1 FLORIDA TRIP INTENT LETTER Band Registration & Deposits Dear Band Parents, January 11, 2018 The Green High School Marching Band will be traveling to Disney World in Florida next year from November 20 th -26 th Our Green Band Booster Organization has approved Nowak Tour & Travel to collect all deposits associated with our band s trip to Florida in The total cost of the trip will be $1382 spread out over three payments. Attached to this letter is a payment schedule and information how to register with the travel agent. Please keep in mind that this cost may change depending on the total amount of students who decide to go on the trip. If the cost goes down the final payment will be less. Because of the timing of our trip we are asking for the first deposit of $125 to be returned to the travel agent and a student registration form be turned in to the band directors by February 14 th This process will help us begin tabulating names and numbers of students interested in participating on this trip as well as securing chaperones. The band will be departing for Florida on Tuesday, November 20 th, 2018, and returning Monday evening, November 26th. We will be requesting a performance on November 23 rd but Disney determines the performance time and location. As in the past, the trip is optional and all band members, (marching and concert) are permitted to participate if they desire. Please complete the registration form, turn it in to the band directors as well as make your first payment to Nowak Tour and Travel February 14 th Please remember students traveling to Florida are expected to have their band fees paid prior to departing for the trip. THE FIRST DEPOSIT IS REFUNDABLE. However, the later payments are more complicated to refund. Thank you for your cooperation and we look forward to traveling with the Marching Band GHS Marching Band Staff

2 Green High School Instrumental Music Department General Rules Transportation We will be traveling on three 55 passenger deluxe motor coaches, each may be equipped with a restroom in the rear, and a DVD and TV Screens, Wi-Fi and power outlets. Power outlets are for charging personal devices. Students are not permitted to bring extension cords or any other electrical equipment. Each band member has had an opportunity to sign up for a seat on the buses. Chaperones and guests have been assigned specific seats on all four buses. NO SWITCHING BUSES AT ANY TIME. Attendance will be taken in your assigned seats. Please be courteous and respectful to one another. When traveling at night, the buses should remain quiet for those students trying to sleep. Each bus will be marked with a number posted in the window. No electronic devices are to be played without headphones. Any movies to be shown must be PRE-APPROVED BEFORE LEAVING THE HIGH SCHOOL. See Mrs. Rach for approval. Mark your name on any movies approved. We will rotate the movies from bus to bus. If you purchase something to drink, please make sure it has a reusable top so it doesn t spill. NO CANS PLEASE. Use the trash bags provided on each bus. Dispose of your trash properly. Keep the bus neat. Use the restrooms for emergencies only. The buses will make restroom stops throughout the trip. Always remain on your buses until you have been given instructions. NEVER LEAVE A BUS WITHOUT SOMEONE KNOWING YOU ARE LEAVING. Report to the buses on time! You do not want to be responsible for holding up the band s departure to any destination. Hotel Lodging Rosen Plaza Each band member has had an opportunity to sign-up in a hotel room. No switching of rooms once we arrive in Florida. Be respectful of one another. Check-in will be done through your chaperone. Please be responsible for your keys. If you lose your key tell your chaperone immediately. Some hotels will charge a fee. Please notify your chaperone of any room damage. If you have damaged anything, you will be held responsible for reimbursing the band boosters for the cost. Always keep your doors locked and do not open the doors without asking who is there. NEVER GIVE YOUR ROOM NUMBER OR HOTEL NAME TO STRANGERS! Quiet time in the hotel will be observed. Remember, you will be staying in a hotel with other guests. No running or yelling through the hallways. No boys in girls rooms and no girls in boys rooms. Don t abuse the phone privileges in the rooms. We may need to contact someone in your room for medications or emergencies. DO NOT ABUSE THIS. Do not make long distance phone calls from your room. Use your cell phone. If you do not have a cell phone borrow one. Put your valuables in a drawer or out of sight. Please observe the hotel rules regarding swimming in the pool. Remember there will be other guests swimming too. There should be no expenses added to your room bill for any reason. This will only slow down our check out procedure. (Room service, etc.)

