The 3 D s of School Newsletters Design - Distribution - Documentation Presented by: Jennifer Koon Alcorn Career and Technology Center 2101 Norman Road, Corinth, MS (662) jkoon@alcornschools.org
We must embrace the fact that we serve digital natives, even though we may be digital immigrants.
Forms of Parent Communication - Oldies, but Goodies Telephone Calls Hand Written Notes Letters - U.S. Mail Parent/Teacher Conferences Newspaper Articles Radio Announcements
A Few New Forms of Parent Communication E-Newsletters School Websites School Pinterest Accounts School Twitter Accounts School Facebook Accounts
The most effective school leaders are those who are the most effective communicators. The school newsletter is one of the most powerful tools a school leader has.
Why create a school newsletter? Keep in touch with parents (positive contacts) Keep in touch with fellow educators Inform and educate Reinforce learning activities Publicize upcoming events Attract volunteers Boost donations Recruit new supporters Unify a community of readers Network with community leaders Highlight student accomplishments Documentation of activities/events
Before any of these goals can be accomplished, newsletters have to be read by the targeted audience. It is up to you to create newsletters that contain interesting, useful information presented in appealing ways.
Readers Like: Interesting topics Short articles Attractive graphics Easy to skim designs Bulleted lists Clear organization Calendars
Readers Don t Like: Intimidating pages Disorganized information Long, continuing articles Irrelevant content Impersonal tone Chaotic page design Too many pages
As you plan your newsletter Select a Program to use (example- Microsoft Publisher) Choose a name/title for the newsletter Develop an outline of content Think about possible stories to include Collect information Select the look of your newsletter Explain to students and teachers the intentions of your newsletter
What s in a name? The name/title will greatly influence the appearance of your newsletter. Try to select a title with strong symbolic value that will convey some idea of the content to the targeted audience.
Commonly Used Words in Advocate Alert Briefs Bulletin Connection Dimensions Examiner Focus Forum Guide Highlights Newsletter Titles: Horizons Hotline Insider Journal Keynote Link News Notes Outlook Perspective Post Report Reporter Review Scene Scope Spotlight Times Topics Trends Update
Typography Typography is the selection and arrangement of typefaces, sizes, and spacing on a printed publication or web page. Typography has a major impact on the overall look and image of your newsletter.
Typography Tips Limit the number of fonts you use in a publication to two Use one font for headings and one for text If you are unsure choose a common or reliable one such as Garamond, Palatino, Goudy or Times New Roman
Types of Graphics Clipart Photos Scanned Images Graphic Accents (lines, symbols, over-sized letters, backgrounds) Logos Infographics (charts, graphs, tables, and maps)
Gathering Information Ask faculty/staff personally, by memo and or to submit articles Accept articles which are handwritten, typed, ed, by IM, sent by CD, on flash drive, etc. Set deadlines and stick to them Send a reminder 2 days before deadline
Proofread Have one to two people to proofread your newsletter after you have completed it.
Convert to PDF After completing your newsletter, convert it to a PDF (Portable Document Format). PDF is the global standard for capturing and reviewing rich information from almost any application on any computer system and sharing it with virtually anyone, anywhere. It is secure and can not be altered. Adobe Acrobat Professional is one way to convert your newsletter to a PDF.
Place on Website Place the PDF of your newsletter on your school s or district s website.
Permission Form Permission to use photos is a must! Have a parent/guardian sign a form to give permission for his/her student to be photographed and included in your newsletter and on your school s/district s website.
Request Parent Addresses This information should be gathered at the beginning of the school year in the student take-home forms packet.
Distribute Your Newsletter a link to your newsletter to the following groups of people. The cost is free!!! Parents Superintendent and School Board District Employees Business/Industry Partners Military Recruiters MDE Supervisors Community College Contacts
Distribute to Legislators Print a copy of your newsletter and mail it to your local senators and representatives.
Consider Sending to the RCU
A look at my school s E-Newsletter
Best wishes as you endeavor to promote your program and school through the use of newsletters!
