1 Annual Unit Improvement Plan of Activities Prepared by Dr. Daniel Powell Unit No. 4-C Activities Advertise and fill the following full-time teaching positions: English, Math, Music, Biology, Information Technology, Fine/Performing Arts, and others. [Annual Plan 2.1 (2)] Relocate Fine/Performing Arts Faculty offices and instructional activities to the new Center for the Arts. [Annual Plan 2.2 (6)] Continue fundraising campaign of naming opportunities for the Chipola Center for the Arts to 1) Enrich performances, programs, exhibitions and special events. 2) Enhance educational experiences for Chipola College students and those in the Chipola District and beyond. 3) Underwrite annual educational programs that serve more than 6,000 K-12 schoolchildren in the Chipola District who otherwise might not experience the arts. 4) Support facility operations and enhancements. Develop infrastructure to successfully implement marketing/fundraising campaign and improve programming and promotion new Chipola Center for the Arts. Integrate box office and ticketing software such as Vendini to manage patrons and arts constituents in the new Center for the We hired a Director of Technical Theatre, Connie Smith and a Music Instructor, Dale Heidebrecht. 1/3 of our Fine/Performing Arts personnel have relocated offices to the Center for the Arts and 2/3 continue to use the Fine Arts Building offices. Music and Art instruction will continue mostly in the Fine Arts Building and the Center for the Arts will be the primary performing/exhibition space for all the departmental programming. Over $100,000 has been raised and we will continue this campaign for another 2 years. Guidelines will be established for donors and for distribution of funds from this account. In Progress. We have tripled the size of our media list and have tripled our direct mail recruitment campaign to include much surrounding Georgia and Alabama schools. Vendini software has been added and implemented in

2 Arts facility. Integrate marketing software Aweber and Vendini into marketing initiatives, recruitment efforts, and to improve alumni/patron support. the artist series and theatre productions. A strategic plan will be realized to extend this system to all of our ticketed programs. Patron Management Systems and Marketing Systems have been implemented and technology is used to maximize resources. Integrate Patron Management System to improve efficiency A Patron Management System through Vendini is used to link all of our college patrons as well as CRAA and ACT fund patrons. An advanced scanning system tracks patron attendance at events and measures success. This system will also help with patron attrition. Increase arts patrons and supporters through social media marketing and engaging community organizations such as Chipola Regional Arts Association (CRAA) and the Artist Guild or Northwest Florida (TAG). Develop websites for the Chipola Center for the Arts and the Chipola Regional Arts Association (CRAA). Improve website design/content for Chipola s fine and performing arts department In Progress. CRAA and TAG are major cultural assets, but there is much expansion that needs to occur with virtual media. Much use has been made of college media and QR codes have been added to posters for smart phone integration. Many updates have been added to the website and restructured to maximize effectiveness. Google Analytics were used to thoughtfully implement changes and build web presence. Pictures and Video footage are currently collected to significantly improve our website

3 Organize opening gala event for the Chipola Center for the Arts on September 20, Improve the vocal area with the addition of a full-time voice instructor. Continue seeking qualified adjunct instructors to fill departmental needs. Continue seeking grant funding through the Florida Department of State Division of Cultural Affairs State Touring Program and develop strategies to expand granting opportunities. 318 tickets were sold and the event was successful. We hired Dale Heidebrecht. He has effectively recruited for Chamber Chorus and has added a community chorus element to the Fall Ensemble Concert. TWO state touring grants for children programming and artist series were awarded. During the last 15 years, over $48,000 in grant matching dollars have been awarded to this department. Capitalize on free media. (TV, radio, press, , etc.) Media list is significantly expanded Maintain number of courses offered at non-traditional times or in flexible format (Online, Evening, Saturday, late afternoon, early morning, etc.) Require electronic recording of grades through D2L to monitor instructor s/student s progress, especially given the increase of adjuncts Maintain or increase number of participants in music and performing courses (Show Choir, Chamber Chorus, instrumental music, theatre, etc.) There is much progress with this, but there are still a few instructors that need to transition into this system. During the past 10 years, over 600 students attended Chipola College as a declared music, art, or theatre major. Currently, over 25% of students in our programs are not music, art, or theatre majors. Recruit guitar students for applied lessons, guitar class, and guitar ensembles. We have a highly qualified adjunct guitar instructor, Dr. Adam Foster, but very low enrollment for this area. Continue MUSIC THROUGH PERFORMANCE Four recitals a year bring over

