1 Two Week Summer Workshops for Year Olds 2015 Central Saint Martins and the Royal Hospital School Residential summer courses for artistic Year Olds Central Saint Martins, Ardmore and the Royal Hospital School The following information is for students who are attending: Art & Design Workshop (13-15 or year olds) Fashion Design and Styling Workshop (13-15 or year olds) Fashion Design and Draping Workshop (13 16 year olds) Fashion Styling and Making Workshop (13 15 year olds) Introduction Central Saint Martins have created a range of practical summer courses for enthusiastic young students interested in improving their skills and developing their portfolios. The courses take place at Royal Hospital School, which is a leading independent co-educational boarding and day school in East Anglia. While you are at the Royal Hospital School you will be under the pastoral supervision of Ardmore, a company with over 30 years experience in young learner care the first language school to be awarded the Child Safe Gold Accreditation for Child Safety ( For further information about the Royal Hospital School facilities, please visit the website: Royal Hospital School is a vast campus with other educational programmes taking place in the campus at the same time. Central Saint Martins students will have their own separate dedicated dorms, activities, excursions and meal times. Arrival and Departure Information Arrivals: Students are encouraged whenever possible to plan on arriving between 11am and 6pm. The evening meal will be served at 6pm and a welcome presentation will take place afterwards introducing the UAL and Ardmore Staff, Programme and Rules of the centre. Departures: It is best to leave after breakfast and before 12 noon. Session 1 Students should arrive on Sunday 28 June and depart on Saturday 11 July Session 2 Students should arrive on Sunday 12 July and depart on Saturday 25 July Session 3 Students should arrive on Sunday 26 July and depart on Saturday 8 August Session 4 Students should arrive on Sunday 9 August and depart on Saturday 22 August 1

From the A14 take the exit signposted A137 towards Ipswich. At the roundabout you will see a sign to The Royal Hospital School which will direct you under the Orwell Bridge on the B1456 from which take a right on to the B1080 through the village of Holbrook and onwards to the School. From the A12 take the exit for the B1070 towards East Bergholt and continue towards Manningtree where a sign to The Royal Hospital School will direct you from the roundabout on the A137 towards Ipswich. From the A137 turn right towards Stutton, passing through the village and onwards to the School. The nearest train stations are at Ipswich and Manningtree and taxis are readily available from both these stations. (Please see following section Independent Travel for more information on taxis from these stations) 2

You must go to the Jericho Hall for registration. Airport and Train Transfers Information for booking an airport transfer can be found on the Airport Transfer Booking Form. This service is provided by Ardmore (Royal Hospital School) from all London airports and train stations. Once booked, we will provide you with a Letter of Permission document as evidence to the airline that the minor is being collected at the arrival airport by a nominated adult. Please note that we also offer our service at St Pancras International station for Eurostar arrivals and also at Ipswich train station, should the student wish to travel to the Royal Hospital School independently. Ipswich train station is the closest train station to the Royal Hospital School. One-way transfer rates are as follows: Heathrow - 140, Gatwick - 140, Luton - 110, Stansted - 110, Southend- 130 and St Pancras Please note that other locations are available upon request. Up to 2 passengers can share a taxi transfer and share the cost. A third person can share the transfer but a 35 supplement will be payable to arrange a larger vehicle. If you would like to book an airport transfer then please send the airport transfer booking form to the Central Saint Martins Short Course administration team residential@csm.arts.ac.uk Please note that the deadline for booking an airport transfer is 1 month before the arrival date. 4 Independent Travel If you plan on taking the train from Central London, please note that trains to Ipswich leave from London Liverpool Street Station. The most up to date train fares and times can be found online: If you arrive to Ipswich via train we advise that you book a taxi transfer from Ipswich station to the Royal Hospital School. The cost is 30 and can be booked by sending us a completed Travel Transfer booking form Insurance Students that book their course through Central Saint Martins Short Course Office directly should be aware that students will be required to have their own insurance policy in place. Timetable (Weekdays) Activities: All activities will be optional and students can choose what they would like to attend. Free Time, Social Network, Talent Show, Disco, Arts&Crafts, Swimming etc. In addition to the meal times there will also be a tuck shop run by the staff and/or students for other snacks. Please note that Wednesday and Saturday are full-day excursions and that Sunday is an activity/leaving day. Pastoral Support Staff While you are at the Royal Hospital School you will be under the pastoral supervision of Ardmore, a company with over 30 years experience in young learner care. There will be staff available during the day and night and you will be given a 24-hour emergency telephone number. The Pastoral Support Staff will also act as a link between the student and our tutors, particularly if there are any difficulties with language or project-work. Your supervision will be During lessons: 1 UAL tutor per 16 students During activities: 1 Ardmore Activity leader per 20 students During excursions: 1 Ardmore staff member per 20 students plus additional UAL Staff While in the residences: 13 years and over, 1 adult per 15 students UAL Liaison from Ardmore will be available throughout the course. 4

