3 Introduction All ECE students are required to complete three placements over the course of their diploma. Many of the preparation processes are the same for local and non-local students, but there are a few key differences in preparing for placement as a distance education student. General Information Please keep in mind that all placements are done during full-time working hours; this applies to both full-time and part-time students. Students will need to determine the schedule for practice teaching placements well in advance to make arrangements to be available for that period of time. In order to be eligible for practice teaching placements, students must clear ParaMed prior to the posted deadline. Please note, deadlines are posted on the ECE placement pages, as well as provided to students via announcements in course Blackboards. Students are responsible for ensuring that they submit all documentation, allowing for ample time in which to be cleared extensions will not be given. Students are required to verify that their documentation is up to date prior to each placement. All documentation must be valid for the duration of each placement and must not expire before the final placement day. Distance Education Students In addition to completing the ParaMed process, distance education students are required to complete an online Placement Request Form. Students are expected to identify three potential placement agencies in their local area and provide this to the Placement Coordinator. The PC will connect with these agencies to secure a placement for you. Once arranged, the student will be connected with a Faculty Advisor from the College who will provide support to the student via and telephone and conduct evaluations for the mid- term and final through telephone contact with the student and agency. Important Note Completing the documentation can be a complicated process and students should start the preparations now! It may take 8 12 weeks to complete all placement requirements. If your documentation is not complete and/or you are not cleared for placement by the program deadline, you will have to wait for the following semester before you can register again. There are no exceptions. This can delay your progression in completing your program and graduating and may result in you incurring additional fees. 2
4 Getting Started: ParaMed Process In order to obtain clearance for your practice teaching field placement, please follow the steps below. NOTE: You are responsible for the costs associated with the non medical requirements, immunizations and the services of ParaMed. 1 Print your Clinical Medical and Non-Medical Requirements Form (hereafter referred to as the form ) You will need to complete all of the requirements at the same time. Do not wait to complete just the medical requirements and then move on to the non medical. 2 Track your progress using the checklist The last page of the form is a documentation checklist; use this page to track your progress as you prepare for your placement. 3 Make an appointment with a health care provider You can make an appointment with your healthcare provider (physician or nurse practitioner) to complete the medical section of the form. If you do not have a primary health care provider, please visit a local walk-in clinic. Note: You will need to provide your immunization records. Students are responsible for any costs associated with the immunization. MMR TB Screening Varicella Tetanus/Diptheria PPertussis Polio Hepatitis B Influenza 4 Ensure you have completed all documentation prior to your appointment It is important to note that each time you book an appointment with ParaMed there is a fee, so to ensure that you don t pay additional fees be prepared with complete information. Do not book your appointment until you are certain your documentation is complete. Section A Section B Section C non- Section D non- medical CPR Level C Standard First Aid Mask Fit Testing* NVCPI* Emergency First Aid* Vulnerable Sector Police Check medical Student Agreement *Please note the Mask Fit Testing, Emergency First Aid and NVCPI training are not required for ECE students 5 Make an appointment with ParaMed You can book your appointment online or by contacting ParaMed at: Phone: / Fax: Hours: Mon-Fri 9:00am-4:30pm If you reside outside of the Ottawa Capital Region, you will send in your documents by fax to ParaMed and book a telephone appointment with them. Please note that your payment can only be made by Visa or MasterCard. 3
5 6 Attend your appointment For telephone appointments, please make sure you have sent all your documents by fax, at least three (3) days prior to your appointment. 7 Obtain clearance for placement Once your documentation is submitted and approved, you will be cleared for placement. You can check your clearance status online using your student number and password. If you are not cleared for placement, you will be provided with a deficiency listing of the outstanding items you need to complete or correct. Once you ve completed all of the items on your deficiency list, you ll need to book a second appointment with a ParaMed Nurse to review these items. For this second appointment you must bring: The Deficiency List Updated Clinical Medical and Non-Medical Requirements Form Required documents of proof This appointment will be at an additional charge. The current rate for additional appointments is posted on the ParaMed website. 4