4 120 student performances and almost 600 in attendance per year. Attendance has steadily increased over the years. Continue JAZZMATAZZ Last year, more than 80 alumni joined the current show choir ensemble and had four sold out audiences in the old 355 seat theatre. Continue the ARTIST SERIES and work to increase scope Season Ticket Sales tripled to 320. With increased corporate sponsorship, we were able to maintain the Meet the Artist reception for this larger population. During the last 15 years this department has received over $125,000 from CRAA in support Artist Series and just over $48,000 in grant matching funds from the Florida Department of State Division of Cultural Affairs, primarily for the Artist Series. Continue program and financial support of Chipola Regional Arts Association. CRAA has given over $45,000 in scholarships to Chipola Music/Art/Theatre Majors, over $30,000 in mini-grant awards to area teachers, and have built an endowment fund of almost $60,000 for Chipola s Fine and Performing Arts Program, and has given over $125,000 to support the Artist Series. Increase technology in music lab. Continued use Earmaster software and updated 2003 Finale music notation software with 2012 version.

5 Increase faculty/staff attendance at area related conferences and meetings. Develop a departmental mission statement. Present 3 student mainstage theatre productions including Children s Theatre. Also continued Smart Music Software and added another coded entry for increased student access. Personnel involvement with Southeastern Theatre Conference (SETC) and the Florida College System Activity Association (FCSAA). The theatre program produced the following: Noises Off, Hairspray, and Alice in Wonderland. Present 1 fall theatre showcase. The theatre program continued this annual fundraiser to help offset the cost for theatre majors to travel to Atlanta. In partnership with CRAA and TAG, sponsor the SUNDAY AFTERON WITH THE ARTS and seek corporate donors. Provide off-campus faculty/staff development through SPD and departmental funds. In partnership with CRAA, sponsor children programming in the district school systems. This is the 8 th year for this event. It was the only Florida event published in the national publication American Profile and had over 800 in attendance last year. Increased corporate sponsorships have added exhibition awards, live music, catered food, and a free entry fee for artists. SPD funds were not available and no departmental funds could be allocated to these professional development opportunities. Since it began, CRAA has sponsored programming for almost 30,000 school children and this year set a

Investigate requirements for NASM accreditation This will be implemented into our strategic action plan that will be finalized by Spring 2013 Faculty attendance at career fair, District Bandmaster events, Music Symposium and other related festivals for recruitment purposes Expand visibility in greater tri-states area for recruiting Develop a Strategic Action Plan for our department to effectively use the Center for the Arts for our programming needs and department growth. Reorganize/Restructure the Art studio to maximize space and classroom efficiency. Rename the Arts Center to the Chipola Cultural Center and update facility policies and Beyond Develop a Strategic Action Plan for our department to effectively use the Center for the Arts for our programming needs and department growth. This will be realized in the Spring 2013 semester Currently, 1/3 classroom is not utilized and student enrollment must be kept low because se space considerations. Signage and print materials need to be updated to begin branding opportunities. Rental contracts need to be revised and floor reconstruction and other renovation needs to be assessed. 7 Improve public relations of arts programs through engagement of businesses, civic organizations, patrons, and supporters in the Greater Chipola District. Develop initiatives for integration Chipola Center for the Arts facility/arts Programming into the community. Develop Chipola Center for the Arts rental contracts for non-profit/for-profit organizations Develop guidelines for art installation and exhibitions. Continue seeking grant funding through the Florida Department of State Division of Cultural Affairs State Touring Program and develop strategies to expand granting opportunities. Record and maintain a thorough inventory of equipment through cloud-based home inventory software at the Insurance Information Institute ( ) Develop a detailed technical rider for the new Center for the Arts facility that can be referenced for touring productions.
