RULES AND REGULATIONS 1. ABSENCE A student who misses any lectures, practical, continuous Assessment Test, Examinations etc. due to illness must inform in writing the lecturer concerned, the chairman of department and the Dean of the school of such absence as soon as is feasibly possible 2. NOMINAL ROLL The Nominal roll is a record of students registered in each degree/diploma/certificate programme every semester /year.it gives important details on the student as well as recording the progress of the student from semester to semester (and yearly).it is important for every student to ensure that he/she signs the nominal roll in the School s Deans office at the beginning of each semesterand to ensure that the information given in the nominal roll is correct and up to date. 3. COURSE /SUBJECT REGISTRATION Every student is required to register for the courses / subjects he/she will undertake by filling in the unit registration form at the Deans Office at the beginning of every semester (first three weeks).the student must ensure that the registration is complete by having the form approved and signed by the chairman of department where the courses are to be offered and the Deans of the respective schools. When registering for the courses the students have to ensure that the

2 correct courses and the course codes are used and that the form is returned to the Dean s office promptly. 4. TEMPORARY WITHDRAWAL if for any reason a student who is already registered has to leave for a particular period the student will be required to apply to the academic registrar for temporary withdrawal.all applications must be endorsed by the Dean of school of Hospitality and Tourism and must state the reasons for and duration of such withdrawal. Any student who withdraws from a course without seeking appropriate authority will be deemed to have absconded and will therefore be de-registered from the course. 5. ORDER OF NAMES The names used during the application for admission as indicated in the admission form will be used as the official name. This name should be the one appearing in your ID/Passport and will reflect in the following order: Surname: Fist name Middle name e.g Kamau Ann Wanjiru At the end of the course this name will be rearranged and will appear in your degree/diploma/certificte in the order of : First name Middle name Surname e.g Ann Wanjiru Kamau 6. REGISTRATION a) Candidates shall be required to register within the first three weeks of the semester. b) No registration of candidates shall be allowed after the third week of the semester unless approved by the university. 7. ORDINARY EXAMINATIONS a) All units shall be examined during the semester in which they are taken. Such examinations shall be named Ordinary University Examinations. b) Examinations shall consist of Continuous Assessment Tests and Ordinary University Examinations.

3 c) Continuous Assessment shall normally comprise written tests and assignments. Continuous assessments shall contribute 30% of the total marks and written Ordinary University Examinations shall contribute 70% of the total marks. Where a unit consists solely of practical work, it shall be assessed out of 100% by Continuous Assessment. d) A candidate who has not completed two thirds of the course work for any unit shall have his/her Ordinary University Examination results nullified and shall be deemed to have failed in the unit with a total mark of zero. e) The Ordinary University Examinations shall consist of written tests covering each unit completed. The time allowed shall be 2 hours per unit. f) Each unit shall be graded out of 100 marks and the pass mark shall be 40%. The marks shall be translated into grades as follows: A: 70%andabove B: 60 % to 69% C: 50%to59% D: 40%to49% F: 39% and below (Fail) g) A candidate who absents himself/herself from a University Examination (Ordinary, Supplementary, and Special) for any unit shall be deemed to have failed in the unit with a total mark of zero. A student who experience problems which is likely to affect his/ her examination performance( i.e sickness, bereavement etc) must report such problems in writing to the chairman of the department offering the courses the student is taking and to the Dean of the school. Any problem that is reported after the examination results are known will not be acceptable for examination appeals. h) Attachment shall be assessed and graded on a PASS and FAIL basis. A candidate who fails to satisfy the requirements of the Board of School of Hospitality and Tourism Examiners shall be required to repeat the attachment. A candidate is allowed to repeat attachment only once. i) Attendance of 80% of class work is expected from all students taking the course, failure to do so results to one not being allowed to do the end of semester examinations.