3 All pubs, bars, and lounges are off limits to all band members. Some rooms have balconies. These balconies will be locked and secured by the hotel. Do not attempt to gain access to the balcony or tamper with the locking system Curfew will be observed each night. Once your chaperone has checked your room, lock your doors and do not open them. Each door will be taped from the outside. DO NOT ORDER FOOD FOR YOUR ROOM AFTER YOUR DOORS HAVE BEEN TAPED! A security guard will be on duty each night. Discipline The first consequence for minor discipline problems is a warning from the band directors. Repeat offenders may be assigned to a different seat on their bus or their hotel room could be reassigned. For more serious violation, forfeiting participation in a pre-arranged event could take place and your parents notified immediately. Appropriate discipline consequences would be given at school. The most serious violations could result in confinement to the hotel with a chaperone on duty. Your parents would be notified and the appropriate consequences would be given at school. The Green School s Code of Conduct is in effect while traveling. General Rules of Conduct Introduce yourself to your chaperone. Be respectful. Get to know your chaperone. Our band parents are giving their time to help us. Listen to instructions carefully. DON T RUIN THEIR TRIP OR YOURS. Never walk alone. If you find someone in need of a friend, ask the person to walk with your group. (We would like you to stay in groups of at least four or more.) Be respectful to one another and to other tourists. Please pay for all souvenirs. No profanity or vulgar language will be tolerated. No smoking, vaping or any use of tobacco. No alcoholic beverages or drugs will be tolerated at any time. Always let your chaperone know where you will be. You must speak to your chaperone. Don t let a friend inform them of your whereabouts. Be on time for all check-ins. Plan your time carefully. YOU PHYSICALLY NEED TO CHECK IN. NO PHONE CHECK INS. If you become ill or need medical attention, find the nearest first-aid station. Our tour guide, nurse, and chaperones will be checking these stations frequently. Carry your emergency card with you in the event you become separated or lost. There are emergency phone numbers listed on it to call. Spend your money wisely. If you are running low on money, let someone know. No cutting in lines. Theme parks are becoming very strict about this.

Should your child violate these policies, he/she will face appropriate discipline action and the possibility of forfeiting some of the privileges already paid for on this trip. I have read through the rules and procedures and I understand my responsibility while traveling with the Green High School Band. I understand I am responsible for any damages and/or financial charges to my hotel room while I am staying in Florida. Further more, I will be responsible for checking in with my designated chaperone and following his/her instructions throughout the week in Florida. Thank you for your cooperation. Lunch today is on your own. 4:00 PM Check into our hotel for a four-night stay: Rosen Plaza Hotel 9700 International Dr Orlando, Florida :00 PM Enjoy a full Thanksgiving feast at the hotel (included). 10:00 PM Students return to their rooms - ***Private nighttime supervision is provided*** Thursday, November 22 nd 8:00 AM Enjoy breakfast at the hotel - (included, private banquet space requested, if not available group needs to be informed so they can do they daily announcements) 9:00 AM Depart the hotel for the day at Universal Studio's and or Universals Islands of Adventure, $30 provided for lunch and or dinner. 10:00 PM Return to the hotel - ***Private nighttime supervision is provided*** Friday, November 23 rd 8:00 AM Enjoy breakfast at the hotel - (included). 9:00 AM Depart the hotel for a full day at Magic Kingdom; a $30 meal card will be provided for lunch and /or dinner. Group to participate in the parade down "Main Street" (to be requested). Group will depart after fireworks. 10:15 PM Return to the hotel - ***Private nighttime supervision is provided*** Saturday, November 24 th 8:00 AM Enjoy breakfast at the Rainforest Cafe - (included). 9:30 AM Arrive at Disney s Animal Kingdom followed by the afternoon at Hollywood Studio's; $30 meal card provided for lunch and/or dinner (departure after Fantasmic). 10:00 PM Return to the hotel - ***Private nighttime supervision is provided*** Sunday, November 25 th 8:00 AM Enjoy breakfast at the hotel - (included) 9:00 AM Depart the hotel for Epcot; a $15 meal card provided for lunch. 5:00 PM Depart for Epcot for dinner. 8:00 PM Enjoy dinner at the French Island Patio along with a private viewing of Illuminations (to be requested). 10:30 PM Depart Orlando for home; rest & meal stops will be made every 2 3 hours. Any cancellation made at least 45 days prior to the trip departure date is subject to a full refund minus any non-refundable items in addition to a $25 processing fee for those cancellations processed through Nowak Tours. Any cancellation that is made within 45 days of the departure date will forfeit 50% of the trip cost plus any non-refundable items. Registering is quick and easy. Go to and click the Traveler Login link at the top right. Then, simply follow the included instructions to complete the trip registration. Returning customers should sign into their account to register. 7 Nowak Tours Online Registration & Payment Instructions Follow these steps to register for the trip and make online payments. If you experience difficulties, feel free to contact our office for assistance at We accept Visa, MasterCard, and Discover. Go to and click the Traveler Login link at the top right. The login screen displayed in Image A will appear. Returning users will log into your account using your username and password. New users will click the Create Your Account link. Enter the Trip ID as displayed in Image B to the right and click Continue. Then, follow the three step registration process shown below. GREENDIS18 Step 1 Account Holder Information: Enter your information and select the Next button and proceed to Step 2 to add the traveler(s). Step 2 Add Travelers: Using the dropdown box, select the number of travelers that you want to register as shown in Example A. You will then see a form for each traveler appear as shown in Example B. Select the traveler from the dropdown box, or select Add New Traveler. Then complete the remainder of the form(s) and click the Next button to proceed to Step 3. Step 3 Finish and Pay: Click the Pay Now button to complete your registration and make a credit card payment. Click the Pay Later button to complete your registration and mail a check or pay at a later date. Your trip registration is now complete.
