2 Student Computng Manual Welcome to Computng at Yale Unversty! Durng your tme at Yale you wll make use of Yale s network and computng resources, not only to wrte papers and emals, but also to access mportant unversty resources, some of whch wll be dscussed here. Ths manual s meant to be a gude for you: t addresses how to confgure your computer for use on the Yale network, and t detals some of the computng resources avalable to you. Ths manual s dvded nto three man sectons: 1. Yale Computng Resources 2. Network Installaton Instructons 3. Safe Computng Practces To begn usng the Yale network, you must regster your wred and wreless Ethernet cards at the Student Network Regstraton ste, Pror to regsterng your computer on campus, you wll only be able to access Yale webstes; elsewhere, you wll not be able to access any webstes. After regsterng your computer wth Yale, you wll have full network access on campus. 6 1 Yale s Computng Resources 1.1 Accessng the Yale Network All of Yale s resdental colleges and lbrares have wred Ethernet connectons so that you can access Yale s onlne resources and the Internet. Some areas on campus also have wreless (802.11b complant) connectvty. For nformaton on how to connect your personal computer to the network, please turn to Secton 2. In addton, you can access the network va many publc computng facltes on campus. For more nformaton, please see secton 1.3 Computer Clusters. 1.2 Yale s Onlne Resources Yale Unversty SIS and OCI Usng Yale s Student Informaton System (SIS) webste, you can revew course schedules, fnancal ad nformaton, bllng account nformaton, and course grades. Related to the SIS pages s the Onlne Course Informaton page (OCI). Here, you can vew and regster for classes onlne Classes Server Most academc courses at Yale mantan webstes on the Yale Classes server; t s the central repostory of class webstes and ther onlne syllab. Many professors create web pages for ther classes and update the pages wth current course materal, new assgnments, and mportant announcements. In addton to these features, the Classes server offers students and professors an onlne chat nterface, as well as an nterface for students to submt ther assgnments. 7 1.3 Clusters Never work drectly off of the Pantheon! Frst, transfer the fle to your local computer, then make your changes. When fnshed, transfer the fle back to your Pantheon space Pantheon Space As a Yale student you receve 250 Megabytes of network storage on Yale s Pantheon servers, whch consst of Ares, Argos, Ajax, Mnerva, and Olympus. Ths space s accessble usng a networked computer and software avalable from Yale s Software Download Ste. You are encouraged to back up your mportant fles and documents to the Pantheon. Fles stored here are backed up nghtly, so t s often possble to recover accdentally deleted documents that were stored on the Pantheon. More nformaton on Yale s computer clusters s avalable at: Computng cluster locatons: Computng kosk locatons: Computer Clusters Publc computng facltes, wth both Wndows and MacOS X computers, are avalable for use by Yale afflates. Cluster computers are used prmarly for research, e-mal, and paper wrtng. Addtonally there are kosk computers located throughout campus for students to check e-mal or browse the Internet. Addtonally, each resdental college has ts own computer cluster. The three man publc computer clusters are located n the basement of Connectcut Hall on Old Campus, n the lower level of Cross Campus Lbrary, and n Room 120 of Dunham Laboratores. Clusters are also located on the second floor of Phelps Hall on Old Campus, n the basement of the MacDougal Center n the Hall of Graduate Studes, and n the Klne Scence Lbrary n the basement of the Klne Bology tower. In addton to the regular computers avalable n each of the clusters, there are also Wndows and MacOS X desktop publshng statons (DTPs) avalable for use n each of the man publc 6 Yale Unversty Student Computng