5 Medical Support Sickness If you become sick or have an accident you should report to a member of Ardmore staff, who will assist you. There will be a minimum of two qualified first aiders on duty at any one time. They along with one of the Welfare leaders would accompany any students to the doctors/hospital if required. First Aiders There will be a minimum of two staff members trained in first aid who can be contacted at all times. Disability and Accessibility We welcome students with disabilities. Please let us know when you book your course if you have a disability or any problems with accessibility. Health and Safety Detailed regulations concerning Health and Safety will be explained to all students upon arrival. Students should familiarise themselves with the Health and Safety posters displayed around the school. Fire Precautions As in all schools there is fire alarm system. The fire alarm system is regularly tested and there are regular drills to ensure all students understand the evacuation procedures. Leaving Campus Students are not allowed to leave the school unless accompanied by a member of UAL or Ardmore staff. Excursions are a very important part of the course and all students must take part. Your parent or guardian must give you permission by signing the agreement on the Pre- Arrival Form. Expectations and Rules We expect you to bring to your studies at the Summer School the highest level of commitment and that you will do your best to make good use of your time. You will be expected to attend all classes and activities for which you are signed up. Our aim is to instil a friendly, lively, productive and enjoyable atmosphere on the school campus, in which everyone is safe and feels comfortable and respected. While formal rules will be kept to a minimum, it must be clearly understood that high standards of behaviour will always be expected. Respect must be shown for others (students and adults) on the campus, in behaviour and language. Physical violence, or the threat of violence, must never be used. Theft of any kind will be regarded as a serious offence. Racial or sexual harassment, or bullying of any kind, will not be tolerated. Payment will be charged for any damage that you cause. Serious breaches of the rules may lead to your removal from the Summer School. 5

6 Rules for students We do not allow the drinking of alcohol as it is illegal for under 18 s to drink alcohol in the UK. In England it is illegal for under 18 s to buy cigarettes. Smoking is not permitted on our residential sites. The use of any drug is strictly prohibited. All students must attend all meals, activity and social programmes as well as the excursions. Damage to property and firefighting equipment will not be tolerated. Students who are found causing damage will be charged. Students are not permitted to enter out of bounds areas all of these areas will have clearly visible signs. Students are not allowed to go off campus at any time without permission and should not leave the accommodation block at night. Under no circumstances should students leave the college campus without Ardmore or UAL staff supervision Rooms must be kept tidy to allow cleaners to vacuum and dust. Students must not enter the swimming pool area at any time on their own without Ardmore lifeguards. We expect RESPECT - Students must treat all staff, members of the public and each other with respect at all times. SPEAK ENGLISH Students are expected to try and speak English at all times whether talking to people of the same or different nationalities. NO BULLYING Bullying is the deliberate and / or repeated action of making another person unhappy. Bullying of any nature will not be tolerated and may result in students being sent home at their own expense. INTEGRATION Students are expected to try and integrate with all of the different nationalities and ethnic backgrounds that we have at our centres. Students are also actively encouraged to try and learn as much as possible about the different countries that other students come from. BEDTIME All students are expected to be in their rooms by 10:30pm after evening entertainment and to have lights out and be quiet by 11pm. Money and Valuables We advise students to leave passports and money in the School Office. It is your responsibility to take care of your own valuables, which should be kept, locked in your room. We cannot take responsibility for loss or theft of valuables. Security Ardmore staffs have to complete a full Criminal Records Bureau (CRB) check before employment. Night duty takes place each evening to ensure buildings are secure and all visitors must report to reception or the school office at Collingwood Building. Each boarding house has a warden who lives on site in the event of an emergency. 6

