5 Communication Standards 2.1 Standards s sent from employees represent the school district. As an educational institution, s from employees should be error-free and have proper capitalization, punctuation, and grammar. Complete sentences are expected and Text messaging-type abbreviations should not be used. Only a district approved address (ending should be used for official communication (not for Personal addresses are not allowed to communicate with parents, students, staff, and the community, when used in a district or school related capacity. Expectations Respond to s within 24 hours, even if just an acknowlegement of receipt. Make sure your font is easy to read and in a dark color, preferably black. Recommended font is Tahoma, size 10. When sending to multiple addresses outside the district, use the blind copy field (BC). Personal addresses of staff, parents, students, and the community are private data and cannot be shared with others. When replying to an , include the message thread. Instead of creating a new message, simply reply to the message. Employees are responsible for acknowledging the tone in as well as ensuring is grammatically correct. Do not use backgrounds or wallpaper in . This makes it difficult for people to read. Backgrounds can cause issues in opening the on different systems and increase the file size, which burdens the network. 6 2.2 Telephone Standards Respond to voic messages within 24 hours. Have and keep your voic greeting current. Classroom teachers refer parents to main school office phone numbers. Classroom numbers are not to be shared with parents and community. Phone calls into classroom from the main office will be kept to urgent or immediate matters only during the instructional day. Answering Main Office Lines Main office phones will be answered within three rings with a standard greeting that includes the school/department name and the first name of the person answering the call. Examples: Thank you for calling the Spring Lake Park School District, this is John. How may I help you? Main Office Voic Voic will be updated as frequently as needed as hours change, office is closed for MEA, spring break, the summer, etc. Voic should have a standard greeting that includes the school/department name, hours, and a phone number of who to contact if caller needs immediate assistance. Example Thank you for calling Westwood Middle School. Our office hours are XXXX, but please leave a message and we will get back to you as soon as possible. If you need to reach transportation, please call XXX. If you need immediate assistance and you are calling during business hours, please call the District Services Center at **All letterhead, fax cover sheets, and newsletters can be found in the T Drive under Make Your Mark: Standards of Excellence. 2.3 Thank You Notes The use of Thank You notes is strongly encouraged. The district has provided several versions for your use by going to Make Your Mark: Standard of Excellence on the District T Share Drive, or consider making your own. 2.4 Newsletter Standards Tips for weekly school newsletters: Utilize two page newsletters when using a lot of content. Its better to have two pages with more pictures than all the content crammed onto one page. Use kid or school pictures rather than clipart when possible. Use the template headings and text boxes, they are set to use the district font and colors so you don t have to format them. 2.5 Photography The use of photographs is recommended to add interest and break up large blocks of text. Photos should reflect the diversity (gender, ethnicity, ages, and varying abilities) of the students and staff in the District. Individual Outbound voic greetings will: state the department/school, class/program, and staff name include brief information about staff hours (if not full time) offer an option to reach someone else if needed Example: Hi you ve reached Jill Smith, Nurse at Woodcrest Elementary School. I am not available to take your call right now, but please leave a message and I will get back to you as soon as I can. If you need immediate assistance, please dial 0 and someone will be able to assist you. Thank you again for calling Woodcrest Elementary. 4
7 Branding Standards 3.1 Logo The approved District logo is the tree with the children playing with Spring Lake Park Schools to the right or below. The acceptable color variations are blue, black, and white. Use the logo with the tagline Blaine Spring Lake Park Fridley when at all possible. If it gets too small to read, use the logo without the tagline. *White logos have a transparent background, but examples are shown here with a blue background and layered on a picture. **All logos can be found in the T Drive under Make Your Mark: Standards of Excellence. 3.2 Colors & Font The approved district colors are Spring Lake Park Blue (R=0, G=71, B=127) and Red (R=148, G=54, B=52). To get these colors in Microsoft Word: Go into Color Click on the more colors button A color wheel should appear At the top of the pop-up are different options, click Color Sliders Change the drop-down button to RGB Sliders Enter the following into the RGB: R=0 G=71 B=127 OR R=148 G=54 B=52 You now have the district color! Other district approved logos are: The District font used in the logo, and often in documents, is Neutraface 2 Display & Neutraface 2 Text. You may already have this on your computer, if not contact the Technology Help Desk at **All letterhead, and newsletters can be found in the T Drive under Make Your Mark: Standards of Excellence. 3.3 Letterhead Use Letterheads should be used in formal communication and should be specific to your school or office. 3.4 Fax Cover Sheet Use When sending a fax use a district cover sheet and fill out the appropriate information. 5