8 1.4 Prntng n a Computer Cluster computng clusters. These DTPs are equpped wth scanners, CD-R/RW drves, and advanced desktop publshng and mage-edtng software. 1.4 Prntng n a Computer Cluster Both resdental and publc computng clusters have black and whte laser prnter/copers for student use. The man computer clusters also have color laser prnters. The cost of black and whte prntng or copyng s seven cents per page and color prntng s ffty cents per prnt. You can add money to your prnt account by usng the Prnt Account Management page. Students can prnt to the cluster prnters from ther personal computers. Instructons for nroom prntng to cluster prnters can be found at Computng Assstants Student Computng employs Computng Assstants to help students wth computer and networkng problems. We provde support to students lvng n the on-campus resdences, and we also provde computng support durng offce hours at the major publc computer clusters (CCL, CT Hall, and Dunham). There are four to sx Computng Assstants (CAs) per resdental college, and addtonal CAs are assgned to Old Campus and the oncampus graduate resdences. Students requrng computng assstance should request help at Students can expect a response from a CA wthn 48 hours. Because the begnnng of the academc year s a busy tme for the CAs, response tme may be slghtly longer n the frst month. 10 2.1 Purchasng A Computer Whle Yale does not requre students to have computers, most students brng computers to campus. If you decde to purchase a computer, Student Computng has negotated specal prcng on pre-confgured computer packages from Apple, Dell, and IBM. (Student Computng s best able to provde techncal support for Dell computers, so you mght keep ths n mnd when purchasng.) More purchasng nformaton can be found at If you purchase a computer, we encourage you to meet or exceed the recommended computer specfcatons. The most mportant consderaton when purchasng a new computer s to nclude at mnmum a three-year warranty. If possble, students should choose a four-year warranty wth on-ste repar servce to easly remedy hardware falures. Yale-lcensed software for Wndows 98 and later and Mac OS 9 and later s avalable for download from the Software Download Ste at CAs are only traned to work wth supported operatng systems. Computng Assstants wll attempt to support other technologes, but provdng such assstance may take addtonal tme and may be prortzed below problems wth supported operatng systems and devces. Informaton on computer purchases can be found at: purchase For the school year, Student Computng recommends that new computers meet or exceed the followng: a PC wth a Pentum III, 4, or M processor; a Centrno notebook; or a Macntosh wth a G3 or G4 processor 256 MB of RAM bult-n Ethernet or a recommended Ethernet adapter a category 5 Ethernet patch cable (25 feet s adequate for most Yale rooms) an on-ste warranty, for three or four years (four years hghly recommended for ncomng freshmen) wrteable CD-ROM drve Wndows XP Professonal, Wndows 2000, MacOS X (OS 10.3 or later) Laptop users are also recommended to purchase the followng: securty cable lock (eg. 11 2.1 Purchasng A Computer Contact a CA f you are plannng to use a wred or wreless Ethernet router n your room. Ethernet (RJ45) (Actual sze) Phone (RJ11) Most new computers have bult-n Ethernet adapters, ncludng all Apple computers and Wndows laptops wth a mn-pci 10/100 Ethernet card. For computers wthout nternal Ethernet cards, please go to for recommended Ethernet cards. Each on-campus room has at least one Ethernet jack per occupant. Dependng on where you lve, the Ethernet jack may be next to a phone jack or on a separate wall plate. The jack should be labeled wth a number preceded by the letter L. In addton, the Ethernet jack may have an mage of a computer above t. In some sutes n the colleges that have not been renovated, hubs are permanently mounted to a wall to offer network connectvty to all occupants. If you are usng a hub, nsert your Ethernet cable nto the lowest numbered unoccuped Ethernet jack on the hub. A category 5 Ethernet patch cable wth RJ45 connectors s requred to connect a computer to Yale s network. Plug one end of the cable nto your Ethernet adapter on your computer and plug the other end nto the Ethernet jack on your wall. Note: Do not substtute a phone cable for an Ethernet cable, t wll not provde network connectvty. ITS provdes one Ethernet jack per person n each sute. Dependng on how room furnture s arranged and where the jacks are located, the ports may not be convenently located; you may need to run cables around walls and under doors. If there are more room occupants then Ethernet jacks n your entre sute, please contact a CA at 10 Yale Unversty Student Computng

