1 Marketing & Communications Manager Full Job Decscription The German-American International School (GAIS) is located in Menlo Park, California, just south of San Francisco and neighboring Palo Alto, home of Stanford University. Menlo Park is in the Silicon Valley and is considered one of the most desirable places to live in the Bay area. GAIS is accredited by the International Baccalaureate Organisation (IBO) and the Western Association of Schools and Colleges (WASC). Founded 25 years ago, GAIS is now at an exciting juncture in its history as it has just re-located to a new campus and plans to expand its educational offerings to Pre-K-12. The GAIS Mission The German-American International School (GAIS) mission is to provide an outstanding international, bilingual education focused on inquiry-based learning with the goal to foster confident, creative and responsible learners and global thinkers. 1. Responsibilities and Duties of the Marketing & Communications Manager The Marketing & Communications Manager reports to the Head of School. All administrators must support the school s beliefs and values, as contained in the school s educational philosophy statement and mission. The Communications & Marketing Manager effectively delivers a clear, concise, and consistent set of key messages of the school to the customer, stakeholder, the school s employees and board officers and committees. Responsible for coordinating, planning, developing, and the implementation of all of the School s marketing communications activities in different segments, both external and internal. Directs and oversees development and implementation of marketing materials managing both in-house and external resources. Coordinates at the strategic and executes at the tactical levels with the other functions of the School. Formulates creative direction for a wide variety of marketing channels, demonstrating extensive working with graphic designers and writers across a wide variety of project scopes and sizes; leveraging best practices in digital communications content creation, creative direction and analytics. Participates with the Senior Leadership Team and other management staff in charting the direction of the School, assuring its credibility and accountability to all constituencies, and ensuring the credibility and the communications program meets the defined needs of the school and reflects the school s mission and values. Works with Head of School, Principal, Admissions & School Services Manager and Business Manager, as required. The position is based on 40 hours of work per week with distribution of hours per day and presence in school office to be coordinated and approved by Managing Director.

2 2. Strategic Responsibilities 2.1. Marketing and Communications Responsible for creating, implementing and measuring the success of an integrated and comprehensive marketing, communications and public relations program mix that will enhance the School s image and position within vertical market segments and facilitate internal and external communications Ensure articulation of the School s desired image and position, assure consistent communication of the school s image and position throughout the School, and assure communication of School s image and position to all constituencies, both internal and external Planning and budgeting Responsible for the achievement of marketing/communications/public relations mission, goals and financial objectives. Ensure that evaluation systems are in place related to these goals and objectives and report progress Develop short- and long-term plans and budgets for marketing/communications/public relations program and its activities, monitor progress, assure adherence and evaluate performance Recommend short- and long-term School goals and objectives to Managing Director as they relate to communications, marketing and public relations Develop, implement and monitor systems and procedures necessary to the smooth operation of the marketing/communications/public relations function Keep informed of developments in the fields of marketing, communications and public relations and use this information to help the Organization achieve and maintain optimal positioning Organizational strategy Work with senior staff and other key staff members to develop and maintain a strategic perspective including go to market strategy -- based on market segment trends and constituent needs and satisfaction Help ensure that the School s philosophy; mission, vision and core values are pertinent and practiced throughout the school Develop and coordinate means to seek regular input from the School s key constituencies regarding the quality of product, services and overall School s relevance. 3. Tactical Responsibilities 3.1. Marketing & Communications Establishes and maintains contacts/contracts with internal and external marketing professionals and vendors; e.g. artists, designers, photographers, mailing houses, postal service, list brokers, advertising representatives, media contacts, et cetera Supervises the work output of outside creative vendors as necessary for individual projects (specialized copywriters, graphic artists, etc.).

3 Execution of all mailing list strategies, including strategic selection and extraction of segments of database, solicitation of mailing lists from outside schools, managing preparation of mailing merge-purges including acting as liaison with mailing house and list management firm Acts as the School s representative with the media coordinating media interest in the School and ensure regular contact with target media and appropriate response to media placement and/or requests Coordinate the placement of all School coverage in print and electronic materials Develop, coordinate and oversee programs, technical assistance and resource materials to assist departments in the marketing, communications and positioning of their activities Act as an internal resource to bring attention and solutions to key priorities Marketing Collateral Responsible for editorial, design, production and distribution of all School content, materials and publications, including: Publications, media relations, collateral, videos, s, signage, trade shows, CRM/customer acquisition system, websites (CMS word press, SEO), social media, greeting cards, surveys, open houses, talks, yearbook, newsletter, internal blogs, mobile applications, etc Project scheduling and management of production process for all materials Management of vendor (e.g. Printer, Graphic Designer) selection and purchasing process Art direction and design 3.3. Governance & Policies Attend board meetings and communicate information / minutes to stakeholders Help formulate and administer policies to ensure the integrity of the School is maintained. 4. Event Management Works collaboratively with parents and volunteers on events from concept to day-of execution, including various donor cultivation and stewardship events, and the annual gala and auction Coordinates guest lists and invitations, and track responses Coordinates in collaboration with the Development Manager all vendor contact (printers, caterers, rental companies, etc.) Manages event budget and payables Manages sponsor relations as appropriate, including sponsor benefits and recognition Supervises, organizes and plans in collaboration with volunteers (e.g. signage, communications, RSVP, materials & equipment, set-up, copies handouts & minutes) events for the school including:

4 Beach party, Easter picnic and potlucks, members meeting, board meeting, back to school nights, fund-raising, dance, coffee meetings, info evenings, open houses, breakfasts, conference days, student led conference, student related assemblies, workshops, performances, talks etc Helps to organize and coordinate events for the school including Sommerfest, Winterfest Sets goals and deadlines for the events and tasks Manages related committee meetings, including events. 5. Other Professional Responsibilities Supports senior management staff (Managing Director, Principals) with administrative duties Carries out special activities as directed by the Managing Director Complies with all GAIS policies, checklists, procedures, and administrative directions, as instructed by the supervisor Substitutes front office when needed Skills required: Excellent writing and editing skills, with the ability to adapt messaging to various stakeholders, public transportation, and internal target audiences Strong project management abilities; comfortable working independently and in teams to create and meet deadlines; capable of developing and managing a project plan, establish priorities, work to deadlines and control a number of projects at various stages of work Solid expertise in the development of content, incl. web (SEO and Wordpress), and sales collateral Experience with marketing automation, social media and PR tools Experience with MS Office products Strong consideration given for skills in print/layout design (desktop publishing tools and visual/graphic layout) Strong organizational and time management skills Strong attention to detail and interpersonal skills High level of concentration; ability to understand and conceptualize specific ideas and theories Willingness to roll up sleeves and get the job done Experience required: BA/BS degree, in Business Administration, Communications or Marketing 2-7+ years of education or advertising marketing or EdTech journalism experience preferred Background in digital marketing (web, , social media, content marketing, video) Marketing communications and/or copywriting experience required Proven success in managing marketing or press programs (go to market strategies) from development to execution Experience in event management
