2 Introduction Evans Cycles is positioned as the UK s largest quality cycle retailer, providing maximum choice and value to the UK s cycling consumers. The head office and distribution centre in West Sussex houses 300 employees and across the 50 stores nationwide the company employees a further 780. Its head office and distribution centre is located on the Manor Royal Industrial Estate in West Sussex, just south of Gatwick Airport. The site has a large trade counter stocking the products available through Evans Cycles, as well as housing four warehouses which include a dedicated mail order workshop. All head office functions operate from the site and this includes accounts, human resources, customer service, design, marketing, e-commerce and estate management. The sales and customer support call centre is also located in West Sussex. The Challenge Evans Cycles sought a payroll provider that would integrate with their existing HR software and offer a high level of service. The primary motivation for changing the payroll system was to substantially reduce the amount of errors being made during the running of payroll each month. Reducing the amount of erroneous data would save time and allow the payroll team to focus on value added activities. amount of time being spent going back and forth to check data and add a new level of efficiency to the payroll process. Evans Cycles was determined to find a supplier who could offer high levels of support when sorting through the bad data held on the systems. It was also essential that the supplier understood the need for an up-to-date system in order to simplify the process as much as possible for the payroll team. A further objective for Evans Cycles was to have access to live payroll data. This would significantly reduce the

3 The Implementation After a thorough tendering process, Evans Cycles selected ADP for its ADP freedom software and service solution. Hazel Oldfield-Bevon, Payroll Assistant at Evans Cycles, says: Our previous use of ADP HR.net gave us confidence that the account team would offer an unbeatable service. Our previous software left us with a lot of errors and ADP was able to demonstrate that transitioning to ADP freedom would eradicate these errors. The ability for us to link the ADP HR.net system with the new payroll solution was a huge benefit for us. Hazel adds: The support that we had during implementation was spot-on and the ADP team was on board throughout to help us through the difficult process of sorting through the bad data. Another challenge came when we paid our staff early in December, which resulted in a shorter payroll cycle than in other months of the year, yet the training and assistance offered by ADP was fantastic.

4 The Outcome The first significant benefit of the partnership with ADP has been the peace of mind afforded to the payroll team at Evans Cycles. Hazel says: We are now seeing the results of all information that we input into the system straight away, which allows us to spot any errors much earlier on in the process. The constant access to up-to-date important employee data allows us to be fully confident that the information we input results in our employees being paid correctly, and this has saved the payroll team a huge amount of time each month. The relationship that Evans Cycles has with ADP continues to strengthen, as Hazel explains: We have a great relationship with our account team and there is always someone on hand to answer any questions that we might have. This solid and trusting relationship is key to the success of the solutions and we are looking forward to April when we will be rolling out the self-service functionality across the company. Tina Lardent, Evans Cycles Human Resources Manager adds: With our previous solution we did not have access to payroll information, which led to various errors being made and we were having to go backwards and forwards with queries. We are now able to see and change things on the live payroll system, making these critical processes much more efficient and accurate.