12 2.2 Wndows Network Installaton Instructons After verfyng that you have correctly nstalled an Ethernet card n your computer and after connectng your computer to an Ethernet jack usng a category 5 Ethernet patch cable, you need to confgure your computer for use on the Yale network Wndows XP Wred Ethernet 1. Clck the Start button, select Control Panel. 2. Clck on Network and Internet Connectons n the Control Panel wndow. 3. Rght-clck on Local Area Connecton and select Propertes. 4. In the Local Area Connecton wndow, verfy that the followng network components are nstalled and checked: a) Clent for Mcrosoft Networks b) Fle and Prnter Sharng for Mcrosoft Networks c) Internet Protocol (TCP/IP) 5. If any of the above components are mssng, add them by clckng on the Install button and selectng the mssng component: a) Clent for Mcrosoft Networks s lsted under Clent b) Fle and Prnter Sharng for Mcrosoft Networks s lsted under Servce c) Internet Protocol (TCP/IP) s lsted under Protocol 6. Select Internet Protocol (TCP/IP) n the Local Area Connecton Propertes wndow, and clck the Propertes button. 7. Select Obtan an IP address automatcally Select Obtan DNS server address automatcally. 9. Clck the OK button. 10. Clck the OK button n the Local Area Connecton Propertes wndow. 11. 13 2.2 Wndows Step 3: Clck on the Change button. If you want to be able to see your local college network wndows shares n Wndows you need to add yourself to your college workgroup. Follow the nstructons below. 1. Rght-clck on the My Computer con on your desktop or n the Start menu. Select Propertes. 2. In the System Propertes wndow, select the Computer Name tab. 3. Clck on the Change button. a) In the Computer name box enter your NetID b) In the Workgroup box enter your college name (or OLD CAMPUS f you are lvng on Old Campus) 4. Clck OK on the message wndows that pops up. 5. Clck OK n the System Propertes wndow. 6. When Wndows XP asks you f you want to reboot, clck the Yes button. 7. You wll now be able to access shared network fles wthn your college workgroup. Steps 3a & b: Enter NetID and College name. 12 Yale Unversty Student Computng

14 2.2 Wndows Wndows XP Wreless Ethernet 1. Clck the Start button, and select Control Panel. Select Network Connectons. 2. Rght-clck on Wreless Network Connecton, and select Propertes. 3. Select the Wreless Networks tab and make sure that Use Wndows to confgure my wreless network settngs s checked. Clck the Add button. 4. In the Wreless Network Propertes wndow enter yale wreless n the Network Name (SSID) box. 5. Network Authentcaton s Open and WEP s Dsabled. 6. Clck the OK button. 7. Clck the Refresh button to connect to yale wreless. Note: You must be wthn range of a Yale wreless access pont. Clck the OK button. 8. See secton 2.4 to regster your network card n order to access the Internet. Not all wreless cards wll have the Wreless Networks tab. If ths tab does not exst n the Wreless network propertes wndow, use the program that nstalled wth your wreless Ethernet card to enter equvalent connecton nformaton. For a complete lstng of all locatons wth wreless access, please see: Step 3: Check the check box for Use Wndows to confgure my wreless network settngs. 15 2.2 Wndows Step 3: Make sure the above are checked Wndows Clck the Start button, select Settngs and then Network and Dal-up Connectons. 2. In the Network Connectons wndow, rghtclck on Local Area Connecton and select Propertes. 3. In the Local Area Connecton wndow, verfy that the followng network components are nstalled and checked: a) Clent for Mcrosoft Networks b) Fle and Prnter Sharng for Mcrosoft Networks c) Internet Protocol (TCP/IP) 4. If any of the above components are mssng, add them by clckng on the Install button and select the needed components: a) Clent for Mcrosoft Networks s lsted under Clent b) Fle and Prnter Sharng for Mcrosoft Networks s lsted under Servce c) Internet Protocol (TCP/IP) s lsted under Protocol 5. Select Internet Protocol (TCP/IP), and clck the Propertes button. 6. Select Obtan an IP address automatcally Select Obtan DNS server address automatcally. 8. Clck the OK button. 9. 16 2.2 Wndows If you want to be able to see your local college network or access your Pantheon space va a Samba share (see secton 2.7.1) from Wndows you need to add yourself to your college workgroup: 1. Clck on the Start button, select Settngs and then Control Panel. 2. Double-clck System n the Control Panel. 3. In the System Propertes wndow, select the Network Identfcaton tab. 4. Clck on the Propertes button. a) In the Computer name box enter your NetID b) In the Workgroup box enter your college name, or OLD CAMPUS f you are lvng on Old Campus 5. Clck OK on the message wndows that pop up. 6. Clck OK n the System Propertes wndow. 7. When Wndows 2000 asks you f you want to reboot, clck the Yes button. Step 4: Clck on the Propertes button. 17 2.2 Wndows Step 2: Ensure you have TCP/IP nstalled. Step 4: Obtan IP address automatcally Wndows 98 & Me 1. Clck on the Start button. Select Settngs, then select Control Panel. Double-clck on Network n the Control Panel wndow. 