1 ADDENDUM NO. 03 August 22, 2014 The following changes, additions, deletions or corrections shall become a part of the Contract Documents dated, July 22, 2014 for the RFP named below and all other conditions shall remain the same. REQUEST FOR PROPOSAL IT Computer Systems Upgrade Project RFP The following are being removed from the RFP scope of work: The Web Filtering/Traffic Shaping section Items ECBACKUP AND ECNET Line ECAV2 (Questions are in red, Answers are in green) ANSWERS TO QUESTIONS RECEIVED How many existing domain controllers, which OS version are you running and what s the current Domain and Forest Functional Levels? At the time of this answer we have 13 domain controllers. Some may be added or removed in the upcoming weeks. Forest function level is Windows Domain function level is Windows Server Are you currently having issues with the domain controllers? Are there many errors showing up in the Event logs on the DCs? We may be having issues with at least two domain controllers. We do have some replication errors in the event logs but they appear to be with the subdomain we would like to remove. Users seem to be authenticating with no errors. We would like the vendor to go over the event logs, DCDIAG logs, and/or use any other tools at their disposal to determine what issues we should be aware of and how critical they are. Any thoughts on how many subdomains or child domains are to be removed or is this info solely going to be determined by the health check? We currently have only one subdomain and it can be removed. 1. Can you please elaborate on your needs for a redundant RightFax server? We have one rightfax server for the district. We would like a second to take over in case the first goes down for maintenance or goes down unexpectedly. a. 2 Page 2 We do not have DR preferences in place for other applications. 2. Can you please confirm that you will be running on a Windows 2012 R2 platform? Our goal with this project is to have our domain at the Windows 2012 level. However, this does not mean that all member servers will be at the 2012 level. Before we upgrade our domain to Windows 2012 we would like to work with the vendor to make sure that our workstations and applications will be compatible. 3. Can you please confirm what version of SQL you have installed with your current RightFax installation? Microsoft SQL Server Management Studio shows SQL Server a. Is this the same SQL instance you will want to use in the upgraded environment? The SQL server is running on the rightfax server so we would most likely need a second SQL server for redundancy. However, we will consider any recommendations that would work best in our environment. 4. Are all departments within East Side Union H.S. using RightFax? Yes. 5. You currently have four document delivery channels on your RightFax server; do you feel that these channels are managing your volumes adequately? It is adequate for us at this time. We do not see our volumes changing in the near future. 6. Can you please elaborate on your OCR needs? In section you referred to needing more than one OCR engines running at once. What exactly does this mean? In our current configuration, all scans by the Ricoh MFP's are processed on the server one at a time. If someone scans a 100 page document and uses OCR, all scan jobs will have to wait until that job completes. Normal scans are not an issue but OCR jobs take much longer to process and can hold up the queue. We would like to be able to either add more scan engines so more jobs can process concurrently or somehow divide up the queues so OCR jobs are place in one queue while normal scans to PDF are in another. We are open to other solutions that would help balance out our OCR and normal scan jobs. 7. What type of MFP s do you have? The Ricoh MFP's that this project is associated with are: Aficio MP 5002, Aficio MP 3352, Aficio MP , Aficio MP , Aficio MP 7502, Aficio MP , MP C5503, Pro 81105, Pro a. How many would you want fax enabled? We would like all of the models that are capable to have the ability to send faxes but not all would need to receive. We have that capability now and we do not see the number changing much in the near future. We currently have 21 phone numbers for incoming faxes. 8. How many users need to be able to search your archived documents at one time?

