Admissions Fact Sheets Integration The A to Z Index also displays hyperlinks to all the Fact Sheets which are managed by Admissions. This A to Z Index Manager does not manage these Fact Sheet links. Any changes to Fact Sheet links/information needs to be done by Admissions. University Site Search Auto-Suggestion Integration The website s University Site Search has keywords that display in a menu under the textbox when you start typing in a search phrase. These keywords are the titles for all the URLs that are managed in this Manager. It also includes names of all the students, faculty and staff from the cached Peoplesoft Directories Table in CS-DB database server. The Board of Regents of the University of Wisconsin System Page 1

2 Where to Go Open Internet Explorer or Firefox and go to: and sign into CommonSpot. Add a New Hyperlink 1. Make sure the URL you want to add doesn t already exist. Scroll through the data-sheet list of Existing Links to verify. a. If the URL already exists, maybe you want to add another Title. See section about Editing a Link. b. If the URL doesn t already exist, continue with step At the Manager, scroll to the bottom of the page, you will see the Add New Link form. 3. Overview of the URL/Titles Tab: a. Is Active if you want to show a link on the webpages, check this box. If you want to hide a link from the webpages, uncheck it. b. URL enter the URL to the webpage you want to link to. If it s a local UWS CommonSpot URL, be sure to remove the domain part of the URL. c. Title Fields these are the keywords or short phrases which you want to associate with the destination URL. You have up to 5 titles for a single URL. d. Desc. Fields is an extended description of the title. This is not hyperlinked, but displayed after the title on the page 4. Overview of the Categories Tab: a. By default, ALL links will display in the A to Z Index, but you can also display the link on various Audience Gateway pages: b. Current Students Pages check off all the topics/pages you want to display this link on. These pages are targeted towards current students. c. Faculty/Staff Pages check off all the topics/pages you want to display this link on. These pages are targeted towards faculty and staff d. Misc. 3 5. When finished, click the Submit button to save the Hyperlink to the database. You will then see a message Record Created. Continue >>. Click the Continue >> link, which brings you back to the Manager. 6. At the top of the Manager, you will see the Update Website button. Click this to publish your changes. 7. You will see the message Updating Website. When the website has been updated, this message will go away by itself. 8. Verify that your changes are available on the website. Go to the production server s A to Z Index and any Audience Gateway pages you may have assigned the link to and make sure the link is listed and links to the intended webpage. 4 Edit an Existing Hyperlink 1. At the Manager, scroll through the list of links to find the URL or Title of the link you want to edit, and click the Edit link for that record: 2. This will display the Editor. Make any changes you wish, edit the URL, any titles/descriptions, update any webpage assignments. 3. When finished, click the Submit button. The Editor Dialog will close, the Manager will reload. 4. At the top of the Manager, you will see the Update Website button. Click this to publish your changes. 5. You will see the message Updating Website. When the website has been updated, this message will go away by itself. 6. Verify that your changes are available on the website. Go to the production server s A to Z Index and any Audience Gateway pages you may have assigned the link to and make sure the link is listed and links to the intended webpage. 5 Delete a Hyperlink 1. At the Manager, find the URL of the hyperlink you want to delete and click the X link for it s record. 2. You will be asked to confirm the delete, click the Yes button. 3. The Delete dialog will go away and the Manager will reload. Your link should not be listed in the Manager anymore. 4. At the top of the Manager, you will see the Update Website button. Click this to publish your changes. 5. You will see the message Updating Website. When the website has been updated, this message will go away by itself. 6 6. Verify that your changes are available on the website. Go to the production server s A to Z Index and any Audience Gateway pages which the link had been assigned to and make sure the link is no longer listed. Link Checker Utility There is a utility that you can turn on/off that will show if a hyperlink is valid or not. This helps you quickly see if any target URLs are broken, which then you can either delete the hyperlink or edit the URL to one that works. 1. At the top, right hand corner of the page, there is a link called Turn Link Checker: ON. Click the On link. 2. The Link Checker might take a minute or so to verify all links, please be patient. Once the Manager reloads, a status message will appear next to each URL: 3. Any broken links will be noted with a bold red status message. If a link points to a secure page, such as the status message will return with a Connection The Board of Regents of the University of Wisconsin System Page 6

7 Failure since the Link Checker Utility cannot penetrate the secure layer of the URL. Verify the URL works by clicking the link in the Manager. This will open the targeted URL in a new browser window. The Board of Regents of the University of Wisconsin System Page 7
