3 OVERVIEW The Tool Tip Manager is a complementary solution CRM Innovation is providing to the CRM Community. The solution works with CRM Online or OnPremise. It is a Managed Solution and can be installed and removed per the standard Microsoft procedures for managed solutions. The product allows the customizer to edit a single attribute s tool tip at a time or using the Export to Excel for Re-import the ability to bulk edit inside of Excel and re-import. The tool tip product can also be used as a documentation aid by creating views and exporting them to CRM for the specific Entity documentation. Currently the application only supports the base language. You cannot put any HTML into the Tool Tip. The person publishing tool tips must have system customizer rights. Note when you publish a tool tip, it will publish all the unpublished customizations for the selected entity. You can only have one tool tip per attribute, they are not form specific. 4 TOOL TIP MANAGER INSTALLATION In Microsoft Dynamics CRM 2013, using the navigation bar go to Settings Solutions and click the Import button. In the pop-up dialog box click the Choose File button and select the Tool Tip Manager file (.zip) and select Next. In the Next dialog page select Next. (Note: This is a MANAGED solution) Make sure that the Enable any SDK message processing step is checked and click the Import button. When the solution import is successfully completed click the Close button CRM Innovation LLC All Rights Reserved Page 4
5 TOOL TIP MANAGER INITIAL SETUP In Microsoft Dynamics CRM 2013, using the navigation bar go to Settings Tool Tip Entities and click the Refresh Tool Tip Entities button. (Note: This process may take a few minutes) The solution has now created Tool Tip Entity records for each Custom/Customizable entity in your CRM system. To create the Tool Tip Attribute records for each Tool Tip Entity, from the grid view of Active Tool Tip Entities click the select all button to select all of the Tool Tip Entity records and click the Refresh Tool Tip Attributes button. (Note: This process may take a few minutes) (Note: There will also likely be more than one page of Tool Tip Entity records so you will need to navigate to the each page of records, select all records, and click the Refresh Tool Tip Attributes button) 2014 CRM Innovation LLC All Rights Reserved Page 5
6 UPDATING TOOL TIP MANAGER AFTER CUSTOMIZING CRM Going forward as you customize your Microsoft Dynamics CRM 2013 instance, adding custom Entities, simply update Tool Tip Manager by clicking the Refresh Tool Tip Entities button from the Active Tool Tip Entities grid view. You will now see a new Tool Tip Entity record for your custom entity (New CRMI Entity in the example below) which you can select and click the Refresh Tool Tip Attributes button to create Tool Tip Attribute records for all of the fields on the new entity. As you add new custom fields to entities in your CRM ystem you can also select any Tool Tip Entity record for which you have added custom fields and click the Refresh Tool Tip Attributes button to create Tool Tip Attribute records for the new fields (Contact in the example below). You may also refresh the Tool Tip Attribute records for any Tool Tip Entity by clicking the Refresh Tool Tip Attribute button on any Tool Tip Entity form. 7 ADDING/EDITING TOOL TIPS Microsoft Dynamics CRM 2013 allows for each field on a form to have a hover over tip displayed: Tool Tip Manager makes adding/editing these tips easy and scalable. Using Tool Tip Manager you can add/edit these tips to any field without needing System Admin/Customizer security roles and in bulk with CRM s Advanced Find and Export To Excel/Re-Import functions. To add/edit the tip for any CRM field simply use the navigation bar and go to Settings Tool Tip Entities and select, from the Open Tool Tip Entities grid view, the Tool Tip Entity record for the CRM entity where the field exists and click Edit (our double click the record to open it) CRM Innovation LLC All Rights Reserved Page 7
8 Find the field for which you would like to add/edit the tip by using the sub-grid or the search box, double click and open the Tool Tip Attribute record CRM Innovation LLC All Rights Reserved Page 8
9 Simply type the tip you d like to appear when the field is hovered over by a user in CRM into the New Description field and click Save. When the record has finished saving you will see your new tip in the Current Description field. When you have finished adding/editing tips to all of the fields for this entity you simply click the Publish button from the Tool Tip Entity form. (Note: This will publish all pending customizations for this entity) 2014 CRM Innovation LLC All Rights Reserved Page 9
10 If you have added/edited tips for fields from multiple entities you may also, from the Active Tool Tip Entities grid view, select the Tool Tip Entity records that contain the fields which you have added tips to and click the Publish button. (Note: This will publish all pending customizations for these entities) When no Tool Tip Entities are selected there is a Publish All button available that can publish all of your tool tip changes but be careful THIS WILL PUBLISH ALL PENDING CRM CUSTOMIZATIONS IN THE SYSTEM. 11 BULK EDIT TOOL TIPS WITH ADVANCED FIND/EXPORT TO EXCEL If you would like to bulk add/edit a number of fields tips you may do so using the CRM features of Advanced Find and Export to Excel. In Microsoft Dynamics CRM 2013, using the navigation bar go to Settings Tool Tip Entities and click the button and select Advanced Find. Create an Advanced Find where the Look For is set to Tool Tip Attributes and the Tool Tip Entity field equals whichever entity (or entities) contains the fields you d like to add/edit tips for in bulk then click the Results button. After the results are displayed click the Export to Excel button CRM Innovation LLC All Rights Reserved Page 11
12 In the dialog box be sure to check the box that allows for the exported data to be re-imported and click the Export button. An.xml file will be created which you can open in MS Excel and add/edit tips for any field by typing in the New Description column. When you are done with your edits simply save the XML Excel file and use the CRM Data Import tool (Settings Data Management Imports) and import the saved file. Return to the Active Tool Tip Entity view, select the entities you have bulk edited and imported and click the Publish button CRM Innovation LLC All Rights Reserved Page 12