7 Catering The canteen serves a range of breakfasts, lunches and evening meals for students to choose from. The menu will always offer healthy options, and should a student have specific dietary requirements then these can be recorded on the Pre-Arrival Form so that catering staff can be prepared. Activity Programme Activity programme will be flexible and suggestions from students are welcome. Closed activities during the day will take place including: arts & crafts, basketball, dance, soccer, softball, tennis, touch football, ultimate frisbee, volleyball, social network and more. The Royal Hospital School has an indoor heated swimming pool (can only be used when a trained lifeguard is present), tennis courts, playing fields, outdoor basketball and volleyball courts and an indoor sports hall. Students will be able to use the sports facilities during their timetabled activity sessions and free time the daily activities will be closed for all UAL students. Evening entertainments will be open for UAL students to join in which include Talent Shows, Disco, Casino Night, Slumber Part, Movie night and more.. The Common Room The Common Rooms are available to be used at certain times of the day and are located in each of the accommodation blocks with a video room and games room in each. Wi-Fi Access There are Wi-Fi hotspots and Internet access in the classrooms and studios (but not in the bedrooms). Complaints Should you have any problems or complaints you should first direct these to the Pastoral Support Staff who will investigate these for you. You can also contact the School Office, the Short Course Office at Central Saint Martins if you have any concerns. UAL Student UAL Liaison Centre Director Head Office Some suggestions of what students might like to bring with them: If you are not from the UK, it s important to know that the summer in England can be hot or cool, rainy or dry. It s important that you are prepared for any weather! Essentials: Money and a Debit Card (a suggested budget of 200 should be adequate for the two week stay) Medicine will be stored in the office and can be accessed by the students at designated times with the HPC or SWL. Any medication that is required should be clearly labelled with a dosage and number of times to be administered. Towels as towels are not provided. Passport (and Visa documents) if you are coming from outside the UK 7

Expensive mobile phones MP3 players, ipods, etc Laptops Computer consoles Expensive jewellery or watches Credit cards and large amounts of cash Immigration Guidance UK Border Laws require that ALL students who are booked on a Short Course at UAL from outside the EEA (which includes all European Union countries) and Switzerland must have Entry Clearance that allows them to study in the UK. If you require a visa it is your responsibility that you have the correct visa that will allow you to study on your course and it is your responsibility to ensure that you receive your visa in time for starting your course. We will not allow you to join the course if you do not have a visa that allows you to study. If you require a Child Visitor Visa, it is important that you request a Child Visitor Visa letter from the Central Saint Martins Short Course office staff when making your booking. For further information on immigration please read the immigration guidance on our website. PROCEDURES FOR ACCOMPANYING STUDENTS TO HOSPITAL These procedures shall apply without exception to all students In all cases, every effort should be made to contact and inform FGL/parents/guardians of the situation. The student s permission to do this should be obtained, if circumstances permit. If status/condition warrants and it is practicable, FGL/Agent should be requested to attend the designated hospital as soon as possible. The Centre Director & Head Office should be informed that a student is being taken to hospital in order to establish appropriate communications. The person accompanying the student should be kept advised if possible regarding attendance by FGL/Agent/parents. They should be provided with a contact number for Centre Director and Head Office. 8