6 Next Steps: Placement Request Form In addition to completing the ParaMed documentation, distance education students are required to complete the Student Placement Information Form. It is suggested that students complete the form as early as possible in order to increase the likelihood of securing a placement at their preferred agencies. Distance Education Process Student Identify 3 local agencies you would like to be placed with Complete the placement form online Note: you will require the name, address and contact info for each agency Placement Coordinator Contact the agencies in order of student preference Secure student placement Contact student to confirm details Placement Supervisor Provide support to the student via and telephone throughout placement Conduct mid-term and final evaluations through telephone contact with the student and agency Please remember you should be completing your ParaMed clearance throughout this process; it is up to the student to clear ParaMed in time for their placements. 5

8 F Frequently Asked Questions General FAQs Why do I need to make an appointment with Algonquin College Health Services or my healthcare provider? Section A of the form covers all the medical requirements as outlined by your academic facility and your field placement facility/organization. It is your health care provider s responsibility to complete and sign all the areas on section A where it requires his/her signature. These are the shaded areas. While they will guide you through what will be required from you in the process, it will be your responsibility to make sure, the health care provider completes all the shaded areas required and provide you with the proof of the identified immunizations and blood test results. Why the rush for getting this done so quickly? Completing this section could take from 8 weeks. The non medical requirements could take longer than that. What if I don t have a primary health care provider (Physician or Nurse Practioner)? If you are in the Ottawa Capital Region there is no problem. You can go to Algonquin College Health Services. If you are outside the Ottawa Capital Region please visit a local walk-in clinic. Which section does Algonquin College Health Services or the health care provider complete? All of the areas within section A require his/her signature. What if my current non medical requirements expire before my field placement? You are responsible for making sure your non medical requirements are valid for the duration of your placement. How do I get a letter from the college to obtain a Vulnerable Sectors Police Records Check? Some districts will require a letter from the college indicating why you require a VSPRC. If you require a letter, please ccol_fieldplacement@algonquincollege.com. Go to the appointment you v e set with Algonquin College Health Services or your health care provider There is a requirement in section A, which Algonquin College Health Services or my health care provider says that I don t really need? Not true. It will be your responsibility to impress upon the health care provider that if you don t have this, you cannot be cleared for field placement and would not be able to participate in this mandatory program course. Other than the completed form what other documentation might I be leaving with, from Algonquin College Health Services or my health care provider s office? At the end of your visits, you may need proof of blood lab results. Check over the requirements in section A to make sure. If you had blood taken, you will need results. Make sure you also keep your yellow 7
9 immunization card and/or municipal/regional health unit documentation that denote record of your immunization history. Checking over all the documents and gathering the records of proof There are some things I can t complete on the checklist? Please contact your program coordinator at shreit@algonquincollege.com. Booking your appointment with ParaMed How can I pay for my appointment? You can pay with VISA, Debit or Cash. The current rates are posted on the ParaMed website. If you bring a parent credit card, you will need written permission. What if I need to cancel my appointment? Not a problem, as long as it s not within 24 hours of your appointment. If you need to cancel and its less than 24 hours to your appointment, you will be charged. The current rate for appointment cancellations is posted on the ParaMed website. What if I miss my appointment? If you miss a scheduled appointment, you will be required to pay. The current rate for missed appointments is posted on the ParaMed website. What happens at the ParaMed appointment? A Registered Nurse will review all your submitted documents and will determine your clearance for field placement. This appointment takes up to 15 minutes. What if I forgot to bring some of my documentation to the appointment? All documentation must be submitted at the time of your appointment. You will not be permitted to send in documentation via courier, post or fax after your appointment. 8
10 Appendix: International Placements Students completing placements outside of Canada must comply with the medical and non-medical requirements of their placement agency. Students are advised to complete their placements at International Schools when possible, as placements must be completed and assessed in English. The Program Coordinator will be available to provide support throughout the process, but international students are required to find their own placement agencies.
