1 POST DOCTORATE FELLOWSHIP PROGRAM GUIDELINES FOR ONLINE APPLICATION LOGIN SCREEN 1) If you have previously applied/created your account for Post Doctoral Fellowship and has received the from HEC. Kindly login by using your existing User ID & password to update your profile and previous application. After pressing the Sing in, system will show the below screen, where you would be required to double click on Create Scholarship Application. 1
2 2) If you are new to the portal than use second portion of the above screen and click the Apply button to create new user profile. In the above screen, Scholarships Type: Use the dropdown option to select (Master/MPhil leading to Phd/Phd) The respective radio button options selects the Local or foreign scholarship type. Select the Foreign Scholarship Radio button for Post Doc Fellowship program. In the third field select the Scholarship Program (i.e. Post Doctoral Fellowship Program Phase-II (Batch-VI)) by clicking the dropdown icon at the end of the field as listed in the screen above and Press APPLY button. 2
3 PERSONAL INFORMATION In the above screen you have the following option. User id: Here you have to write your user id by writing it with the help of keyboard. You can use up to 15 alphanumeric characters. Don t use any special characters as the system will not recognize those Characters. The field is case sensitive. New password: In this field you have to write the new password for your account. Use more than 5 characters and less than 20 characters. Use any alphanumeric and special characters. The field is case sensitive. Confirm Password: In this field you have to write the same password which you have used in the New password field. Please verify that you are using the same password Otherwise you will not be allowed to move to the next screen. Title: In this field select the required option using the dropdown menu at the end of the field. First Name: In this field you have to write your First name using the keyboard. Last Name: In this field you have to write your Last name using the keyboard. 3
4 Father Name: In this field you have to write your Father s complete name. You can give Spaces also. CNIC No: Here you have to give your new NADRA issued computerized CNIC number. Old NIC No: Here you have to give your old NIC number which was with you before NADRA CNIC. You can also find the same at the back of your CNIC card. Gender: Select your gender by using the dropdown menu icon at the end of the field. Date of Birth: It has three fields. Use Day, Month, Year format by using the dropdown menu button at the end of each field. Nationality: In this field you have to select your Nationality with the help of dropdown menu icon. Domicile: In this filed select your Domicile with the help of dropdown menu icon. Marital Status: Select the right option by using the dropdown menu icon. Phone : In this field you have to enter your phone number. The format is already given in the front of the field. Mobile: In this field you have to enter your mobile number. The format is already given in the front of the field. Fax: In this field you have to enter your Fax number. Leave the field blank if you don t have any Fax. This is an important field. As you will get the response of application submission confirmation on this address. So use most frequently your account. 4
5 ADDRESS PORTION. In this Screen you have following fields. Permanent Address: Address: In this field you have to write your permanent address. Remember that in the field you have to write only your House number, Street/Gali number, and Sector/mohallah only, No need to enter, Tehsil/postal city, District, Province, Country in this field, as the option for such information is provided in the respective fields below. The limit of characters to be entered in this field is only 35 characters.above 35 characters the system won t accept your application and shall disable the menu items. Postal Code: In this field write your postal code Country: Use the dropdown menu icon at the end of the field to select the Permanent Residing country to which you belong. Province: Use the dropdown menu button at the end of the field to select your permanent residing province. Always select the country field first as it give option to the province field. Otherwise you are not be able to see the options. 5
6 Permanent city: Use the dropdown menu button at the end of the field to select your permanent residing city. Always select the country field and province field first as it give option to the permanent city field. Otherwise you are not be able to see the options. District: Use the dropdown menu button at the end of the field to select your permanent Residing District. Always select the Country field, Province and City field first as it give option to the District field. Otherwise you are not be able to see the options. Add the current and postal address on the same format as for permanent address 6
7 QUESTIONNAIRE Answer the respective question as per your records using the Answer criterion (YES\ NO) 7
8 EDUCATION Enter your education details starting form SSC level Degree Code: In this field using dropdown menu you will select the degree Code Degree Title: In this field write down your SSC or O-Level certificate Title. For example for SSC you write MATRIC etc. Field of Study: In this field you have to enter the subject group in which you have studied. For example General Science or Arts etc. Division: In this field you have to write down the division which you achieved Country: In this field using dropdown menu select the country from where you have done respective degree School/College/Institute: In this field write down the name of your school/institute University/Other universities: For Bachelor onwards select/add your respective university 8
9 City: Select the city using dropdown menu. Start Date: In this field select the date of beginning degree End Date: In this field select the date of ending of your degree Marks/CGPA: In this field give Marks or cumulative GPA which you obtained. Add Button: After giving all the above information press the add button to get to the next screen where you will add your further educational information. After pressing this button your information will be added to the below table. The information is added row wise Clear button: If you want to clear all the data which you entered you can use this button. VISUAL REPRESENTATION 9
10 WORK EXPERIENCE In this screen you simply have to enter the work experiences. In Organization Type you would be required to enter only one of these options which is relevant to you: 1). Public Sector University, 2) Private Sector University or 3) Public Sector R & D Organization. Use the Add Button to enter more than one work experience. Field is self explanatory and information is saved row wise 10
11 POST DOCTORATE RESEARCH In this Screen you have to enter your Doctorate Research information. Major Discipline Research: Simply click the Dropdown Icon at the end of the field and select the appropriate item. Subject of Study: This field is the sub field of Major Discipline research field. Use the same dropdown menu icon to select the appropriate item. Field of study You have to enter the information by yourself using keyboard. Please note then don t enter more than 12 characters.. Host country Enter the host country information Host Institute/university/ Other University Enter the host Institute/university and Other University(where applicable) information Host Department Enter the host department information (e.g. Chemistry, Engineering) Supervisor Information Enter the supervisor information The last two fields are available in entry mode for entering the required detail, whereas no need to fill data in third blank field. 11
12 PUBLICATIONS Enter numeric values only for your publications as in the given screen. After the process is complete, use the next button to navigate to the next screen, system will show pop up window about the updating of publication records, click this [ ] button which will lead you to next input screen. ALREADY AVAILED POST DOC FELLOWSHIP/PHD Scholarship/IRSIP Enter the Information in the respective fields as displayed in the visual representation and press Add button to save the record. 12
13 APPLICATION SUBMISSION After filling all relevant information kindly verify the entered data by pressing previous button available on the screen to reach the desired data screen and verify data or simply logout and re login and use up date/track scholarship allocation option available in main menu. After verify, If data provided is correct, check the I Accept button and Submit your application. After submitting you shall receive respective acknowledgements regarding your application status. After submission the application is only available in display mode and no changes can be made in the submitted application. The print out of the application can be taken from the main menu at the initial screen by using the user id and password which already forwarded to your which was created during the initial profile. 13
14 EXAMPLE VISUAL REPRESENTATION FOR PRINTING THE ONLINE APPLICATION The online application is in.pdf format and shall be printed using the default printer installed on your computer and must be sent to HEC along with required documents as listed. Otherwise your application would not be considered.