9 Person accompanying student should stay with the student until: i) The FGL/Agent/parents/guardians arrival ii) The student is admitted to a hospital ward iii) The student is discharged by the hospital The Centre Director should be notified in all the above cases and travel arrangements be ascertained if at all possible. If the learner is discharged by the hospital and no FGL/Agent/parents/guardians are present, Ardmore staff should assist the return of the student to the Ardmore centre It should be noted that all students have the right to discharge themselves from hospital. However if it is felt that this would be detrimental to their health/safety, they should be dissuaded from doing so. If a student does discharge himself or herself despite hospital advice, FGL/Agent/parents/guardian and the Centre Director and Head Office must be notified of their decision. If a vehicle other than an Ambulance is used to transport a Student to hospital, it is not necessary for the driver to be accompanied by a First Aider, unless a First Aider has deemed it appropriate or common sense dictates that the patient s condition obviously warrants accompaniment. In everyday circumstances, the priority responsibility for taking a student to hospital is as follows (as opposed to accompanying students taken by ambulance services). 1. Head of Pastoral Care 2. Senior Welfare Leader 3. Centre Administrator It is a prime responsibility for all members of staff to ensure the well being of students in their charge. It may be appropriate for a qualified First Aider to accompany an injured student. In these situations, please ensure that the Centre Director is also informed. In severe circumstances, the security, well-being and comfort of the student takes precedence over all other centre activities. Frequently Asked Questions (FAQS) Who looks after the students? While you are at the Royal Hospital School you will be under the pastoral supervision of Ardmore, a company with over 25 years experience in young learner care. There will be staff available during the day and night and you will be given a 24-hour emergency telephone number. The Pastoral Support Staff will also act as a link between the student and our tutors, particularly if there are any difficulties with language or project-work. Tutors for the courses are leaders in the field with a passion for providing quality education. Many are also currently working with the University of the Arts on degree programmes or are previous graduates. Each course description page provides a comprehensive tutor biography. Any questions prior to this please call the Short Course office) What happens if a student is unwell? If a student becomes sick or has an accident you should report to a member of Ardmore staff, who will assist you. There will be a minimum of two qualified first aiders on duty at any one time. My Son/Daughter has a medical condition/disability that requires support, can they still attend? We welcome students with disabilities. Please let us know when you book your course if you have a disability or any problems with accessibility. In line with current legislation, we use the term disability to include specific learning difficulties like dyslexia, mental health difficulties, autism, Asperger s syndrome, and other ongoing health conditions. If you have a medical condition that requires some supervision or regular medication please let us know when you book so that we can make the pastoral care team aware. Medicine will be stored in the office and can be accessed by the students at designated times. Any medication that is required should be clearly labeled with a dosage and number of times to be administered. It is important that you let us know on the Pre-Arrival Form about any medical conditions or disability support required. Access to the Pre-Arrival form is available through your course confirmation . How far is it from London? The college is in Suffolk, approximately an hour and a half to two hours journey via car or public transport from central London. The Royal Hospital School, Holbrook, Ipswich, Suffolk, IP9 2RX How do the students get from the airport to the college? Students can arrange for an airport transfer when they book their course or they can arrange their own travel. If you book an airport/station transfer, a member of the Ardmore Staff team wearing a Red Ardmore T-Shirt would be waiting for the student at the arrivals hall, holding a board with the students name on. Where this is not possible we would have a CRB checked Chauffeur that would have a board displaying Ardmore and the student s name. Arranging an airport transfer for Unaccompanied Minors is the preferred option. If you plan on taking the train from Central London, please note that trains to Ipswich leave from London Liverpool Street Station. The most up to date train fares and times can be found online: Please refer to page 3 of this handbook for further information on airport/train station transfer prices. How many students will be in the class? Estimated Group Size: 16 students per class Can we collect our son/daughter at weekends? There are activities and classes scheduled through the weekend as well as the week and parents are advised that (although the student may initially be nervous about staying through the first weekend) it is preferable for students to remain involved with the rest of their class and 10

11 the programme where possible otherwise they may feel they have missed out. Should circumstance arise where a student needs to leave for the weekend (or any other part of the course) this should be arranged in advance by contacting the Central Saint Martins Short Course Office on +44 (0) and/or residential@csm.arts.ac.uk. You will have to provide us with a copy of identification of any named person collecting your child in advance of your visit. This includes any nominated chauffeurs you have arranged. What should students bring with them? For classroom materials, a list of suggested items is included in the course description on the website. For clothing etc, please read page 8 of this handbook. How much money do students need to bring? A suggested budget of 200 should be more than adequate for the two-week stay. What is included in the fee? The course fee is inclusive of VAT and covers: Teaching, most course materials, shared accommodation, Catering (breakfast, lunch and evening meal), indoor swimming pool and gymnasium, Sports ground and tennis courts, computer room, special evening activities and/or weekend excursions. Can I have a course/activity timetable? A course/activity timetable will provided to you in your information pack upon arrival. Checklist Apply for Child Visitor Visa (if you are a student outside the EEA) Send us your Pre-Arrival Form via the link in your confirmation Book your airport transfer (deadline is 1 month before) OR inform us of how you will be arriving to the Royal Hospital School. Arrange insurance Pack your passport and any necessary visa documents Bring enough money and/or Debit Card Pack any essential medicines Pack towels as they are not provided Pack carefully, considering any special requirements you may have (eg contact lenses, power adaptors. See Essentials on page 7 of this handbook) Check the weather forecast for your arrival in London and Ipswich and dress appropriately. Pack your materials for class (see Essentials page 7) 11
