3 OU-HCOM Admissions Annual Report 3 EXECUTIVE SUMMARY Activities and events over the past year include extensive recruitment travel, hosting thirteen on-campus recruitment events, review of over 4,400 application files, facilitation of over 350 candidate interviews, administration of three yield programs for accepted students (PreCOM), administration of a peer mentor program (COMrade) for two campuses, coordination of first and third year student criminal background checks, facilitation of the Summer Undergraduate Research Fellowship (SURF) and Summer Scholars programs, executing the launch of five Early Assurance Programs and the interview and acceptance process for these programs, final implementation stages of a constituent relationship management system, and last but not least, the coordination and execution of the college s annual Convocation and White Coat ceremony program was a strategic building year for our staff. A new administrative coordinator was hired in October and temporary employees filled the vacated administrative associate position until a full time person was hired for that responsibility in March. A new position of administrative assistant was added and filled in June and a half-time admissions advisor for the Dublin campus was also hired in June with a start date of August 18, All key staff positions have been filled and the office is functioning at an extremely high level. Highlights from the 2013/2014 recruitment activity include 103 campus visits, including minority focused programs, 120 tour and counsel sessions on the OU-HCOM campus, and a total of 3,708 student contacts. OU-HCOM premedical summer programs continue to be effective recruitment tools with four SURF and 22 Summer Scholars participants in Outcome information regarding SURF and Summer Scholars programs can be found on page 11. By the end of December, 2013, OU-HCOM had signed five Early Assurance Program (EAP) agreements which would allow high achieving high school seniors to enter college with a medical school acceptance. Affiliate Institutions include Ohio, Ohio Dominican, Otterbein, John Carroll, and Baldwin Wallace. In concert with new branding efforts, our print and electronic communication pieces have been redesigned to enhance student engagement and to better tell the story of the Heritage College. New recruitment pieces were developed for the Dublin and Cleveland sites and we continue to reach our constituents via social media outlets like Facebook and, on a limited basis, Twitter. In addition to our usual collaboration with the Offices of Academic and Student Affairs, the Admissions Office has also worked very closely with the Office of Institutional Assessment and Accreditation in preparation for all COCA visits, particularly the seven-year renewal process and Standards 5 and 8. We also work closely with them to evaluate our Admissions Interview Evaluation Form and track data that will assist the college in meeting its mission.
4 OU-HCOM Admissions Annual Report Recruitment Summary Campus Visits 103 Individual Visits to OU-HCOM 120 Total Student Contacts 3,708 Minority Focused Events 15 Visits to Ohio Institutions 81 Applicants and Matriculants Summary The most current data available from the American Association of Colleges of Osteopathic Medicine, the American Association of Medical Colleges and internal application software was used in the creation of these charts. 11 OU-HCOM Admissions Annual Report 11 Prematriculation Program Recruitment Summary The office of admissions is responsible for five prematriculation programs designed to expose potential students to the college and to provide support and information to accepted students, their families and significant others. Summer Undergraduate Research Fellowship (SURF) Since 1986, 206 students have participated in SURF. Of these 206 students, 50% have been accepted and of those accepted, 69% have chosen to matriculate, or are expected to matriculate to OU-HCOM. Overall, a total of 34% of those who participated in SURF successfully matriculated to OU-HCOM. One student participated in the 1986 program but waited 15 years to apply. He matriculated in One student participated in the 2010 program but waited 2 years to apply. He matriculated in Summer Scholars Program The Summer Scholars program has experienced a long tradition of success at OU-HCOM marks the eighth year that the program has been administered by the office of admissions. A total of 22 participants completed this year s program with 68% hailing from Ohio. This program provides the basis for our strong underrepresented minority population, a population that the college has identified as one of value and one we should strive to attract. However, every year the program s integrity is endangered because there are not enough faculty available (or willing) to teach in the basic discipline areas covered within the curriculum. Educational support for this program needs to become a more visible priority for faculty if it is to continue to provide the diversity benefits that are integral to our mission.
12 OU-HCOM Admissions Annual Report 12 PreCOM There were three PreCOM events planned for the class of 2018 which 130 of the 190 (68%) accepted students attended. The March 22 event in Athens had a record total of 180 attendees. The Dublin event on May 24 consisted of a morning and afternoon session. A total of 37 students attended both sessions. Three students who attended PreCOM eventually withdrew from OU-HCOM prior to July 7, leaving the yield for those who did attend at 98%. It should be noted that only three students were selected off of this year s alternate list.
13 COMrade Program OU-HCOM Admissions Annual Report 13 In 1996, this office created the COMrade program a sort of big brother, big sister type of relationship between rising second year students and incoming first year students to encourage and assist them in their transition to OU-HCOM. Assignment are made in May of each year and students are encouraged to interface with their incoming student through the entering class Facebook page, s, personal meetings or telephone conversations to answer questions and provide insight into the OU-HCOM experience. This year a total of 104 rising second year students volunteered to be a COMrade for the Class of 2018 in Athens and 25 third and fourth year HCOM students volunteered to be COMrades for the new Dublin students. The COMrade experience continues after new students matriculation and is a relationship that can be beneficial throughout ones medical education. Early Assurance Programs Five new Early Assurance Programs (EAP) were developed with strategic partner institutions to assist extremely talented rising college freshmen realize their dream of becoming a physician and to develop a pipeline of potential primary care physicians who will stay to train at OU-HCOM and eventually practice within the state.