2. In the Network wndow, under the Confguraton tab, you should have at least three components for your Ethernet card: a) Clent for Mcrosoft Networks b) Your network card c) TCP/IP 3. If you are mssng any these components, clck Add... to nstall them. Whle you may have more components n the Network wndow, ensure that at least the above components are lsted. Note: f more than one network adapter s nstalled there wll be a separate lstng for each clent and protocol. Make sure you select the correct adapter n later steps. 4. Select TCP/IP and clck the Propertes button. Select Obtan an IP address automatcally. Make sure that Dsable DNS s selected under the DNS Confguraton tab and clck OK. 5. Clck on the Identfcaton tab to change your computer name and add yourself to your college network: a) In the Computer name box enter your NetID b) In the Workgroup box enter your college name, or OLD CAMPUS f you are lvng on Old Campus. 6. Clck OK. Your computer mght ask you to nsert the Wndows CD that came wth the computer. After copyng the necessary fles, your computer wll reboot. 7. When your computer has fnshed rebootng, enter your NetID n the User Name box that comes up n the Enter Network Password wndow. Leave the Password box blank and clck the OK button. 8. 18 2.3 Macntosh Network Installaton Instructons After you have plugged an Ethernet cord nto the back of your computer and nto the wall Ethernet jack, you need to confgure your computer for use on the Yale network Mac OS X Wred Ethernet 1. Clck on the con on the menu bar n the upper left corner of the screen and select System Preferences. 2. In the System Preferences wndow, clck on Network. 3. In the Network wndow, clck on the dropdown menu next to Show: and select Bult-n Ethernet. 4. Look under the TCP/IP tab and make sure that Confgure s set to Usng DHCP and that all the other felds are blank. 5. See secton 2.4 to regster your network card n order to access the Internet. 19 2.3 Macntosh Step 5: Enter yale wreless next to Closed Network Name. Step 7: Select yale wreless Mac OS X Wreless Ethernet If you have an ArPort card, please follow the steps below to confgure t for use on the Yale network. 1. Clck on the con on the menu bar n the upper left corner of the screen and select System Preferences. 2. In the System Preferences wndow, clck on Network. 3. In the Network wndow, clck on the dropdown menu next to Show: and select Arport. 4. Look under the TCP/IP tab and make sure that Confgure s set to Usng DHCP and all the other boxes are blank. 5. Look under the Arport tab and n the Network box enter yale wreless, and uncheck Allow ths computer to create networks. 6. Clck on Apply Now to save your settngs. 7. Clck on the con n the upper rght corner of the screen and select yale wreless. 8. See secton 2.4 to regster your network card n order to access the Internet. 18 Yale Unversty Student Computng

20 2.3 Macntosh Mac OS 9 Wred Ethernet 1. Clck on the con on the menu bar n the upper left corner of the screen. Go to Control Panels and select TCP/IP. 2. In the TCP/IP wndow, clck on the dropdown menu next to Connect va: and select Ethernet bult-n. 3. Clck on the drop-down menu next to Confgure and select Usng DHCP Server. 4. See secton 2.4 to regster your network card n order to access the Internet. Step 1: Select TCP/IP from the Control Panels. Step 3: Select DHCP from the drop-down menu. Student Computng Manual, Fall

21 2.3 Macntosh Step 2 & 3: Select Arport n the dropdown menu and Usng DHCP Server. Step 4: Clck on ArPort Mac OS 9 Wreless Ethernet 1. Clck on the con on the menu bar n the upper left corner of the screen, go to Control Panels and select TCP/IP. 2. In the TCP/IP wndow, clck on the dropdown menu next to Connect va: and select ArPort. 3. Clck on the drop-down menu next to Confgure and select Usng DHCP Server. Close the wndow to save your settngs. 4. Clck on Open ArPort n the bottom left on the Control Strp. 5. In the ArPort wndow check Allow selecton of closed network, and select Other n the drop-down menu next to the text that says Choose Network: feld. 6. In the wndow that pops up, enter yale wreless n the Name box. 7. Clck OK. 8. Close the ArPort wndow. 9. See secton 2.4 to regster your network card n order to access the Internet. 22 2.4 Network Regstraton Before you can fully access the Internet, you need to regster your network connecton. 1. Go to 2. Clck Regster Student Network Connecton. 3. Enter your NetID and password and clck Logn. 4. Clck the Regster a new computer button. (If you have already regstered your Ethernet connecton, a table above ths button wll show your exstng regstraton.) 