1 Visual Identity Team Finance Section name Job Description - PM12024 Post Title: HR Systems Manager Grade: Grade 8 Faculty/Department: Reports to: Responsible for: Finance, Finance & Corporate Services Directorate Head of Finance & Corporate Services Systems HR Systems Team Purpose The post holder will lead the ongoing development of the itrent HR system in order to enhance operational HR processes and deliver organisational benefits. The role is responsible for the provision of HR management information to inform strategic and operational decision making. The post holder will lead a team offering systems support and training and will manage the provision of excellent customer service to all users of HR technology across the University. Main duties and responsibilities 1. Provide strategic leadership on all aspects of the development of the itrent system and related technologies to ensure that the best possible organisation benefits are achieved. 2. Contribute to HR strategy and policy through the provision of specialist advice on HR systems, staff data and business processes and recommend developments that will maximise efficiency. Operate as a senior internal consultant advising both strategic level projects and operational teams. 3. Promote close working relationships with the HR Operations and HR Services Teams to ensure that systems and processes continue to meet business and legislative requirements. Communicate with all key stakeholders on a regular basis to share updates on development and encourage and respond to feedback. 4. Interpret the University s high level information needs in the context of organisational knowledge, data structure and system functionality. Champion and oversee the provision of management information through the delivery of both ad hoc and standard reports. Work closely with customers both within HR and the wider University community to establish and continually monitor management information requirements. 5. Play a key role in HR-led operational projects, including Real Time Information and Auto Enrolment, to ensure that the HR systems solutions and challenges are identified at an early stage. Foster and nurture effective business relationships with all external contacts and act as the main liaison and escalation point with MidlandHR (itrent supplier), ensuring key customer status for the University. 7. Manage the provision of a helpdesk service for end-users of all HR systems. Oversee the management of the HR Systems Team web pages and account and monitor the resolution of the queries and requests received with reference to defined service standards. 8. Manage the HR Systems Team to ensure the ongoing provision of excellent customer service. Take responsibility for the induction and continuous development of all team members and provide support and guidance through a combination of one to one coaching and team briefings. Monitor individual learning and development requirements through regular informal meetings and the annual SDR process. 9. Oversee the training of all new users of itrent, Business Objects, Civica and related HR technologies. Provide regular updates to existing users following upgrades, legislation changes or other process revisions. Work closely with the HR Operations Team to ensure that all team members are confident in the system activities required to carry out their roles and that all associated documentation, such as training manuals and process maps, are kept up to date. 10. Lead system maintenance and configuration to ensure the continued serviceability of the itrent solution, including software upgrades and testing, fault reporting, data auditing and the generation of workflows and batch jobs to optimise business processes. 11. Manage the compilation and submission of staff statistical returns, including HESA, to ensure that the University s position in the resulting indicators is maximised. Liaise with colleagues in HR and in the Planning Support Office to develop a sound means of HESA data collection and ensure the accuracy of all data for onwards transmission. 12. Provide expertise and user support in respect of the itrent organisational structure, create and monitor a consistent organisation policy and oversee the execution of major University restructures and reorganisations within itrent. 13. Manage the access security of itrent and all associated systems to ensure the integrity and protection of the University s employee data. 14. Manage the provision of interfaces and customised data output to other University systems, including the Civica document management system, Agresso and WREN. 15. Give appropriate attention to continuous professional development, attending seminars, conferences and other relevant learning events as appropriate. Supervision The post holder will be responsible for the management of the HR Systems Team (3.0 FTE) and will report to the Head of Finance and Corporate Services Systems. Contact The post holder will work closely with HR and with senior colleagues across the administrative Directorates. There will be ongoing contact with core end-users as well as University of Reading 2012 Thursday, 03 May 2012 Page 2

3 customers in other areas of the University, both in a support or training capacity and in response to management information requests. The post holder will develop business relationships with contacts at MidlandHR and Civica and will have regular contact with external agencies such as HESA. Liaison with other itrent customers, particularly within the HE sector, is encouraged. Terms and conditions The post is full-time and permanent. Holiday entitlement is 26 days annually. The holiday year runs from 1 st October to 30 th September. In addition, staff are also entitled to 8 days public holiday and a further 6 days when the University closes, divided between Christmas and Easter.