4 j) Every student who is registered for university examination must be issued with an examination card. This card must be produced at each examination sitting. k) Lateness to examination venues will not be tolerated and no student will be allowed to enter an examination 30 minutes after the start of an examination. 8. PROGRESSION Unless exempted, a candidate must pass all the course units offered in the first academic year in order to register for course units offered in the second academic year. 9. SUPPLEMENTARY EXAMINATIONS a) Any examination in a unit taken by a candidate as a result of failing the unit at first attempt is a supplementary examination b) A candidate who fails up to a maximum of four units in any academic year shall be allowed to sit supplementary exams. c) Supplementary examinations shall be offered at the end of the academic year after Ordinary University Examinations have been processed by the Senate. d) The maximum marks in supplementary examinations shall be 40% and shall not include continuous assessment marks. e) Those who fail to sit for supplementary with no good reason will be deregistered. 10. SPECIAL EXAMINATIONS a) If for some good cause a candidate is unable to sit for one or more course unit examination(s), he/she may, on the recommendation of the School of Hospitality and Tourism Management, and with the approval of the University College Board, be permitted to take special examinations. b) Special examinations shall be marked out of 100% including continuous assessment. 11. REPEAT a) A candidate who fails five (5) course units in an academic year shall repeat the failed units externally but shall be deemed to have repeated the year. b) A candidate who fails in any supplementary examination shall repeat the failed course units externally and shall be deemed to have repeated the year. She/he shall be required to retake the examination(s) only in the failed unit(s) during the next time the unit(s) is/are offered at the Ordinary examination.

DISCONTINUATION a) A candidate who fails supplementary examination in a repeated unit shall be discontinued. b) A candidate who fails six (6) or more units in any academic year shall be discontinued from the programme. c) No candidate shall be allowed to repeat any year more than once. 13. APPEAL FOR RE-MARKING a) A candidate who is not satisfied with the grade, which he/she has been awarded in any unit, may appeal to the Registrar (Academic) for a re-marking of the written examination paper in that unit on payment of the appropriate fee, which the University College academic Board shall determine from time to time. b) The grade and mark recommended by the examiner(s) after remarking shall be the final grade and mark awarded to the candidate for the unit. c) No appeal for re-marking of any unit shall be entertained in cases where the appeal has been submitted later than one month after the candidate has been notified of the result. 14. DEREGISTRATION A candidate who qualifies to register for any semester but fails to register by the end of the third week of the semester shall be assumed to have deserted the course and shall be deregistered. 15. DEFERMENT / WITHDRAWAL a) Subject to the approval of university senate, a newly admitted student who for some good reasons is unable to register in first year may be allowed to defer his/her admission for a maximum of two (2) academic years. b) Subject to the approval of the University Senate, a continuing student who for some good reason is unable to register in any year of study may be allowed to stay out of the University for a Maximum of two (2) academic years. c) Subject to the approval of the Senate, a student who has registered and who for good reason is unable to complete the course work for any year may be permitted to register

6 for the same year as readmitted students at the start of the following year or the year of study immediately thereafter. 16. EXAMINATION IRREGULARITIES A candidate who is found guilty of any irregularities during any continuous assessment or University examination shall be subjected to the appropriate penalties as detailed in the University Examination Regulations. 17. SUPERVISION OF PROJECT a) A candidate who fails to submit a research project within the stipulated time shall be deemed to have failed. b) A candidate who is allowed to submit the research project after the stipulated time will submit it within three (3) months as a supplementary examination and it will be marked out of 100 but the maximum marks shall be 40%. 18. CLASSIFICATION a) A candidate who qualifies for the award of the diploma shall be placed in one of the three classes namely Distinction, Credit and Pass. b) The final classification shall be based on the minimum number of required units taken during the period of study. c) The diploma classification shall be graded as follows: Distinction 70% and above Credit 55% to 69% Pass 40% to 54% Fail 39% and below d) A candidate who has repeated a year shall be awarded a Diploma with a Pass.

SH&T DIP 17: RELEASE OF RESULTS Notwithstanding any of the regulations above, registration of a candidate in the School of Hospitality and Tourism Management and the release of examination results and the awarding of the diploma shall be subject to the candidate fulfilling all the University Regulations. 20. AWARDS To be considered for the award of a Degree/Diploma / Certificate a candidate must have taken and passed in all units including the project work and attachment.