5. Enter the Ethernet Hardware Address of the connecton you are regsterng. (Ethernet cards and wreless cards each have ther own EHA s; make sure to enter the EHA correspondng to the card you are regsterng.) You can also clck the Auto-Detect your EHA button to fnd your EHA. If you cannot fnd your EHA, please see for nstructons. 6. Enter the rest of the nformaton about your computer, carefully read the network polcy nformaton, and then clck I agree to complete the process. 7. Wat 30 mnutes and then restart your computer. 8. You should now be able to connect to the Internet. If you need addtonal assstance, please go to Appendx C for nformaton about contactng a CA. Step 1: Go to Step 3: Enter your EHA and computer nfo. 23 2.5 Downloadng Yale-Lcensed Software Yale s Software Download Ste s The Yale Software Download Ste Choose Unmanaged. For help nstallng Symantec, vst Yale s Software Download Ste Yale lcenses software such as Symantec Antvrus, Internet browsers, Eudora emal software, and other tools for enhancng computng effcency to the entre Yale communty. To download software, go to the Software Catalog at and select Download Software. Logn wth your NetID and password, and select your operatng system to vew the software categores. You can vew a lst of all of the software avalable for download by clckng on the Complete Catalog button Symantec Antvrus Corporate Edton Symantec Antvrus (formerly Norton) s consdered requred software for computng at Yale. Whle new computers typcally have an antvrus program nstalled, these antvrus programs are ether set to expre or are dffcult to update aganst the latest vral threats. Whle at Yale, you should nstall and use the Yale recommended Symantec Antvrus to have the most dependable and updated antvrus protecton avalable. To download and nstall Symantec Antvrus Corporate Edton, go to the Yale Software Download Ste. Choose your operatng system and select Requred Software; download Symantec Antvrus from the lnk. Before nstallng Symantec, completely unnstall any other vrus programs from your computer. When nstallng the software n Wndows, choose Unmanaged (the default opton) when selectng an nstallaton scenaro. Also actvate LveUpdate to get vrus updates. 22 Yale Unversty Student Computng

24 2.6 Yale E-mal All Yale students have a Unversty e-mal account. Ths secton detals several methods you can use to access your Yale e-mal account. Because vrus and spam emals are nconvenent messages that do not need to be read, Student Computng recommends flterng these emal messages out of your Inbox. To do ths, vst the Emal Account Tool at or through the lnk on Yale WebMal (dscussed n 2.6.1). Logn to the Emal Account Tool usng your NetID and password. Then select the Spam Management and Vrus Quarantne optons to confgure the spam and vrus emal flters. You may also confgure addtonal emal flters to keep messages wth certan senders and keywords n separate mal folders. Select the Mal Flterng opton n the account tool to do ths. Use the Emal Account Tool to confgure vrus and spam emal flters Web E-mal You can use almost any web browser to access your e-mal whle you are away from your own computer. Go to IMP Web E-mal located at and logn wth your NetID and password to check your e-mal. On the WebMal nterface, you wll fnd smplfed tools to read, sort, and search your emal. For help wth WebMal you can vst the WebMal help page at Note: WebMal should not be used as a replacement for a local e-mal clent lke Eudora or Outlook. 25 2.6 E-mal Eudora and Kerberos can be downloaded from: Student Computng recommends that students use Eudora as a local e-mal clent. Eudora must be nstalled wth Kerberos, a secure authentcaton protocol, before students can securely check e-mal. Both Eudora and Kerberos can be downloaded from the Yale Software Download Ste. Step 1: Install Kerberos before nstallng Eudora. Step 3: Enter your nformaton n the Eudora nstaller (Wndows screenshot). 26 2.6 E-mal Outlook Express for Wndows You can use Outlook Express nstead of Eudora, but Student Computng recommends aganst runnng Outlook Express because of ts hstory of serous securty flaws. If you decde to use Outlook Express, there are several securty settngs that should be changed to mprove ts securty. Note: When runnng Outlook Express for the frst tme, please cancel the wzard that appears. 1. After Outlook Express has loaded, select Tools from the menu bar, and then select Accounts. 