1 JOB DESCRIPTIONS Page 1 JOB TITLE: DIRECTOR Reports to: Board of Trustees Education and Work Experience: Masters of Library Science from a library school accredited by the American Library Association required. Preferred qualifications include four years of library work experience; two years administrative library work experience; two years of supervisory experience. Decision Making Authority: The Director operates under the general guidance of the Library Board, making independent decisions and judgements within the parameters of policies and budget determined by the Board. Required Competencies: Comprehensive knowledge, skill and ability in every phase of the public library field Experience in a wide range of public library work Exceptional written and oral communication skills Strong ability to establish and maintain effective working relationships with superiors, associates, staff, and the general public. Strong knowledge of library automation system Attention to detail Ability to exercise initiative and good judgment. Excellent decision making skills. Talent for creative problem solving. Ability to prioritize and carry out numerous tasks simultaneously. Excellent supervisory skills. Drafts and recommends policy to the Library Board Plans for the implementation of public library goals and objectives Directs the operations of all aspects of library service Leads the development, evaluation, and administration of all library programs Reviews and refines procedures to produce optimal service Directs the development and maintenance of the library collection Directs the development, repair and maintenance of the Library facilities Implements policy as determined by the Board Prepares and presents the annual budget requests to the Library Board Directs and controls the expenditure of library funds within the constraints of approved budgets Represents the library at functions of the State Library, library consortiums and cooperatives, other public libraries, library associations and community groups Prepares statistical reports on library finances and services for the State Library and the Board Coaches, schedules, evaluates and supervises staff department heads
2 JOB DESCRIPTIONS Page 2 JOB TITLE: ADMINISTRATIVE MANAGER The Administrative Manager is a member of the Library Leadership Team. He provides excellent customer service to his primary customers, the Public Service Team Leaders. He also works with vendors, contractors and service providers to make sure the library building and equipment stay in tip-top shape. He is a leader who inspires confidence and respect from the entire library staff. He is a creative problem-solver, but more importantly he is proactive and addresses problems before they happen. Reports to: Director Classification: Two Education and Work Experience: Three years of relevant work experience or a bachelor s Degree in relevant field. Library of Michigan Basic Workshop is required for employees who do not have two years of work experience in a public library at the time of hire. Completion of Leading with Zing or similar training. Completion of The Art of Giving Great Service from ZingTrain or similar training. Required Competencies: Ability to plan, implement and manage complex projects Comprehensive skills with office software including word processing and spreadsheets Good attention to detail Excellent communication skills, both written and oral Exceptional problem-solving skills Open-minded and open to change Administrative: Acts with the authority of the Director in the Director s absence Building and Security: Develop and implement schedules for routine building maintenance and security Ensure that parking lot, lawn and grounds are well maintenance Identify and address building and furnishings maintenance issues Supervise housekeeping staff to ensure cleanliness of library Records and Bookkeeping: Collect and count payment for all overdue fines, copier fees etc. Maintain personnel, board and other library records Make purchases and/or recommendations for purchases of supplies Prepare financial reports for Director, Board and auditor Provide bookkeeping services using accounting software Sort mail and distribute to appropriate staff Work with contractor to process payroll services Equipment and Technology: Administer the library s accounts Ensure computer and network security Ensure maintenance and repair of equipment as needed Maintain inventory of equipment Place orders and/or make recommendations for purchases to meet those needs Work closely with all teams to determine their equipment needs Work with contractors on design and development of website Marketing and Communications Develop publicity materials including flyers, newsletters and press releases Facilitate internal communication to keep all staff informed of upcoming changes and events Maintain up-to-date information on the website and social media Oversee all signage inside library Work closely with leaders to develop and implement marketing plan Work with the local news media to assure the library s services and activities are publicized Volunteer Management Act as liaison with the Friends of the Library

4 JOB DESCRIPTIONS Page 4 JOB TITLE: HOUSEKEEPER The Housekeeper takes pride in maintaining a clean, welcoming library building for our community. She loves it when people say, "This is a beautiful library!" because she knows she s the one who made it that way. Reports to: Administrative Manager for Building and Security Classification: Five Education and Work Experience: High school diploma Ability to lift and carry 20 pounds Ability to stand and or walk continuously during four-hour shift Ability to work outdoors in all weather for short periods (fifteen thirty minutes) Can identify what needs to be done in order to maintain a clean building Can squat, bend, stretch, climb and balance as required for cleaning and maintenance from floor to ceiling Self-motivated; ability to work with little supervision Essential functions: Clean and stock bathrooms Clean all windows and glass doors Clean kitchen areas including sinks, cabinets and refrigerators Dust and clean all surfaces Maintain all areas in a clean and sanitary condition Vacuum, mop and/or sweep all floors Example of a Typical Work 4.5 Hour Day: The work of the Housekeeper follows a routine; while there will be some variation, most days will be similar to the example provided below. 1.5 hours Vacuum floors 1.0 hours Clean and stock bathrooms 1.0 hours Clean tables and chairs 0.5 hours Clean water fountains 0.5 hours Clean staff lounge

She models exemplary customer service for not only her team, but for all library employees. She takes tremendous pride in a collection that is orderly, clean and neat in appearance and a catalog that is accurate in every detail. Her team handles hundreds of records and transactions each day and she understands that getting them all right the first time is mission critical. Reports to: Director Classification: One Education and Work Experience: Five years of relevant work experience in a library setting. Employees in this position with a Masters of Library Science from an ALA accredited university receive a higher salary. She has a thorough understanding of the complex and uncompromising rules that govern the library s catalog and circulation system. Reports to: Cataloging and Circulation Team Leader Classification: Three Education and Work Experience: Three years of relevant work experience in public library and a high school diploma. She takes every opportunity to use her frequent one-on-one communications with customers to promote the library. Although most of her customer interactions are routine and brief she finds ways to makes each customer feel valued. She has outstanding listening skills that allow her to understand the needs of others. She is a resourceful and creative problem-solver. She can manage complex projects; she sees the big picture and at the same time understands the importance of focusing on the details. A typical work day is made up of a couple meetings and several phone calls, some paper work and dozens of small, absolutely essential tasks.
