1 HR Bulletin July 2015 Tuition Waiver Program Information Who is eligible? This program is for full-time employees in established (non-ops) positions. Qualifying employees may also assign part or all of their benefit to dependents meeting certain criteria. What does it cover? Employees may use the waiver for themselves for up to six credit hours per semester (graduate or undergraduate). Dependents would be able to waive six credit hours of undergraduate or three hours of graduate level courses. The base tuition for authorized courses may be waived from the Student Account, but there may still be some fees to pay (for example, a Material and Supply Fee or Online Course Fee would still be the student's responsibility). Certain courses may not qualify (see the full details on the HR Website for more information). How to apply: Employees wishing to use this benefit must apply for it every semester for which they intend to use the waiver. In "MyUWF", the "Employee Tuition Fee Waiver" application will guide eligible employees through the process. For more information, please contact Adrian Rowley at or Jeff Comeau at
2 Notice to Coventry Health Care HMO Participants: Below is an important notice for the employees enrolled in the Coventry HMO in Escambia County area provided by Coventry parent company representatives of Aetna. When looking for providers in the online directory, please select the network by clicking the drop down box and selecting: Employer Group Open Access HMO/POS to search providers. Coventry Update: 2 urgent care facilities, 3 healthcare clinics and 3 convenience care clinics in Pensacola area, as follows: Baptist Urgent Care will treat State of Florida members with no additional member cost share. However, Coventry does not list this in the directory because this access is only for State of Florida employees. Perdido Urgent Care is now listed on Coventry's online provider directory. Perdido Urgent Care Sorrento Road Pensacola, FL (850) walk in clinics (Walgreens Healthcare Clinics). However, any prescriptions must be filled at a CVS/caremark pharmacy. 3 convenience care clinics (CVS Minute Clinics). This will allow Human Resources to set up positions in payroll early and ensure that new employees are paid on time and have access to online resources upon their start date. For more information contact Carol Gentry at or Nicole Lohr at Non-UWF Student Employees Departments with student employees who are enrolled at an institution other than UWF are classified as Non-UWF student employees. Documentation of enrollment/status is required and must be updated each semester. The deadline to turn in proof of enrollment and fee payment is the last day of Drop/Add for the institution in which the student is enrolled. Please make sure all Non-UWF student employees in your department understand these requirements. 4 PeopleAdmin 7 (PA7) Performance Management (Performance Evaluation) Is Going Live Over the last eight months, the Human Resources Department has been working diligently behind the scenes to upgrade PeopleAdmin 5.8 (PPEMS) Performance Evaluation to PeopleAdmin 7 (PA7) Performance Management (Performance Evaluation). The "Go Live" date is August 3, 2015, and it is just around the corner. As you know, we upgraded the job applicant and job description module in January, Procedure Supervisors: PeopleAdmin 7 (PA7) is the new performance evaluation software system used to complete the University Work Force annual performance evaluations, next year's objectives, and the Position Orientation Year evaluation. The performance evaluation process start date for the University Work Force employees is August 3, The annual performance evaluation process is a method through which supervisors provide employees with feedback on their performance. An annual performance evaluation must be completed in PeopleAdmin 7 (PA7) for all University Work Force employees that you supervise. The evaluation period is July 1, 2014 through June 30, The deadline for submitting completed evaluations is Friday, October 30, Employees must begin the evaluation process by completing the employee self-evaluation form and forwarding it to their supervisor. This is accomplished online using the PA7 software. Upon receipt of the employee's self-evaluation, supervisors complete the general performance and competencies sections. Employees' objectives for July 1, 2014, through June 30, 2015, which were set at the beginning of the evaluation period, are shown within the online process. Please refer to these objectives when completing the employee's performance evaluation. During the performance evaluation in-person meeting with the employee, objectives for next year's evaluation period (July 1, 2015, through June 30, 2016) are set with the employee and documented on the on-line objectives form in PA7.
5 Please note that the Position Orientation Year evaluations are a separate process and should be completed at the completion of the employee's first year (12 months) at the university. All evaluation documents are accessible electronically on the PeopleAdmin System 7 (PA7) web site. An instruction sheet is also available on the web site. Accessing PeopleAdmin 7 Please do not attempt this without training! To access PeopleAdmin 7 (PA7), search for the PeopleAdmin 7 (PA7) app in MyUWF (previously the Employment/Position Management app). If you have designated this as a favorite on your MyUWF desktop, it remains a favorite with a new title. Log into PeopleAdmin (PA7) by clicking the app in MyUWF. Select the yellow "Click here to log in with SSO." Then, select the "Go to University of West Florida Portal" at the top right of the Home tab page. This will take you to the Employee Portal. Accessing PPEMS 5.8 You may want to use the old software system (PPEMS 5.8) to review previous performance evaluations and/or objectives. PPEMS 5.8 is accessed from the Home tab of PA7. Click the PPEMS 5.8 link under the "My Links" section on the right of the Home tab page. You will continue to use your current MyUWF user name and password to access PPEMS 5.8. Although you can access all information on the PPEMS 5.8 site, all new performance evaluations, objectives, and Position Orientation Year evaluations as of July 1, 2015, must be initiated using PA7. All access to historical performance evaluations and objectives will continue through PPEMS 5.8 until August 31, Training for PeopleAdmin 7 Performance Evaluation Every employee, including supervisors and non-supervisors, should avail themselves of training on the new software. Training is being offered throughout July, August and September for PeopleAdmin 7 (PA7) Performance Management (Performance Evaluations). Training is hands-on