2. Clck on the Mal tab n the Internet Accounts wndow. Then clck the Add button and select Mal. 3. Enter your name n the Dsplay name box, then clck the Next button. Enter your e-mal address n the E-mal address box (frstname.lastname@yale.edu). Clck Next. 4. Select POP3 as the account type. The ncomng mal server s NetID.mal.yale.edu, and the outgong mal server s mal.yale.edu. Replace NetID wth your NetID. Clck Next. 5. Enter your NetID for the account name. Clck Next. 6. Clck the Fnsh button. Then clck on the account you created, and then select the Propertes button. 7. Go to the Advanced tab n the Propertes wndow. 8. Check the check box under Incomng Mal that says Ths server requres a secure connecton (SSL). The port number wll change from 110 to Check the box next to the text that says Leave a copy of messages on server. 10. 29 2.7 Accessng the Pantheon For more detaled nstructons about how to connect to the Pantheon, please vst PantheonHelp and clck on Mountng or Fle Transfer n the left menu bar. For more nformaton about the Pantheon, please vst PantheonHelp at If \\pantheon.yale.edu\netid doesn t work, try \\ \NetID. Never work drectly off of the Pantheon! Frst, transfer the fle to your local computer, then make your changes locally. When fnshed, transfer the fle back to your Pantheon space. Step 3: Enter \\pantheon.ts.yale.edu\netid If you need temporary storage for your large fles, you can save your fles to Pantheon scratch space. Note: Before you use scratch space, you should understand and agree to the scratch space polces, avalable at: polces/scratch.html Accessng the Pantheon n Wndows There are two ways to access your Pantheon space from a Wndows computer: usng a Wndows Samba share and usng WnSCP (an SFTP fle transfer clent). Usng Samba 1. Clck on the Start button and select Run 2. In the Run wndow, enter \\pantheon.yale.edu\netid n the Open box and clck OK. 3. In Wndows 2000 and XP, a box wll come up, askng for a username and password, enter YALE\NetID as Username and your password n the Password box and clck OK. 4. Whle WnSCP nstalls, choose to run the program n the Explorer-lke nterface. Ths wll enable you to easly drag and drop your fles to upload. 3. For the logn nformaton enter the followng: Host name: el.yale.edu Port Number: 22 User name: [your NetID] Password: [your password] 4. Contnue to logn. You wll be presented wth the contents of your Pantheon space n a Wndows Explorer-lke wndow. You can now transfer your fles to the Pantheon. In WnSCP, logn to host name: el.yale.edu Accessng the Pantheon n MacOS Mac OS X users can also connect to the Pantheon usng a Samba share or Fugu, a secure fle transfer clent (FTP). To map your Pantheon space as a local dsk usng Samba, follow the steps below: Usng Samba 1. Clck on Go n the menu bar and select Connect to Server In the box next to Address type smb://pantheon.ts.yale.edu/netid. 3. You wll be asked to enter your doman, NetID and password. In the Doman box, enter YALE, and NetID and password n ther boxes. 4. You should now see an con on the desktop labeled NetID. Usng Fugu You can securely transfer fles between your local computer and the Pantheon usng Fugu: 1. Download and nstall Fugu from the Software Download Ste. 2. In the Fugu wndow, enter el.yale.edu n the Connect to box, and your NetID n the Username box. Leave the other felds blank. Clck the Connect button. 4. Enter your NetID password when prompted. You should now be securely connected to your Pantheon space. Usng MacOS 9 Chooser You can securely transfer fles between your local computer and the Pantheon usng Chooser: 1. Clck on the n the upper-left corner, and select Chooser. 2. In the Chooser wndow, select the AppleShare con. 3. In the AppleTalk Zones box, select AM&T Student Computng. 4. In the Select a fle server box, select Pantheon. Clck OK. 5. In the wndow that pops up enter your NetID n the Name box and your password n the password box. Clck Connect. 6. In the next wndow that pops up, uncheck the check boxes and clck OK. 7. Your Pantheon space should now mapped to an con on the desktop labeled wth your NetID. 32 3 Safe Computng Practces Safe computng practces are extremely mportant n protectng yourself from the worst: lost or corrupted data, stolen dentty, and even crmnal charges. Ths secton dscusses several safe computng practces, such as how to make frequent data backups, how to safeguard your computer wth the latest securty patches and fxes, and how to protect your NetID and password from dentty theft. 3.1 Backng Up Fles Use a Clear Fle System Structure Pantheon Burnng CDs Vruses, Spyware, and Spam Vruses Spyware and Adware Spam Securty Keepng Wndows Updated Keepng Your MacOS updated Password Securty Dgtal Pracy Student Computng Manual, Fall

