3 Summary Stoneacre Acquisition Company of Charlotte, NC is accepting proposals to design and develop a simple CRM tool using Drupal. The primary objective of this project is to build a site that offers a toolset for a small group of vehicle dealers to manage their sales prospects, along with prospects that might be added by a site administrator, and to create marketing reports/downloads for their personal use. Stoneacre s in-house design team will provide a style guide that all designs/site themes should be based on. Stoneacre will also provide any necessary original or stock photography. A team/developer that can handle all site planning, interface design and production is required. The site must be developed in Drupal 7+, and the use and adaption of existing Drupal CRM solutions (e.g., CiviCRM, RedHen, etc.) is welcome/encouraged for ease of future maintenance. Proposal Guidelines and Requirements Our RFP process is open and competitive. If you wish to submit alternate solutions, please do so. The price quoted should be all-inclusive. If the price submitted excludes certain fees or charges, you must provide a detailed list of excluded fees with a complete explanation of the nature of said fees. If the execution of work to be performed requires the hiring of sub-contractors/freelance developers, you must clearly state this in your proposal. Purpose & Description Purpose: Stoneacre is currently looking to develop a CRM tool for approximately 200 vehicle dealers to track potential sales prospects. The required admin tools should be minimal in function, with the focus on simple processes and secure data. Upon completion of the development of the site, Stoneacre will assume full responsibility for web site maintenance and administration. Stoneacre Acquisition Company will have full right to all content, code and graphics at the conclusion of the project. Description: Create a web-based software toolset that provides CRM capabilities for vehicle dealers. The site should be scalable and have the ability to accommodate approximately 200 dealer accounts and 2MM prospect records. In addition to designing a user-friendly site with an intuitive interface, we must also develop administration tools for both the dealer to manage prospects records and for an administrator to manage dealer accounts. Stoneacre will provide/own the final hosting environment, domain/dns requirements, SSL certificate, and any additional items required for site launch. The final hosting environment will be a virtual Linux slice running both Nginx, and MySQL. A site style guide will be provided via our design team. The candidate will be responsible for theming the site based on the provided PSD style guide as well as designing tool and site layout that falls outside of the basic theme.
4 To be effective and successful, the site must be: Easy and intuitive Secured using SSL Prevent prospect record overlap between dealer accounts Follow Drupal and web development best practices Easily maintained/updated Timeline A beta test of the project must begin by March 8, The final project must be complete and the site live by March 22, Budget Please provide a complete cost proposal to accomplish the scope outlined below. The budget must encompass all design and development costs necessary to launch the site on a Stoneacre owned hosting environment. Please breakdown the cost proposal into the following categories if possible: Requirements planning/site Discovery Design Site Development Testing Deployment Stakeholders/Roles The site will be used by two separate types of stakeholders: site administrators and dealers. Site administrators will manage both dealer accounts and prospect records. They have global access to all of the prospect/dealer information, with the exclusion of the dealer account password, which should be masked. Dealers will manage/have access to only those prospect records that are assigned to their account. 5 Confirm objectives, interface look and feel, navigation, technology issues and assumptions, required functionality, phase schedule, and budgetary constraints. Design: Web site architecture, graphic look and feel, user navigation, home page, and prospect record interactions. Development Guidelines/Site Specifications: Stoneacre encourages creativity in proposals submitted; however, there are certain requirements for the project. Your proposal must account for all of these requirements and must meet the following criteria: Be scalable to accommodate approximately 200 dealer accounts and 2MM prospect records Allow inclusion of Google Analytics module ( Be built in Drupal 7+ Utilize best practices for Drupal and web development Implement a consistent theme to unify the look and feel throughout all areas of the site Intuitive and easy to navigate for visitors with varying levels of technical skills Be compatible with major web browsers, including IE8, Firefox11, Chrome 16, and Safari 5 or higher Pass relevant valid HTML/CSS requirements Once the site has been completed and accepted Stoneacre Acquisition Company, Inc. will have full rights to the web site, designs and all of its contents, software and architecture. Stoneacre Administration tools/needs should include the ability to: Add/edit/delete dealer accounts o Note: All dealers must be added via Stoneacre. Accounts cannot be created by the dealers themselves. Masquerade as any dealer account Add/edit/delete a sales prospect attached to any dealer account Assign/remove a sales prospect from a given dealer s account Dealer tools/needs include the ability to: Log into a secure site Manage a personal member profile, including password retrieval functionality Add/edit/delete a sales prospect attached to their account Import prospects via file upload Search for prospects based on demographic data Sort/filter prospects lists or search results Export lists of filtered/sorted prospects
6 Testing: Testing of the site on all applicable platforms to ensure the web site works as promised. A mixture of internal developer testing and Stoneacre testing, including members outside the project, must be utilized. Delivery: Delivery and setup of the site and all related databases on Stoneacre provided hosting platform. Staff Resources Stoneacre will provide a project manager who has the following responsibilities: Sign-off on key decisions Keeping the project on schedule and within budget Managing communication with other team members and stakeholders Proposal Requirements The submitted proposal must include the following: A solution that meets all of the site requirements as described above Cost proposal as described above Costs associated with the project should be presented in a flat rate fee for service format Structure of recommended team (if more than one member) for completing the project Expected timeline of project List of at least 3 recent projects (at least 1 being a CRM solution) that you feel best reflect your work as it relates to this project, including the URL and the role played in the project A brief description of your project management process Drupal.org IDs of all developers to be involved in the project Terms and conditions Qualifications Experienced Drupal 7+ developer(s) Experience in deploying a CRM system Proven history of working on Drupal sites/ themes Working knowledge of usability best practices and concepts Ability meet project deadlines within agreed to budgetary constraints Excellent communication skills Proficient writing skills for software documentation, training documentation, and knowledgebase articles as needed
7 Be an involved member in the Drupal and open source communities Evaluation Criteria The following criteria will form the basis upon which Stoneacre Acquisition Company, Inc. will evaluate proposals. Proposals that meet the mandatory requirements, as stated above, will be evaluated based on the following criteria: Suitability: the proposed solution meets the needs and criteria set forth in the RFP. Capability of the proposal to effectively communicate the candidate s recommendations to meet the appropriate technical and design needs. Experience and capabilities of proposed development team in proposed solution.