3 Page Can your fax numbers be routed through the new Cisco environment instead of through analog lines to the fax gateway? We currently have fax numbers routed through our Cisco environment for incoming faxes. We have tried routing outgoing faxes though our Cisco environment as well as using a fax gateway. We will use whichever works best in our environment. Regarding Section 14 Reconfigure DHCP Servers and DNS Zones: 1. What is the Number and Type of Servers running DNS? We have 15 Microsoft DNS servers. Yes 1. External DNS "ecnet" and ecbackup hosted in-house? 1. Plans for DNSSEC? We do not have plans for DNSSEC but we are open to the idea if it is in our best interest. 1. What is the Number and Type of Servers running DHCP? We have 13 Microsoft DHCP servers. 1. Average DHCP Average Range Size? Wirelesss subnets have a 19 bit mask. Wired subnets have a 23 bit mask. Staff subnets have a 24 bit mask. The majority of our subnets have a 23 bit mask. 1. DHCP Lease Times for their respective ranges? Wireless subnets should last one day. Wired subnets should last 7 days. 1. BYOD? If yes, what is the maximum number of guest devices expected to connect? Do guest devices need access to internal resources? We do offer BYOD. We currently have about 17,000 wireless devices if we include BYOD. We have a student population of around 23,000 and staff population of about 2,500. There is a potential of having at least 26,000 devices in the future. Guest devices currently need access to internal resources. We are looking for something like Cisco ISE (Section 13) to help us place devices in appropriate VLANS based on a user's identity. After that is in place, users will only be able to access resources that pertain to them. Visitors to our schools and district office would only have access to the internet.

4 Page 4 How many concurrent endpoints do you expect to see on the network across all locations at any one time? 26,000. Have you already deployed an enterprise PKI or certificate authority (CA)? With which vendor? If not, do you expect to install and manage one or purchase individual certificates from a public CA vendor for the ISE project? We have a Microsoft CA but we are not sure if it contains the type of certificate that you are referring to. We will need to discuss whether we use a certificate from a public CA vendor or if we install one of our own. If network device (switch or wireless access point/controller) software upgrades are required, is Eastside or the vendor performing the software upgrades? Vendor will perform upgrades. Is the current Cisco CUCM and associated applications under a current UCSS subscription? Is Eastside authorized major upgrades to all Cisco voice applications under the current contract? Yes and Yes. Any applications that cannot run in a virtualized environment will remain on the physical server Can we get the following information for the servers listed in section 4.4 o Server vendor name, model number o CPU model and speed o Amount of RAM o OS version and patch level o Disk size/drive letters/partitions o 3 rd Party Applications installed VMWare server information should be provided by KIS. Note the following server name changes: ECRADIUS1 is named ECRADIUS. CATACLYSM is named PANDARIA. WEBHELPDESK is named ECWEBHELPDESK. The hosts are Dell servers over several years old. Most have 4GB of RAM and 2.5GHz processors.

6 Page Mobile Device Management (MDM) How many devices will need to be managed? 24,000 Part 1. Cisco UCS What are the Specs for the UC physical appliances for proper sizing to do P2V migration? We do not have the specs on our current UC appliances. The servers are listed as Cisco MCS 7800 Series servers. We are planning to run Vmware in the entire UCS Chasis with 8 half width blades? Correct? Our initial research seems to show that we will need more than 8 half width blades to support this project. However, the exact number is to be determined by the selected vendor. Requirements for Cisco Prime infrastructure? Specs detailplease We request that vendors consult with Cisco directly for the specs on their hardware/software. Are the hosts in the Cluster or not to provide the failover? If yes how many are in the cluster in the UCS chassis? If we understand the question correctly, we have four hosts in our chassis and they are configured for HA so if one host goes offline, guests will migrate to the remaining hosts. All the hosts are going to boot from Nimble SAN. Please confirm. Hosts currently boot from the Nimble SAN. We will consider alternative methods if necessary. Part 4. VMWARE Are we going to have total 2 Cisco UCS in the environment or more? This depends on vendor's recommendation. (4.3) + (4.4) + (4.5) Need the physical server Specs for proper sizing & migration. KIS is currently gathering server information. It will be shared after we receive it. Part 6. Backup 1. How much total data we are planning to backup including both virtual & physical servers? Exact amount of data is unknown. We would guess at least 10TB at this time but our storage needs are growing quickly so our backup needs may grow quickly as well. In this project we mentioned that we would like 120TB of usable storage before compression so our backup system would need to be able to adapt without having to rip and replace. 2. Backup should be bidirectional P2V and V2P. Please confirm. We would prefer that we have that capability but P2V is a must. END OF ADDENDUM NO. 03
