release, Community Service and the Alcohol and Substance Abuse Intervention Program. Deputy Director Assists the director in planning, organizing and supervising the activities of the probation agency; Acts in place of the director in his absence; Assists the director in the formulation and implementation of agency policies and procedures; Helps to interpret policy directives and probation laws, rules and regulations to insure operational consistency; Assists in planning and overseeing the training of staff; Assists the director in attending to the administrative functions of the agency such as budget preparation and control, preparation of reports and maintenance of clerical record keeping; Confers with judges, court personnel, attorneys, police, educational and social agency personnel and various other groups and individuals on matters of common interest. Probation Supervisor (1 ½ + 1 Vacant Probation; 1/2 PINS Program) Plans, assigns and is immediately responsible for the work of probation officers; Directly supervises the work of probation officers in performance of intake work, presentence evaluations, program planning and/or supervision of probationers; Consults with probation officers on individual cases and provides necessary instruction;

3 Assists in the interpretation of rules and procedures for the benefit of subordinate staff; Shares the responsibility for developing efficient record-keeping systems and administrative procedures; Confers with judges, court personnel, attorneys, police, educational and social agency personnel, and various other groups and individuals on problems and other matters with which the probation agency is concerned; Oversees special projects in the area of probation research, study, and development; Helps to evaluate staff training needs and coordinates and/or conducts special training programs within the agency. Oversees the Alternatives to Incarceration Programs and prepares required State reports for reimbursement. Senior Probation Officer (1 Probation; 1 Alcohol/Substance Abuse Intervention Program) Carries out duties of a probation officer requiring specialized knowledge and skills; Performs all, or specialized, intake assignments; Serves as team leader where team approach is employed; Serves as specialist in employment matters concerning probationers; Carries out special projects in the area of probation research, study and development; Develops needed community resources and maintains working relationships with community organizations and programs; Directs a volunteer program with duties of orientation, training and coordination of the work of volunteers; Reviews investigation reports and probation supervision summaries; Prepares evaluative analyses of agency programs. Provides intensive supervision of participants in the ATI Alcohol Substance Abuse Intervention Program and County level Drug Court. Probation Officer ( Vacant Probation; Vacant PINS Program) May be assigned to an intake unit to evaluate matters for adjustment at the intake level or to perform supervision of persons in lieu of court action; Obtains and analyzes social and legal data and prepares reports in relation to matters pending in the courts concerning persons awaiting disposition by the courts; Interprets conditions of sentence to persons placed under probation supervision, supervises such individuals by ascertaining compliance with conditions of probation, and counsels and assists them in problems related to compliance and to the maintenance of lawful behavior in the community; Prepares progress reports on persons under supervision and periodically reviews case histories to determine degree of adjustment;

4 Prepares violation reports and testifies at delinquency hearings; Establishes and maintains contact with other social and law enforcement agencies and cooperates with them in matters of mutual interest. Probation Assistant (2 Alternatives to Incarceration) Assists in gathering of information for probation personnel from a variety of sources, including public and private social agencies, law enforcement agencies, courts, employers, etc.; Assists in verification of social and legal history data pertaining to individuals serviced by the probation agency; Assists individuals serviced by the probation agency in completing questionnaires and other documents requiring written information; Assists in establishing or maintaining contact with persons or organizations in the community that may provide necessary resources for individuals serviced by the agency; Assists in compiling statistical data for a variety of projects and reports; Helps to secure information from various individuals and agencies regarding conduct and progress of probationers. Operates the Pretrial Release ATI Program by interviewing individuals arrested and detained in the jail, conducting investigations and assessments to determine eligibility for release under the supervision of the Pretrial Release program and then notifying judges with recommendations, prepares required state quarterly reports for reimbursement, and supervises participants as court ordered. Operates the Community Service ATI Program by setting up court ordered defendants with agencies to perform work at and organizes/coordinates with the Sheriff s Office for the weekend work program for defendant s to go out into the community as a group to perform work for not for profit agencies on Saturdays and Sundays. Senior Account Clerk-Typist Classifies a variety of receipts and expenditures, and distributes costs according to a prescribed code; Reviews and checks moderately-complex account keeping records and reports for arithmetical and clerical accuracy, completeness and proper extension; Assigns work, reviews and records work done, and instructs new employees in the specialized account keeping and clerical work of a unit; Posts to journal or ledger accounts from a variety of original entry media either manually or via data entry device; Compiles payroll data, prepares, types and checks payrolls; Supervises the verifying and reconciling of individual account balances;

5 Processes, types, sorts, indexes, records and files a variety of control records and reports. Senior Account Clerk Posts to journal or ledger accounts from expense and appropriation records and a variety of other original entry media; Classifies receipts and expenditures according to standard classifications and makes trial balances; Oversees the verifying and reconciling of a number of account balances according to a prescribed procedure; Prepares routine reports of information taken from journal or ledger; Compiles information for and prepares labor, material and operational costs records and reports; Assigns work, reviews and records work done, and instructs new employees in the specialized account keeping and clerical work of a unit; Conducts routine correspondence Processes, sorts, indexes, records and files a variety of control records and reports. Account Clerk-Stenographer Operates keyboarding equipment in the performance of the following duties: Posts to journal or ledger accounts from appropriation, expense, invoice, payroll, receipts, voucher records and other original entry media; Receives remittances by mail or in person, verifies amount, computes interest and penalties and posts to book of original entry; Assists in maintaining labor, material and operational cost records; Classifies continually recurring receipts and expenditures and distributes costs according to prescribed codes; Compiles data for and helps in the preparation of simple financial and statistical reports; Issues receipts for monies received; Sorts, indexes and files requisitions, vouchers, ledger cards and other material; Compiles payroll data and/or prepares and checks payrolls; Performs a wide variety of general clerical tasks for the office where employed. Senior Typist Operates keyboarding, data entry, calculating, and other office machines; Maintains accounts and processes payments; Answers telephone and gives out routine information;

6 Conducts routine correspondence on matters where policies and procedures are well defined; Oversees and participates in the preparation, review, proofing, processing, indexing, sorting, recording, and filing of a variety of records, reports, and accounts; Maintains personnel records and prepares payrolls. Typist Performs keyboarding, sorts, indexes, and files mail, requisitions, ledger cards, and other material; Pulls material from files, makes simple file searches, and maintains charge-out records; Collects fees and accounts for monies received; Performs keyboarding for records, reports, payroll data, and communications and checks for clerical accuracy, completeness, and proper extension; Types materials from copy, rough draft, dictating machine tapes, and other detailed instruction; Answers telephone and gives out routine information; Greets visitors to the department/unit, ascertains their business, and either provides information or refers to more appropriate personnel; Operates a variety of office machines including photocopiers, calculators, computers, typewriters, and fax machines.