33 3.1 Backng Up Fles Wth frequent backups of your fles and documents, you can avod losng your work to computer accdents, vruses, or hardware falure. Wth a good set of backups, you can go to any other computer and resume your work f you have problems wth your own computer. Do not use floppy dsks to save fles. Use CDs, a USB portable hard drve, DVDs, or your Pantheon space to transport your fles because they are much more relable. A clear fle system structure makes backng up easy Use a Clear Fle System Structure Your documents wll be easer to access and backup f you name them consstently and organze them nto folders. Adopt a fle system structure that works well for you. The common practce of placng all documents nto the My Documents folder tself or ltterng them onto the Desktop makes fndng fles and backng up data more dffcult. To backup data, copy your fles and documents, as well as your e-mal and any other settngs or nformaton you may need to CD s, DVD s, the Pantheon, or other relable meda. You should back up your documents often enough that, were your computer hard dsk to fal, you would be able to re-create your work from your most recent set of backups. Student Computng recommends adoptng a bmonthly backup schedule Pantheon As a Yale student you receve fle storage space on the Pantheon servers. Ths space s lmted to 250 Megabytes (roughly the sze of 68 floppes or one seventh the sze of a CD) but t s the safest place to backup your most mportant fles. Each nght, the entre Pantheon s backed up to prevent data loss. Please see secton 2.7 for nformaton on how to connect to the Pantheon. 32 Yale Unversty Student Computng

34 3.1 Backng Up Fles Burnng CDs Most new computers come wth CD wrters and software to burn backups of your fles. Burnng CDs s a cheap and relable way of makng backups. To backup your fles n Wndows XP: 1. Put a wrteable CD (CD-R or CD-RW) n your CD-R/RW drve. 2. Double-clck on the CD con n My Computer. 3. Drag and drop your fles and folders from My Documents to the CD wndow. 4. Fnally, clck Wrte these fles to CD to create the CD. You can also use thrd-party CD burnng solutons, such as Ahead s Nero 6 and Roxo s Easy CD & DVD Creator 6. On Wndows operatng systems pror to Wndows XP you need to use a separate CD burnng program to burn data to your dscs. To back up your fles usng MacOS X: 1. Insert a wrteable CD (CD-R or CD-RW) n your CD-R/RW drve. 2. A wndow wll pop up askng you what acton to take. Choose Open Fnder and gve the CD a descrptve name. 3. Drag fles that you would lke to back up to the CD con on the desktop. 4. To burn the CD, drag the con to the Trash Can on the Dock. Clck on the button that says Burn to burn the CD. You can also use Roxo Toast 5 to burn CDs n MacOS X or MacOS 9. If your computer does not have a CD wrter, you can use the CD wrters on the PC and Mac desktop publshng statons n the publc and resdental college clusters. 35 3.2 Vruses, Spyware, and Spam Runnng updated antvrus software and practcng safe computng habts wll help you avod many common computer problems. All students are requred to nstall Symantec (formerly Norton) Antvrus Corporate Edton on ther computers. To prevent vruses, follow these safe computng practces: Install Symantec Antvrus Corporate Edton. Do not use fle-sharng programs. These types of programs can expose your system to vruses or Trojan horses. Be wary of e-mals wth attachments. Do not open e-mal attachments unless you expect that e-mal. Many vruses forge return and from addresses when they send themselves out. As a result, an e-mal s actual sender may be dfferent from that dsplayed. Do not open unknown attachments. Do not download programs and fles from unknown stes. Keep your operatng system patched wth the latest securty fxes. Please see secton 3.3 for more nformaton Vruses Vruses are usually short blocks of hdden executable code that replcate and modfy other host computer programs. Generally, vruses also malcously harm host computers by corruptng data, stealng nformaton, and slowng performance. Related to vruses are Trojan horses, whch open covert backdoors on host computers, but unlke vruses they do not usually replcate themselves. Worms are programs that spread over network connectons, but they do not attach to any host programs. A worm s man goal s to replcate tself; t may also harm the host computer. To prevent your computer from beng nfected wth vruses, Trojan horses, or worms, please follow the safe computng practces at the left. Please also see Secton to learn how to flter out potentally vrus nfected emal Spyware and Adware Spyware and adware are often bundled wth free software and are usually nstalled wthout your knowledge. Many fle-sharng programs bundle these malcous programs, ncludng CoolWebSearch, Golden Palace Casno, Gator, webhancer, and PrecsonTme. Desgned manly to spy on users and delver popup advertsements, spyware and adware can slowly decrease the performance of your computer. To nstall Spybot and Ad-Aware to combat spyware and adware, vst If you thnk your computer s nfected wth spyware or adware, scan your computer wth Spybot and Ad- Aware, then contact a Computng Assstant for further help. 34 Yale Unversty Student Computng

