1 NEW COUNSELOR TRAINING: ACADEMIC ADVISING FAll 2012 SESSION 1 Overview of Training 1. Content: the basics that all counselors must know. We will focus on the fundamentals, not all the tricky exceptions and complicated cases. 2. Utilize key documents. Always ask, where is that written? Don t guess, and don t rely on oral history. Improve your research skills. 3. Homework and practice exercises. 4. Lots of sharing. Lots of questions. 5. There is a lot more to community college counseling than just Academic Advising; but Academic Advising will be the focus of this training. [Not covered in this training: placement testing; basic skills & ESL students; probation status; student athletes; special transfer issues; international students & transcripts; career counseling; personal & crisis counseling; datatel counselor screens & SARS; etc.) 6. This training is about Ohlone College only; information may vary at other CCC s, but 80% will be the same at other CCC s. Confirm training dates/times. HOW TO COMPLETE AN SEP (HANDOUT) DEMO SEP FOR STUDENT BELOW: Due 10/4 Sergio wants to get an AA degree in Broadcasting. He has been placed into English 151A and 162, and Math 152/153/155. He had been working full time but is going to work only 15 hours per week and wants to go to Ohlone full time. Complete an SEP. 4. Practice Exercises & Homework: Read Chapter 4 in Ohlone Catalog: Fees & Refunds (Learning objective: know where to find specific information in this chapter; do not need to memorize everything.) Complete and SEP for the following students (AA degree) 1. Mei wants an AA degree in Entertainment Design and Technology. She placed into English 151A and English 163, and Math 191 (Due 10/11) [Check units, prerequisites/advisories, and include Major AND Option course; after completing SEP, double check Steps for Completing SEP ]

Definition: Transfer Student Upper Division vs. Lower Division transfer 70 unit limit for UC & CSU: How to explain this benefits a student Minimum Requirements for CSU Upper Division Transfer (focus on this) CSU units (minimum) gpa (or higher); 2.4 for non-ca residents 3. Golden 4: Area A and B4 4. At least 30 units from CSU GE w/c or better grades Steps to develop SEP for CSU or UC Transfer student (with Associate Degree): [This is a slight variation of the Basic Steps to Develop SEP.] 1. Determine how many units the student should enroll in each semester 2. Start with English, Speech & Math (fill in each semester until all English & Math from CSU-GE or IGETC, and ASSIST are completed) 3. Next, put in all courses for major (from ASSIST) 4. Next, make sure there is at least 30 units for CSU GE or UC Minimum Admissions Requirements 5. Go back and include any other courses needed for CSU-GE or IGETC to make 60 total transferable units. 6. If a student wants an Associate Degree: go back and add any courses required for an Associate Degree (for most students, this should be the last step). The most common major for MOST transfer students are the General majors (Business/General Focus, Fine Arts, Humanities, Liberal Arts, Natural Science), or Human Development Studies. (Students usually need at least 3.8 GPA to get into UCB and UCLA in psychology.)

Remember 1) Complete the SEP for the hardest goal, then go back and fill in courses needed for the next hardest goal, then go back to fill in courses for the easiest goal. 2) When completing the plan for the hardest goal, start with English and Math, then major, then minimum requirements, then GE if appropriate. 16 STUDENTS WITH FOREIGN COURSEWORK UC/CSU 1. Universities do their own evaluations; they do not use Evaluation Services. 2. Foreign Bachelors degrees are usually acceptable at US universities for graduate school. (Students may need to complete some undergraduate major prep.) i. Bachelor s degree usually must be done after 12 years of primary/secondary school. (In some countries students graduate high school after 10 th grade, then go on to a 4-year Bachelors Degree. These are usually not acceptable and may be considered equivalent to a US Associate Degree.) ii. In some countries a bachelors degree is a 3-year degree; these are usually not considered equivalent to a US Bachelors degree; but the units could be transferable to a UC/CSU. iii. Refer students to universities for advising. For CSU s the students should apply first ($55) then contact CSU evaluator. For UC s contact Foreign Transcript Evaluators at specific campus. 3. No foreign course work can be used for IGETC (except foreign language requirement. 4. Issues i. Does the student need TOEFL? (For CSU, see specific Catalog) (For UC, see ETS Q&A) ii. For UC, has student gone over maximum units? (See ETS Q&A and UC Counselor Conference, Advising Students with International Records) Extra CSU Transfer SEP s 1. Ming wants to transfer to CSU East Bay and major in psychology. He placed into English 151B and 163, and Math 151. He is working 20 hours per week. Complete an SEP if he wants to transfer ASAP. She is interested in an AA degree but only if it doesn t add additional course work to her SEP. 2. Mandy wants to transfer to SJSU and major in Electrical Engineering. She wants to complete as many courses as she can before transferring. She is not working. She placed into English 151A, 163 and Math 181. ECS SEP s
17 1. Maryann wants to finish her AA degree in ECS. She is working in a preschool 20 hours per week. After she finishes her AA degree she wants to transfer to SJSU in Child Development. She needs to start with Math 190, English 151B & 163. After she finishes her AA degree she wants to transfer to SJSU in Child Development. (See Transcript) 2. UC Davis major in Biological Science. Placed into English 151B/163 & Math 152. Not working. No AA degree. 3. UC Berkeley, Psych major Placed into English 101A, Math 151. Not working. Wants AA degree. 4. UCSC, Business Econ.