36 3.2 Vruses, Spyware, and Spam Spam Spam s unsolcted, junk emal from automated senders. Whle there s no perfect soluton to prevent from beng spammed, here are several steps that you can follow to help allevate the amount of spam your e-mal account receves: Be cautous about dstrbutng your prmary e- mal address. If you must provde an e-mal address to a webste or servce and don t want to use your prmary e-mal address, consder creatng and usng a free e-mal account. Both Hotmal and Yahoo offer free e-mal accounts. Do not clck the Remove Me lnk at the bottom of most spam emals. Ths lnk usually does not remove you from the spam e-mal lst, but actually verfes that your e-mal address works. As a result, you may receve more spam. Be crtcal of emals. If an e-mal seems too good to be true, t probably s. The Yale e-mal system can flter spam for you. To actvate spam management for your e-mal account, follow the steps below. 1. Go to the E-mal Account Management Tool Logn page ( and logn wth your NetID and password. 2. Clck the Confgure lnk next to Spam Management. 3. Select Yes to Send tagged spam to folder Select Yes to Automatcally delete 30-dayold messages Clck on the Update Spam Management Confguraton. 6. Logout to save your changes. 37 3.3 Securty Computer users face vulnerabltes n software. By takng advantage of these, hackers can launch attacks, send spam, or host llegal software servers. Student Computng recommends stayng updated wth the latest software patches to avod these explots. Step 1: Clck on Tools, then Wndows Update. Step 2: A wndow smlar to ths may appear. If one appears, clck Yes. Step 4: A wndow smlar to ths may appear wth an EULA Keepng Wndows Updated To run Wndows Update n all versons of Wndows: 1. In Internet Explorer, go to or clck on Tools n the menu bar, and select Wndows Update. 2. If ths s your frst tme runnng Wndows Update, a wndow wll appear, askng f you want to Install and run Wndows Update V4 Control. 3. Clck on Scan for Updates n the rght wndow pane. 4. After scannng for updates, a lst of updates wll appear. Clck on the Revew and nstall updates lnk and then clck the Install Now button. An End-User Lcense Agreement (EULA) wndow may appear. 5. After the updates have successfully downloaded and nstalled, a wndow may prompt you to reboot your computer. Clck Yes to reboot. Once your computer has restarted, repeat steps 1-5 untl no more crtcal updates and servce packs appear. Some updates can only be nstalled after prevous patches have been appled Next, you should turn on Wndows Automatc Updatng. Rght clck on My Computer on your desktop and select Propertes. In the System Propertes box select the Automatc Updates tab. Make sure keep my computer up to date s checked. Then enter your preferred updatng schedule and clck OK. 38 3.3 Securty Keepng Your MacOS updated Computers runnng MacOS 9 and X are set to automatcally check for updates and wll prompt you when they have updates that need to be nstalled. To check for operatng system updates n Mac OS X: 1. Clck on and select System Preferences. 2. Clck on Software Update. 3. Check Automatcally check for updates... f t s unchecked. 4. Clck Check Now to check for software updates. 5. Select all updates and then clck Install. 6. Reboot your computer, f prompted Password Securty All secure Yale stes requre that you logn usng your NetID and password. It s extremely mportant that you keep your NetID password secret. Do not share the password wth frends, famly, or anyone at Yale. Sharng your password s a securty volaton and n drect volaton of the ITS Approprate Use Polcy. A good password should be 8 to 14 characters long and should contan numbers and both uppercase and lowercase letters. Never use a word that can be found n a dctonary. Do not use the same password for your NetID and for other onlne web stes and e-mal servces. ITS recommends that students change ther NetID passwords at least once every two months.
